Receiving process for REWE

This guide describes the receiving process for products delivered by REWE. The receiving process involves a series of tasks that must be completed once the products arrive and before they are inbounded. The tasks include:

  1. Arrival and unloading: moving the rollis into the hub and organizing them.

  2. Delivery check-in in HubOne App: recording the delivery in the HubOne app.

  3. Rolli validation: scanning and verifying if the rollis are intended for your hub.

  4. Final confirmation: ensuring all rollis are scanned and confirmed.

  5. Temperature Check for fresh, frozen, and ready-to-Eat (R2E) products: conducting the initial temperature check.

  6. Complete delivery: signing the delivery note and proceeding to inbounding the products.

This guide is crucial for Shift Leads, OA+, and Hub Managers to understand and follow the process thoroughly. It ensures accurate evaluation of the quantity and condition of products received.

Materials needed

  • Zebra with your Quinyx ID

  • Zebra holster

  • Thermometer

Process

  1. Arrival and unloading:

    1. The REWE driver arrives at the hub and unloads the rollis.

    2. Move the rollis into the hub and organize them:

      1. Dry and fresh rollis: in the inbound area.

      2. Fruits and vegetables rollis: next to the fruits and vegetables shelves.

      3. TKT (frozen rollis): next to the freezers.

      4. Drinks rollis: in the drink's back stock area.

    3. Take the Leergut (empty rollis and IFCO cases) out of the hub to exchange them with the REWE driver.

  2. Delivery check-in in HubOne app:

    1. Open HubOne app.

    2. Go to Activities and tap Check in a delivery.

    3. Under Select a supplier, choose REWE.

    4. Adjust the time of arrival if necessary by tapping the pencil icon.



  3. Rolli validation:

    1. Start scanning the rollis.

      1. The rollis will appear in green textboxes on the screen.

      2. If a rolli might not be intended to your hub, a pop-up will appear:

      3. Double-check the hub's name or code on the rolli label.

      4. Tap Got it.

      5. Select Right rolli if it's intended for your hub.

      6. Select Wrong rolli if it's not intended for your hub (the rolli's textbox will appear in yellow).

      7. Return any wrong rollis to the driver immediately.

  4. Final confirmation:

    1. Scroll through the list to ensure all rollis are scanned.

    2. Click Confirm.

  5. Temperature Check for fresh, frozen, and ready-to-Eat (R2E) products:

    1. Open Flowtify.

    2. Tap DE REWE Delivery Check.

    3. Select the corresponding product category (Fresh [includes dairy products and fresh meat or fish] or Frozen).

    4. Take a product from the rolli and enter its SKU number.

    5. Measure the product's temperature with a thermometer:

      1. Fresh products: 0° to 7°.

      2. Frozen products: less than -15°.

    6. Enter the temperature in Flowtify and follow the app instructions until done.

  6. Complete the delivery:

    1. Sign the delivery note (TRT-Schein) with the driver.

    2. Proceed to inbounding the products.

FAQ

What happens if I have a missing rolli?

If you have identified a missing rolli, because the number of rollis you have received and the expected number of rollis is not the same, please note down the information with legible handwriting on the TRT:

  • Delivery note number;

  • Missing SSCC (see on dropdown below what a SSCC is);

  • Date on TRT Schein;

And sign it jointly with the driver.

Important:

Always give one copy of the filled out TRT Schein to the driver and keep the other copy. Hint: one TRT gives you two copies - one white paper and a blue paper. Find an example in the picture below.

Please, fill out the "Bemerkung" part (down right corner), with the following information:

  • Delivery note number;

  • Missing SSCC;

  • Date on TRT Schein;

  • Signature of REWE driver

After, fill out a Hub Alert ticket right after the delivery. Claims are very time sensitive! They need to happen the same day of the delivery.

  • Hub Alert ticket: go to New ticket > Delivery issues > Rollingcontainer/Pallet issues > Missing rollcontainer

  • In the ticket, you need to fill out the:

    • Dispatch advice number;

    • SSCC;

    • Picture of the TRT Schein

What is a SSCC?

  • SSCC means Serial Shipping Container Code (German NVE = "Nummer der Versandeinheit") and is the unique ID of a loading device, e.g. a rolling cart or a pallet.

  • SSCCs are 18 digits long and on the Rewe labels you can find the number also as a barcode.

Where do I find the SSCC?

  • You will find the SSCC on the rolli labels (usually starting with 34xxxxxxxxxxxxxxxx).

  • The Rewe delivery note also contains all SSCCs expected to be delivered.

How do I check if I have received all SSCCs on the delivery note?

  • Please compare the delivery note and the rolli labels with the respective information on both.

  • The following information might be useful:

In the delivery note, NVE is where the SSCC number is, and the POS are the number of articles in the rolli.

Hint: use the POS to identify different rollis and to count how many rollis are you expecting.

As you might notice, the SSCC numbers in the delivery note come with a dot in between numbers. Those dots do not correspond to the rolli's SSCC spaces in the physical label, as shown in the picture below.

  • After the list of SSCC and the items they contain, there are some sections called "FEHLARTIKEL", "WEITERE HINWEISE", "BIO-ARTIKEL". Those are not part of the delivery note, and so they are not in the delivery.

What does TRT Schein mean and what is it?

  • TRT means "Touren-Retourenschein" and could be translated to "tour return note".

  • On the TRT, you and the driver note down which empties were exchanged, i.e. what you have received with the goods delivered by Rewe, plus which and how many empties you have returned. This is important for empties tracking.

  • It needs to be signed by you and the driver.

Why are claims time sensitive?

  • When we claim something, the goods will not be ours and the suppliers have the right to check them.

  • Especially in case of fresh and frozen goods (and depending on the claim and how to proceed), the cooling chain needs to be kept. Therefore, we need to call Rewe and inform them about the situation. If a rolli has to be picked up and/or if it is already on the way back to the warehouse so they can prepare accordingly.

What if I receive a damaged, wrongly delivered, or under temperature rolling cart?

  • Please fill out a Hub Alert ticket:

    • Go to New ticket > Delivery issues > Rollingcontainer/Pallet issues and select the respective ticket.

    • Throw away products that can't be sold due to damage or temperature deviation and book in products in good state.

How do I distinguish if a rolli is badly stacked or damaged from transportation?

  • Transport damage usually affects the whole rolling cart and not only single products.

    • It may occur if the rolling cart has fallen off the truck while unloading it.

  • The receiving process must be carried out thoroughly to evaluate the quantity of the products that arrived.

  • It is important that you check the temperature at the receiving in Flowtify, in order to maintain the cold chain.
