Clean Desk Policy

Overview

To improve the security and confidentiality of company and personal data, Flink has adopted a Clean Desk Policy for workspaces. This ensures that all sensitive/personal and confidential information of Flink, whether on paper, storage media, or hardware (hereinafter, jointly the ā€œInformationā€), is properly secured and protected from unauthorized view. This policy reduces the risk of unauthorized access, loss, and damage to information during and outside of normal business hours or when workstations are left unattended. A Clean Desk Policy is an important security and privacy control.

Purpose

The purpose for this policy is to establish the minimum requirements for maintaining a ā€œclean deskā€, where Information about our employees, intellectual property and customers is secure in locked areas and out of sight.

Scope

All employees, trainees, contractors (hereinafter, jointly the ā€œEmployeesā€) are subject to this policy.

This policy equally applies to Employees working from home-office locations, as well as Employees working at Flink’ office

Policy

  1. At known extended periods away from your working area, such as a lunch break or meeting, sensitive working papers are expected to be placed in a secure location (ideally locked drawers or cabinets).

  2. At the end of the working day, the Employee is expected to tidy their desk and to lock away papers containing personal, sensitive, or confidential data

  3. Employees working remotely are expected to avoid printing personal data or commercially sensitive documents.

  4. Any documents of this nature are to be securely locked away until they can be returned to Flink’ office for secure destruction. There is an expectation that Employees needing to print will only do this at Flink’s office. Speak to your line manager if you need further clarification of acceptable limits.

  5. Computer/laptop screens must be screen-locked when not in use and powered down at the end of the workday. Particular care should be given to devices used during meetings or public locations.

  6. Keys used for access to secure areas at Flink’ office (including cabinets and drawers) must not be left at an unattended desk and should be returned to the key cabinet.

  7. Documents containing personal or commercially sensitive data must be retrieved from printers/photocopiers immediately.

  8. White boards and flip charts must be erased of personal, sensitive, and intellectual property data.

  9. The confidential waste bins should be used to dispose of sensitive documents when they are no longer needed.

  10. Lock away portable devices and mass storage devices such as laptops or mobile phones when not in use.

Enforcement

Flink takes security very seriously to protect our users, assets and data. Flink could take appropriate actions in case of violating the company policy.
