Sick Leave Guidelines

🏁 It happens to us all: sooner or later, our body, mind and soul need some time to rest. When that happens, we ask that you do what you need to get better. After all, our health is the most important asset we all have.

Sick Leave Policy

  • Step 1: Inform your direct manager via email by 09:00 am of the day. If your manager is OoO please let your managers manager know.

  • Step 2: Enter your "sick leave" request into SAP SuccessFactors for any day of absence. This must be done as soon as possible, and at the latest on the second workday of your sickness.

  • Step 3: Update your status on Slack to "sick leave". If you are sick for multiple days, please update your email auto-reply directing others to a fellow team member or your lead.

i) First login to SAP SuccessFactors, then head to the home "Request Time off" Tab.

ii) From there you will see the "Sick Leave" time type. Then, enter the date. And finally, submit the request.

For two or more days of sick leave:

If you need more than one day to get better, you are required to get a sick note (Arbeitsunfähigkeitsbescheinigung) from a doctor. The sick note must be dated from the first day of sickness.

After you have visited a doctor, please follow step 2 and enter / update the period of your sick leave in SAP SuccessFactors.

Please note that with the introduction of the eAU, most doctors will not hand out AUs in paper form anymore. Instead, we will use the absence data provided by you to request the electronic sick note from your insurance company.

If you have private health insurance and still receive a paper sickness certificate, please flag this under "eAU exclusion reason" when entering the absence in SAP SuccessFactors.

You will then need to attach your sickness certificate directly to your time off request.

Important:

Please ensure that your insurance information in SAP SuccessFactors is always up-to-date as this is a requirement for the eAU retrieval system.

If you do not enter your absence in SAP SuccessFactors or we do not receive a valid sick note from you or your insurance, we will notify your manager who then can take disciplinary action.

Sickness during vacation:

If you fall ill during your vacation, kindly notify HR promptly via email. Ensure to specify whether you possess a digital or hard copy of the sick note. If it's a hard copy, please attach it accordingly.

Caring for a Sick Child (Kinderkrankengeld):

We understand that family comes first, especially when a child is unwell. In Germany, you are legally entitled to take time off to care for your sick child, with payment for this time covered by your health insurance provider. This is known as Kinderkrankengeld.

Entitlement: You are entitled to 15 days of leave per child per year.

As a single parent, you are entitled to 20 days of leave per child per year.

To ensure a smooth process, please follow these steps:

  1. Inform Your Manager: Notify your direct manager as early as possible on the first day you need to stay home with your child.

  2. Get a Doctor's Note: You must obtain a medical certificate for your child ("Ärztliche Bescheinigung für den Bezug von Krankengeld bei Erkrankung eines Kindes") from the first day of absence. This is a specific form for child sickness, not the standard adult sick note (AU).

  3. Log Your Absence: Enter your absence in SAP SuccessFactors using the absence type "Sick leave Child Unpaid". Please attach a copy of the doctor's certificate directly to the request.

  4. Claim from Insurance: You must submit the certificate to your health insurance provider to claim your payment (Kinderkrankengeld). Flink will grant you unpaid leave for this period, and your payment will come directly from your insurer.

Additional information for new starters:

If you are unfortunately unwell within the first 28 days of your employment or longer than 6 weeks with the same sickness, your sick leave will not be paid by Flink but by your own health insurance provider. To be entitled to those payments, it is important that you always send the sick note (“Kopie für die Krankenkasse”) to your insurance company.

Sick Leave policy

In case of sickness, please inform your Manager via phone and email. Also add your sick leave in the absence module in SAP SF, please find the link here. Latest should be the morning of your absence.

You are legally required to do everything possible to return to work as soon as possible, be available between 9AM and 2PM for any possible questions. If sick for a longer period of time we register your sickness with De Nieuwe Arts (our arbo service). Follow the process as required by law and keep your manager in the loop.

Once you’re feeling better you can report better in SAP SF and inform your manager accordingly.
