Code of Conduct

👋🏼 This Code of Conduct shall provide all Flinkers with guidelines helping us in our daily business to ensure compliance with applicable regulations and to set the ethical rules we aim for as Flink. Whilst delivering groceries faster than any other company, we need to ensure this happens in a socially responsible work environment and that we conduct our business in the most sustainable way.

Please always make sure to adhere to this Code of Conduct along with the Flink Values and our Mission Statement as the compass of your daily work, navigating you through business decisions we all have to make every day, to reach the best result for our customers and our colleagues.

1. Zero Tolerance Policy on Sexual Harassment and Discrimination

At Flink, we are committed to fostering a work environment that is built on respect, dignity, and equality for all employees. We believe that every individual has the right to work in an environment free from harassment, discrimination, and intimidation. As such, we maintain a strict zero-tolerance policy towards sexual harassment and all forms of discrimination.

What constitutes sexual harassment or discrimination?

Sexual harassment and discrimination can take many forms and may include, but are not limited to:

  • Unwelcome sexual advances, requests for sexual favors, or other verbal, physical, or visual conduct of a sexual nature.

  • Making derogatory comments, jokes, or slurs based on an individual's gender, race, ethnicity, religion, age, sexual orientation, disability, or any other protected characteristic.

  • Displaying offensive materials, images, or content that creates a hostile or intimidating work environment for others.

  • Retaliating against an individual for reporting incidents of harassment or discrimination or participating in an investigation regarding such matters.

  • Treating an individual unfairly or differently in terms of employment opportunities, assignments, promotions, compensation, or any other terms or conditions of employment based on their protected characteristics.

Our commitment:

  • All employees, regardless of their position or tenure, are expected to adhere to this policy and treat each other with respect and professionalism at all times.

  • Any employee found to have engaged in sexual harassment or discrimination will be subject to disciplinary action, up to and including termination of employment, following our disciplinary procedures.

  • We encourage employees who believe they have been subjected to harassment or discrimination, or who have witnessed such behavior, to report it promptly to the People Team.

    • For Germany, please fill in this complaint form and directly contact Grace Rattanadit.

    • For the Netherlands, please directly contact Marianne Bakker.

  • Retaliation against individuals who report harassment or discrimination, or who participate in an investigation, is strictly prohibited and will result in disciplinary action.

We are committed to creating a workplace culture where everyone feels safe, respected, and valued. By upholding this zero-tolerance policy, we aim to promote a positive and inclusive work environment for all employees.

This policy applies to all employees and contractors while they are on Flink premises or engaged in company-related activities. We expect everyone associated with our organization to comply with this policy and contribute to maintaining a safe workplace.

2. Diversity, Inclusion and Belonging

  • At Flink, everyone is welcome and respected. We have zero tolerance for discrimination and harassment of any kind. Always act and speak after deliberation, and put yourself in the shoes of others. Challenge yourself and recognize your personal blind spots. Work on them and let us become better together.

  • Always promote a safe and respectful work environment where everyone has equal opportunities. If you witness decisions or structural issues within our organization or if you feel you have been harassed or discriminated against by your co-workers or managers, please contact immediately and report the incident to the People Operations Team or our Ombudsman. Your report will be handled with utmost discretion and your name will not be made public if you wish so.

3. Work Safety

  • We want to create the best working conditions for all our Flinkers. Flink is a safe place where every employee can focus on achieving our common mission. Above all, we adhere to our rules and are always conscious of our actions.

  • Always start your shifts on time and therefore arrive at work early enough.

  • Please treat your work equipment with care at all times and use it for work purposes only.

  • Work safety requires that drinking on the job as well as substance abuse in any form is

strictly forbidden. However, the drinking prohibition is not in effect in case of celebrations.

  • There is zero tolerance for theft. If you notice stealing or have been affected by theft, please

notify your manager or our Ombudsman.

4. Public Speaking and Data Privacy

  • It is great to see that the public is interested in Flink and our Flinkers. However, to streamline our messaging and respond to all press requests in a professional manner, all touchpoints with the press and external public stakeholders have to be managed and approved by our competent team.

  • Therefore, no Flinker can respond to any kind of request and query from outside of Flink without consulting with our Legal Team first. This includes most importantly, any kind of interviews, press statements, questions regarding internal practices and conditions, but also speaker and attendance requests, e.g. for conferences or events.

  • Data privacy is a crucial topic, not only whilst communicating with external stakeholders, but also internally. Make sure you handle data responsibly and adhere to our Privacy Policy. If you are not sure how to handle certain data protection topics, reach out to our Data Protection Officer.

5. Avoidance of Conflict of Interests

  • As true Flinkers we aim to balance both: personal interests and Flink’s interests. A conflict of interest arises when an employee’s personal interests conflict with those of Flink:

  • Avoid situations where a conflict of interest may arise, e.g. personal or financial interests. Be transparent and always adhere to our Global Gift & Hospitality Policy prior to accepting and issuing any gifts or allowances. Don't hesitate to contact our Legal Team if you have doubts or questions.

  • Ensure that interests do not collide when having a secondary employment, e.g. working for an (indirect) competitor. Prior to starting a second employment relationship, please reach out to your manager and the People Operations Team to check possible conflicts.

  • We do not want to interfere with your personal relationships. However, you need to disclose personal relationships which can become a conflict of interest. This can often be the case if the party you are dealing with is a family member or a close friend. In that case please reach out to the Legal Team.

6. Sustainability at Flink

  • We strive to build the most sustainable retailer - for our customers, for our Flinkers and our environment. Delivering our food with bicycles is a key component of our commitment to reduce emissions, but only the first step.

  • We want to focus on sustainable labor relations, business ethics, procurement and environment and climate protection. We therefore want to encourage you to always act sustainably. We want to grow and lead Flink towards a sustainable path together.

7. Our Neighborhood Rules

  • We want to integrate our hub operations to the local settings. Our direct neighbors have a special interest that we act in a considerate way. Therefore, four points are particularly important for us:

  • We always ensure tidiness in front of our locations; this means, we clean regularly, and our equipment is only parked where it does not pose an obstacle for anyone.

  • We behave considerately in front of and inside our locations; this means, no crowding on sidewalks and in front of houses; no parties, music, or similar nuisances, unless there is a formally approved celebration event.

  • In the event of complaints, we react in a de-escalating and solution-oriented manner; this means, we treat everyone respectfully and consult a supervisor if required.

  • We respect traffic rules and ensure that we don’t put anyone deliberately in danger whilst delivering to our customers and receiving deliveries to our hubs.

8. Prohibition of Corruption

  • We have no tolerance for corruption and strongly oppose any practices related to money-laundering and financing of terrorism. Therefore, we form business relationships only with trustworthy customers and business partners involved in legitimate business activities and transactions. If anything smells fishy, the situation must be reported to our Legal Team and discussed prior to taking any decision.
