Fleet management

This guide describes all the processes associated with managing the bikes at the hub, namely the daily inventory checks, bike transfers, infleeting and archiving bikes, private use policy, and maintenance of the bikes.

These processes are important, so Hub Managers can record and track all the bikes at the hub accurately and efficiently, faciliating the management of the fleet.

Daily bike inventory checklist

We rely on our data being correct to run our operations smoothly and to give accurate data to our bike repair crews. This data is also used to define future plans and to measure the uptime (percentage of functional bikes we have that shows whether our SLA’s [Service Level Agreements] with our suppliers are met or not). Additionally, if a bike is broken and this wasn't reported, it won't be repaired and will take up space in your hub, collecting unnecessary expenses. This is why it's important that you perform the following checks everyday:

  • Check if the number of bikes in the hub matches the number of bikes in the Fleet tool.

  • Check if the number of damaged bikes matches the number of damaged bikes in the Fleet tool.

  • Check if all damaged bikes have the status Maintenance required in the Fleet tool and an open damage report. Otherwise, they won't be repaired.

  • Check if all damage reports fixed by the maintenance service are set to Fixed in the Fleet tool.

  • Check if all bikes are fully equipped with saddlebags and boxes.

Transferring bikes between hubs

Important:

Each transfer must be previously approved by the Fleet Management Team and Cluster Lead/City Manager.

When making the bike transfers, you must abide to the following:

  • Give the Fleet Management Team all the IDs from the bikes you want to transfer. They will adjust the Fleet tool and inform the suppliers.

  • Only move the bikes that must be transferred.

  • Do not move bikes that weren't approved or have a different bike number from the one you reported.

  • Only make bike transfers to hubs that use the same bike suppliers and models as in your hub. For example, don't transfer a bike from Hub A, which has only Cycle Henry I bikes, to Hub B, which has only Cycle RadRunner bikes.

  • Ensure that all the relevant equipment is included in the bike transfer, such as locks, batteries, chargers, keys, etc.

  • On the day after the transfer, check if the Fleet tool was updated correctly.

Infleeting and archiving bikes

Important:

Only the Fleet Management Team is allowed to do the infleeting and archiving of bikes to your hub or out of your hub's fleet. If there are bikes in your hub that need to be infleeted or archived, reach out to them.

Infleeting and archiving are the terms we use at Flink to describe the processes of adding a bike to your fleet or removing it in the Fleet tool.

We infleet a bike to your hub when there is a new bike delivery or when you receive a swapped bike.

We archive a bike from your hub when it was stolen (after a police report was filed and shared with the appropriate supplier) or it was broken and replaced with a new one/another previously repaired bike.

Private use of Flink’s bikes

Riders are not permitted to use bikes from the hub for their personal use. This includes using Flink’s bikes during breaks or after a shift.

Important:

All hub equipment (especially the container bags) belongs to the hub. Make sure all Riders return the container bags to their designated place in the hub after a ride.

Bike and rider equipment maintenance

  • Maintenance of the e-bikes is carried out either by the supplier itself or by a company commissioned for this purpose.

    • The Shift Lead or OA+ must firstly report the damages in the Fleet tool in Hub Portal, so that the mechanics know in advance and bring the appropriate parts or tools.

    • Report the damages as quickly as possible, so that the Fleet tool displays the accurate status of the bikes in the hub.

  • The cleaning of the e-bikes and their equipment is done by the Rider and the Shift Lead. Read more about this here under the topic Persil laundry service.

  • It is strictly forbidden to repair the bike yourself. The mechanics are trained to repair bikes. False repairs can lead to accidents!
