📢 Flink-Risk Assessment (GBU) – Action Required!

Following the successful completion of our Risk Assessment (GBU) tutorial sessions last week, it’s now time to implement the process in your Hubs. ✅

⚖️ More Than a Formality: It’s the Law

Please remember: the GBU is not just a document; it is a statutory duty under §§ 5 & 6 of the Occupational Safety and Health Act (ArbSchG). As Hub Managers, you are personally responsible for conducting and regularly updating the GBU in your Hub, in accordance with the delegation of duties under § 13 ArbSchG.

Where Can You Find the Documents?

All necessary materials are available under the GBU section in the new Leadership-Portal under Safety & Compliance”:

  • 📋 Current Flink GBU list

  • 📖 Detailed instructions (available in both German and English)

  • Corresponding Assessment

What Needs to Be Done? (Your To-Dos)

Please complete the GBU list step-by-step according to the instructions. The following steps must be finalized by mid-February:

  1. 🔍 Complete: Go through the entire list for your Hub thoroughly

  2. ✍️ Sign: The GBU must be signed by hand

  3. ⬆️ Upload: Upload the completed GBU to in Airtable

  4. 🗂️ File: Print the GBU and place it in the Work-Safety Folder at your Hub so it is clearly visible

Stay Warm, Stay Safe: New Winter Rider Wellbeing Guide!

With temperatures dropping, it’s time to level up our riders' winter gear strategy. We’ve just launched a new Edume Guide specifically designed to help riders master the elements and stay comfortable during your shifts.
What they will Learn:

  • The "Onion" Method: Why layering like an onion is better than dressing like a marshmallow to manage sweat and stay warm.

  • Protect Your Extremities: Hands and feet are the first to get cold, which can slow reaction time for braking. Learn how to keep them responsive.

  • Fuel Your Internal Heater: Why its important to eat and hydrate regularly in sub-zero temperatures, even if not feeling thirsty.

  • Know When to Break: How to perform a quick self-assessment to identify when a warm-up break is needed at the hub.

Key updates you can't miss

🚀 Launching: The New Hub Leadership Training & Portal - GoLive Today!

We are excited to announce a major step forward in how we develop our teams: the launch of the official Hub Leadership Training program.

Feature Spotlight: The New Training Portal

Central to this program is the launch of the Leadership Training Portal, a centralised platform designed to manage all training access and progress tracking:

  • Access Training: All Hub leads can access the training designed for their role via the My Learning Tab in the portal

  • Monitor Progress: Managers can view an overview of all team leads and track their completion status in real-time.

  • Nominate Talent: Use the portal to nominate well performing employees to be trained for the next higher role (OA+ or SL). Area Managers will be able to nominate someone to train for HM role.
    Once someone is nominated, they receive an email with instructions to the trainings.

  • Support Growth: The portal allows you to check in on your trainees, discuss their challenges, and set their "Understanding Level" to ensure they are truly ready for the next step.

Comprehensive Training Content

We have developed 11 specialised modules designed to provide a clear career path for our operations leadership teams. The content is a mix of theory slides, interactive assessments, and courses across four core areas:

  • Safety & Compliance: Covering Hub, Work & Fire Safety, as well as Labour Law and Workforce Compliance & GBU.

    • Note: Under GBU you can find the GBU training, an edume assessment and the link to the GBU form

  • Quinyx & Planning: Focusing on planning basics, scheduling.

  • Data & KPIs: Training on Live Steering and understandingKPIs to improve performance during the shift.

  • People & Soft Skills: Dedicated modules on our Flink Soft Skills, and , managing aggression & de-escalation techniques.

This program is designed to support a structured onboarding training and succession planning across all roles. It equips managers with the tools to build stable, high-performing teams, directly boosting Hub performance and team satisfaction.

By ensuring every leader is genuinely ready for their role, we are raising the standard of operational excellence across Flink.

🌃 Updated Late Night Cancellation Flow - Go Live This Wednesday!

To ensure we are maximizing our revenue and providing the best possible service to our customers, a new update to the order cancellation process will go live this Wednesday, January 21st.

What is Changing?

Currently, when a hub requests an order cancellation via the “Order cancellation request” Slack workflow using the reason “Night cancellation (insufficient staffing),” the order is cancelled immediately with no additional validation.

Starting Wednesday, we are introducing a New Flow to challenge cancellations for orders that are considered high-risk or high-value.

How the New Flow Works

Automated Check: When "insufficient staffing" is selected, the system will automatically check if the order meets high-risk criteria, such as:

  • High monetary value.

  • Short delivery distance.

  • Star customers or customers already experiencing long wait times.

The Challenge Message: If these criteria are met, the hub will receive a challenge message asking if an additional effort can be made to get the order delivered to avoid disappointing and potentially loosing customers.

Hub Confirmation: The hub must then review the decision and select one of two options:

  • "Yes, we can deliver": Proceed with the delivery as normal.

  • "No, we need to cancel": You will be asked to provide a specific reason and confirm the cancellation a second time.

Note: The order will only be cancelled if you proceed through this second confirmation and select "No, we need to cancel".

Why this is Important

This extra step is designed to help us avoid losing significant revenue on easily fulfillable orders and to prevent late cancellations that lead to high customer frustration. We want to make every effort to deliver to our most loyal customers and protect our hub’s performance metrics.

💻 Hub Portal Updates

Based on your feedback after last week’s update, we added additional states to the Order Status Filters:

  • Claimed

  • A toggle to include ‘in queue’ / ‘on hold’ orders

📲 HubOne Updates

We have three new updates for HubOne, all of them were requested by hubs via the #hub-feedback-ideas slack channel, please keep your feedback coming, it makes a huge difference!

  1. Rolling Inventory Checks have now their own Checks Category

    This makes it easier for you to differentiate and prioritize your checks through the week

  1. Stock Checks: Filter and Sort by Shelf Numbers

  1. Current Stock is now visible during List Creation
