🔎 Weekly Empties Inventory Checks + OKR Inventory Accuracy
Weekly Empties Inventory Check
We will conduct weekly inventory checks every Wednesday for the next couple of weeks.
It starts tomorrow December 10th.
Please be specific and no estimates. Please count every relevant empties type (RC,TKT, Folding Box (FB), Meat Box (MB) and IFCO Box) in the work area and backstock.
Inventory Accuracy - One of two parts of the planned Empties OKR
Measures quality and consistency of internal Empties Uploads (Monthly Inventory and Daily TRT Upload)
→ Question asked in this Factor: Does the system stock align with the handed-in inventory amounts? - Yes, it should match, if the counted inventories and daily TRT uploads are consistent
Formula for Inventory Accuracy
→ System Stock/Systembestand = Inventory (startpoint at the beginning of the OKR Period) + inflow - outflow (Balances of TRT Uploads during the OKR Period) → the System Stock, which we get at the end of the OKR Period is expected to be equal the following inventory
How to get a good score for factor 1:
• Conduct precise and complete inventory counts at the beginning and end of each cycle
• Ensure TRT uploads accurately reflect all daily empties movements
• Regularly compare system stock with physical stock to catch deviations early (we will provide you with the according dashboards)
General best practices that will help you
• Build a consistent upload routine every delivery day
• Keep the empties area organized to prevent errors → also helps you massively with the monthly Inventory counts
• Train responsible staff on how to handle and upload TRT slips (maybe assign one responsible person per shift)
• Check your Inputs yourself - with the provided Airtable Interfaces (what did we upload?) and the Empties Dashboard in Inbound Checker (did we upload?)

👉 Refresher: Food authority visits
As the year ends food authorities tend to visit our hubs more frequently.
It’s important to always:
🧹 Keep the hub clean and tidy
🌡 Do the Flowtify checks, esp. For temperatures and bio products
🖨 Have the external and internal cleaning spec hanging.
When a control takes place, follow these steps:

📸 New Feature: Image for Outbound During Inbound - Go live Wednesday 10th!
We are excited to announce a major update to the Outbound during Inbound process in HubOne! After a successful testing phase, we are rolling this out to all hubs starting tomorrow.
This new feature completely replaces the old process of creating Hub Alert tickets for damaged or expired delivery items for non-REWE Deliveries.
🚫 The Old Way
Previously, for every damaged or expired product found during inbound, you had to create a separate Hub Alert ticket and attach pictures. This was:
Time-consuming for the hubs.
Often skipped, leading to missing supplier claims and lost money.
✅ The New Solution
We have integrated the entire reporting flow directly into HubOne. Now, you can provide all the necessary evidence, photos and product code, right within the app while you are processing the delivery.
This means:
No more Hub Alert tickets for delivery product issues!
Instant collection of all required info for supplier claims.
Stronger claims and reduced financial loss thanks to better quality evidence.
📲 How It Works
When you receive a damaged/expired product from the supplier, swipe left to "Outbound" an item during inbound. Then, follow the steps in the app:
As before, swipe left and press outbound
Select Reason: Choose "Damaged" or "Perished/Expired" and enter the quantity.
Input Code/Date: Enter the Best Before Date (BBD).
Note: If the product has no BBD date, enter the Production Code or Batch Code instead (see slides where to find it).
Take Photos: Tap to upload 1–3 clear photos of the issue.
Photo of the damage: take a clear picture that shows the damage/issue of the product
Photo of the BBD Date/Batch/Production code: Make sure to take a second picture with the BBD Date or Code you filled in in step 2.
Submit: Press confirm to finish.
No need for additional hub alert for Delivery - Product Issues 🚀

📲 Streamlined Hub Alert Form
We have updated the Hub Alert form for Germany to remove unused fields and make reporting issues faster and easier for you.
Here is what has changed in the form options:
Product Issues: The Country of Origin (COO) field is no longer mandatory.
Delivery Issues: The option for "Quantity & quality deviations" has been removed for Rewe deliveries.
Shelf Issues: The "Facings feedback" option has been removed.
Other Issues: The "Product should have BBD/Fresh Check" option has been removed.
The changes will be reflected from tomorrow onwards.
📦 No Rush Delivery orders (Turfs 10+)
We’re testing a new option for customers in outer turfs (10+). Instead of the standard delivery time, they can choose a fixed 2-hour no-rush window and receive a €1 discount on their delivery fee.
These orders may look “stuck” in the Picker Queue, but that’s expected - the system will release them for picking before the promised time.
Important: Don’t scan these orders manually (even if you have riders who are available). The system needs up to almost two hours to stack them efficiently and lower our operating costs.
You can spot these orders by checking their Promised Time on the Orders dashboard - they usually show more than 110 minutes.
We’ll improve how these orders appear on the dashboard soon.
🤖 EduMe AI ChatBot coming to the WF App
Starting Thursday, there will be a new Edume AI Chatbot in the training section in the WF App.
Riders/OAs can ask any process questions to the EduMe Chatbot, and it will give you the requested information from the training content available. This way everyone can easily access any information you need without searching through all the contents.
Example: what to do if I mixed up two orders?
Simply navigate to the training section in the WF App, click on the ‘Ask AI’ button, and write your question!

Please note that any contract change requests submitted after 15 December 2025 will be processed with an effective date of 1 February 2026.
