Weekly To Do's
🖼️ Put Up The New "Look Like Flink" Posters
The new Look Like Flink posters are ready for your hub. They show — in one look — what a complete, correct Flink appearance looks like: full uniform, helmet, clean gear, visible branding.
What to do this week:
You will receive the poster via Post. Please put it up in the rider area where riders get ready for their shift.
Walk your team through it once in a shift start so everyone knows the standard.
📌 Please hang it where riders actually see it.
🚲 Reminder: Complete The New Rider Awareness Trainings
Two short rider trainings are live and still need to be finished by your team:
Look Like Flink — uniform, helmet and appearance standards.
You Are The Face Of Flink — how riders represent Flink at the customer's door.
Both are quick, mobile-friendly and count towards rider awareness. Ask riders to complete them on their next shift if they haven't yet.
✅ Reminder: check completion in the tracker every week and follow up with the riders still missing. Track completions here.

Key Updates You Can't Miss
🏖️ Vacation Requests Move Into The WF App - Goes Live Wednesday 29 July
From Wednesday 29 July, vacation requests move from Quinyx directly in the WF App.
Why the change?
Currently, employees submit vacation requests in Quinyx, which are handled once a day. This means there was no direct approval, and vacation capacity of the hub was not considered in real time.
Now vacations will be request in the WF App with immediate feedback, and approved days are booked into Quinyx automatically.
How to get there
In the WF App: Menu → Support → Get Help → Absence → Vacation.
What's new
Live vacation balance: see how many days they have left before they pick anything.
Instant feedback on dates: the app shows green when a period works, red when it doesn't, and locks dates that can't be requested.
Your Vacations overview: approved vacations appear as boarding-pass cards, with the option to self-cancel.
The vacation rules at a glance
Requests must be submitted more than 11 days before the vacation starts.
Riders can book up to roughly 4.5 months ahead.
Decisions are made automatically based on the rider's remaining balance and the hub's capacity.
Sundays and public holidays are free - they don't use up vacation days.
For any issues contact WF Support.
⚠️ Important: once a request is submitted it is final and cannot be edited. Only vacations that haven't started yet can be cancelled in the app.
Riders & OAs will be informed tomorrow with an Edume guide on the new vacation flow. Please point them to it at shift start this week.
📅 Goes live: Wednesday 29 July
📦 Shelf Changes & Weekly Delistings Now Live In HubOne
Shelf changes and the weekly delistings have moved into HubOne. You no longer work from a separate list - everything sits in the Inventory Tab.
What you see in HubOne
The current shelf and the new shelf for every product that moves.
The stock on hand and the number of facings, so you know how much space to prepare.
A clear status per item, so you can work through the list instead of hunting for it.
How to do it
Open the Inventory Tab in HubOne and go to the shelf changes section.
Move the product to its new shelf.
Scan the old shelf and the new shelf — both. That is what tells the system the move actually happened.
📌 Note: Shelf Changes still happen over night in the system, independently from the HubOne flow.
👉 Read all here: Shelf Change Assistant guide.
👉 Shelf Barcode generator here.
Delistings
The weekly delistings all run through the same place:
A – Delisted products with no new shelf: Book them out via Rescue Bag – directly here.
B – Delisted products to 999X: We're still selling these products off, so please bring them to 999X like the other shelf changes.
🎓 New Hub Lead Practical Training (Practical Tasks) - Live tomorrow!
What is it?
We are adding a practical layer to our existing theoretical Hub Leadership Training. From now on, for every theory module there will be an additional practical task to be performed in the hub together with their manager or trainer.
Why?
Hands-on learning - besides the theory, every trainee gets a practical intro to each important topic, side by side with their manager/trainer.
Practical relevance - tasks happen on real shifts, connecting theory to day-to-day reality.
Real-life assessment - trainers rate genuine capability, not just course completion.
The six modules (each mapped to a theory module)
Safety & Compliance - Mini Safety Audit
Quinyx & Planning - Scheduling Shadowing
KPIs & Data Actioning - Live Steering · Performance Action Plan
Soft Skills & People - Onboarding Practice · Feedback Talk
Shift Management - Opening · Closing · Fleet & Equipment Check (new module)
Operations - Core Operations (new module)
Manager Task
Manager or Trainers will conduct the task together with the trainee, explaining processes in practice, and allowing new leads to learn & shadow
After each task, the Hub Manager marks it as complete and sets the understanding level + comment
🔴 Doesn't understand - needs constant input; more training required.
🟠 Partially understands - knows the theory but slow or missed details.
🟢 Fully understands - independent, confident, could teach it. Required for promotion.
Learner View // Hub Manager View
Read all about it here - and find the lessons in your Training Portal from tomorrow on!
Note: for all existing roles, these tasks will be already marked as completed.
⚡ Energy Audit Trainings – available on HubWiki and in the Training Portal from tomorrow
Two weeks ago, the training on Energy Management & ISO Certification was presented in the Huddle.
You can now find the information material here in the HubWiki.
→ From tomorrow, the trainings will also be available in the Training Portal for new Team Leads.
⭐ Coming Next Week: Rider Rating In The WF App
This week we are rolling out the new Rider Rating feature to customers. After an order is delivered, customers can now rate the experience with their rider specifically - not just the order.
This is how it will look in the consumer app:
What changes for riders? From next week, riders will see this feedback themselves in the WF App, so they can tell how they are doing on customer experience.
A rating only appears once a rider has more than 3 ratings, so nobody is judged on a single delivery.
Ratings sync once a day - they are not live, so a new rating may take until the next day to show up.
💡 Stay tuned for more info next week!
