Next Day Orders being picked manually too early

We've noticed that some next-day orders are being picked manually from HubPortal significantly in advance of their scheduled delivery window.

Why does this harm us?

  • It can lead to riders arriving before the customer is ready, often resulting in cancellations (i.e. rider cannot find customer).

  • Even when a delivery is successful, it can still create a negative experience for the customer by disrupting their plans.

šŸ‘‰šŸ½Please ensure that all next-day-delivery orders are picked and delivered in line with the agreed-upon delivery time, and not manually picked before.

Workforce App on Android - Navigation Issue

We're currently experiencing a navigation reliability issue in the Workforce app on Android devices.

Please remind riders using Android phones to double-check the route suggested in the app. In some cases, the app may direct them to the wrong location, such as the next order in the stack or the hub location, instead of the current delivery.

If this happens, riders should use the street address shown in the app and switch to an alternative navigation tool (e.g. Google Maps).

The team is actively working on a fix. We appreciate your patience and apologise for the inconvenience.

1. Wipe up spills/breakages immediately

Inventory Guardrails - Go Live: Wednesday 20th

Starting tomorrow, we will introduce a new feature in HubOne to prevent accidental stock corrections and inbounds:

  • New warning pop-ups in HubOne in case of unusual stock corrections or inbounds

  • The warnings will appear for unusual stock corrections (quantity or € value) and high deviations in expected vs actual inbounds

  • If you see the pop-up, please double check the stock movement you are doing, and confirm the action by typing in the amount you would like to correct/inbound in the text field,

Rider Swipes - Additional Restriction to Prevent Double Swipes - live for Android

We are releasing another change to the rider delivery flow in the WF App: there is now a 10-second timer after swiping ā€˜arrived’ until a rider can swipe ā€˜delivered’.

The goal of this change is to reduce double swipes, meaning riders swiping arrived and delivered within a few seconds after each other, as this leads to customer confusion, complaints, and inaccurate stats.

Riders should use the time between swiping arrived and delivered to unload the bags from the bike and make their way to the customer’s door. Only after the order has been handed over to the customer, should they swipe ā€˜delivered’.

After swiping 'delivered', the customer information is not available anymore.

Please make sure your riders have the latest WF App version and follow the process correctly.

Stock Change Logs: Order ID replaced by Order Number - Go Live: Wednesday 20th

We’ve made a small but important update: stock change logs will now display the Order Number instead of the Order ID.

This change makes it much easier to track and check specific orders in the logs.

Escalation process reminder

As we enter the peak certificate recollection period for Working Students, please escalate only truly urgent requests and ensure they are created correctly. We are currently resolving tickets while reviewing over 2,000 cases across Germany. Payroll, contract changes, and warning tickets will be processed as quickly as possible with our current resources.

For urgent escalations, always use the official escalation form and avoid privately messaging team members, as this slows down our ability to address your request efficiently.

Enrollment certificates update

We have around 200 cases of open matriculations that expire on August 31 and 1730 that expire on September 30. Please remind the employees to update their new certificates (if they have not done it yet) using the Fountain recollection link and avoid sending documents via Zendesk. Escalating individual cases will not be effective, as our team is managing a large volume with limited resources.

Shelf Changes + Delistings____________________________________

Please try accessing the link using hub’s goflink account. Access requests using private mail addresses will be declined.

This week, we've standardized how delisted products are handled in shelf change files. The newShelf value for a delisted product will now automatically update to "Rescue Bag" instead of "999X." This change provides greater clarity in product placement and reduces confusion during shelf change.

Please only follow the ones that have exactly the same naming of your hubs and also be careful with following the same hub code while downloading the files.

Some notes on the sheets:

  • The sheets are, as mentioned above, Hub specific. So only the sheet named with your hub code is valid for your hub.

  • "SKU" you can find the SKU which needs to be moved to another shelf space.

  • "oldShelf" - 4th column: If the cell is empty or has 999X, we just assigned this product to your Hub, so please just store it in the shelf mentioned in "new shelf".

  • "newShelf" - 5th column: If the cell is empty or has 999X, the product has been delisted in your hub.

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

  • The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.
