Empties Tracking: A step-by-step guide

To ensure that the handling and return of empties are efficient and error-free, we have outlined a clear process.

  1. Pre-Count and Preparation

    1. Count Available Empties: Before the Rewe driver arrives, count all the empties (Rollcontainers, Tiefkühl Rollcontainers (TKT), and Boxes) that are ready to be returned.

    2. Fill the Empties Sheet: Record the number of containers ready for return on the designated Empties Preparation Sheet.

    3. Upload a Picture: Take a picture of the completed Empties Preparation Sheet and upload it to the Empties Preparation Sheet Form. Ensure the form includes the Hub Code, Date of Rewe pick-up, and your Quinix ID.

  1. Receiving Rewe Deliveries

    1. Receive and Count: Upon delivery, carefully count all the empties received, including Roll-containers, TKT, and Boxes.

    2. Double-Check: Ensure that the number of empties matches the TRT-File. If there are discrepancies, particularly with missing boxes, update the TRT-File accordingly.

  1. Empties Return

    1. Consult the Driver: Present the Empties Preparation Sheet to the Rewe driver as a suggestion for the return. If the driver agrees, input the numbers into the TRT-File.

    2. Update the TRT File: If the driver cannot take all the empties, accurately count and record how many rollies are taken. Both you and the driver must check and sign the TRT File to confirm the numbers.

  1. Final Documentation

    1. TRT File Upload: After the driver leaves, upload the TRT-File Form with all relevant details, including Hub Code, Date of Rewe pick-up, Quinix ID, and the actual number of TKTs, RCs, and Boxes sent out.

    2. Safe Storage: Store the TRT File securely for future reference.

Install Handover Shelf Barcodes

We’re introducing Handover Shelf Barcodes to make the handover process more efficient. This simple solution will ensure that each order is accurately handed over to the riders, reduce issues and improve overall efficiency.

How to Install the Handover Shelf Barcodes:

  1. Find the Barcodes PDF: Access the barcodes PDF by clicking here.

  2. Print the Barcodes: Ensure the barcodes are printed clearly on standard A4 paper.

  3. Prepare Your Materials: Grab a pair of scissors and some tape to get started.

  4. Cut and Stick: Carefully cut out each barcode and stick them to the corresponding handover shelf.

  5. Ready to Scan: Once installed, the barcodes are ready to be scanned during the handover process.

Customer Communication and Redelivery/Refund Guidelines

We have created guidelines on how to respond to certain situations during an order:

Redelivering an Order

All redelivery requests must be validated with Customer Care via Slack Workflow!

Orders are only eligible for redelivery when:

  1. The entire Order or a Full bag is missing/wrong

  2. Missing/Wrong Items exceed 10 euros in value

  3. We have Riders available to do it

Calling a Customer

Call when:

  • Rider can’t find the customer

  • To inform the customer of a redelivery after validating with Customer Care

Don’t Call when:

  • There is a missing or damaged item

  • To offer alternative products to customers (if any are missing)

Requesting refunds for Items in Slack

Items must be refunded during the picking process. If the order has already been completed, then let the customer submit the complaint through Customer Care. Do not request a refund for a single item through Slack, the workflow for item refunds will be closed.

Vehicle Type now added in the Order Dashboard - Live Today

You can now see the assigned vehicle type for each Rider in the Hub Portal - Order Dashboard. Use this information to make sure Riders are using the actual vehicle they are assigned to.

Customer Address Changes

We are streamlining the customer-hub communication for cases where:

  • A customer selected the wrong address AND

  • The correct address is within your delivery area AND

  • The order has already been picked up and cannot be cancelled by the customer

What's changed?

  • If a customer needs to change his address, and it falls within your delivery area, we will send you an automated message informing you of the new address.

Process

  1. You will receive the following notification in your Customer Support channel.

  2. Please click “Confirm” to acknowledge the message, so we can inform the customer.

  3. If you do not click “Confirm” within a set timeframe, a Customer Support agent will reach out to check with you.

Delivery Note Changes

We are also streamlining customer-hub communication for cases of delivery instructions change. Similarly to the address change flow, you will also receive a message on Slack - this time purely for visibility, no action from the hub is needed as we will update the notes to the rider directly in the Workforce App.

Matriculation recollection WiSe 24/25

  • We urgently require the matriculation certificates for the winter semester 24/25 for all working students and employees currently holding a student visa.

  • Please ensure that the necessary enrollment confirmations are submitted as soon as possible.

  • A failure to upload the requested documents will result in pausing the Quinyx account of the employees on a Student Visa.

  • Employees not requiring a Visa, but having a working student contract will be subjected to a contract change to part-time resulting in payment of full social contributions.

Please only follow the ones that have exactly the same naming as your hubs and also be careful with following the same hub code while downloading the files.

Some notes on the sheets:

  • the sheets are, as mentioned above, Hub-specific. So only the sheet named with your hub code counts;

  • "SKU" you can find the SKU that needs to be moved to another shelf space;

  • "oldShelf" - 4th column: If the cell is empty, we just assigned this product to your Hub, so please just store it on the shelf mentioned in "new shelf";

  • "newShelf" - 5th column: If the cell is empty, you can get rid of the product (same process as de-listing);

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.
