[GO-LIVE] Restocking Flow - The restocking list is here 📃

The restocking flow helps you to prioritize the products in restocking and Ops Associates have the option of pressing the '+ Add for Restocking' button during the picking process.

  • Ops Associate presses the '+ Ask for restocking' button during the picking process if products are missing from the front shelf

  • By pressing the button, the product is added to the list of required products on the front shelf

  • The list of required products can be accessed via the 'Inventory' > 'Restocking List' tab in the HubOne app

  • Individual products or all products required in the front shelf can then be added to the restocking list by clicking on 'Add all items'.

  • Click on 'Start Restocking' to start the restocking process.

[GO-LIVE] Self Service in the Workforce app - adjust your data yourself now 🪪

In the Workforce app, employees can now edit their personal data, such as address, bank details, contract information and download their payslip as a PDF.

Important: Please also inform your Ops Associates about the self-service option and ask them to download the app!

[INSIGHT] Hub 3.0 - Examples for optimizing the backstock 🔙

The new Hub 3.0 concept, to which over 80% of hubs have already been converted, creates space for more products on the shelves, which means that some shelves need to be restocked more frequently. For this reason, a path-optimized arrangement of the backstock is a helpful means of improving refilling, inbounding and picking times.

Below you will find some helpful ideas for arranging the backstock:

  • Backstock with high sellers should be close to the shelf of products

  • Beverage backstock should be placed close to the beverages if possible

  • Backstock for toilet paper at the end of the picking course next to the handover shelf

[INSIGHT] Useful list for riders to report damage to bikes

When Shift Leads or Ops Associates+ are busy picking an order, for example, it can be difficult for riders to report damage to their bikes. As a result, defective bikes are parked without their status being adjusted in the Fleet Tool.

This is problematic because unreported damage accumulates, which only becomes apparent when there are suddenly too few bikes. In addition, immediate damage reporting is extremely important for managing the fleet.

This list can help to improve communication between riders and SL / Ops+.

[REMINDER] Report bike thefts via Zendesk ticket

  • If bikes are stolen, it is essential that this is reported immediately. It is not enough to set the bike to "stolen" in the Fleet Tool. Please create a Zendesk ticket to report the theft. We will then report the theft for you based on the data you have entered in the ticket.

  • If the theft is reported correctly, the damage will be paid by the insurance company. Otherwise, Flink will be asked to pay by the bike suppliers. The following points are the most important:

    • The theft must not have occurred too long ago (ideally less than 48 hours) and must be reported promptly

    • The bike must have been locked.

    • The address and time must be given

  • If these details are provided, we will file the report and pass the information on to the supplier and the insurance company.

  • Important:

    • Also create tickets for thefts that do not meet the above criteria. Ideally, of course, the criteria should be met so that we can recover the damage from the insurance company.

    • If you have reported thefts to the police yourself in the past, please also create a ticket and upload the police report. This option is also available in the ticket. We will then submit the ticket to Cycle or Smartvelo.

    • From now on, do not file any reports, but only create Zendesk tickets. We will refund the ads for you.

  • You can see where to find the ticket in the pictures.

[REMINDER] Report defective bike batteries via Zendesk ticket

Defective batteries can also be reported via a Zendesk ticket (Fleet Issue / Missing Bike > Problem With batteries, power adapters, locks or keys). Please only report one battery per ticket. This makes processing and traceability much easier.

[INSIGHT] Bike boxes (incl. spacers) can be ordered again

Bike boxes can now be ordered again in Coupa. The boxes contain the base plate, the mounting set and spacers.
IMPORTANT: The mounting instructions (video link inside the box) have not been adjusted after the spacers have been added. The spacers must be installed on all Cycle bikes (Henry I and RadRunner). This makes it easier to fit the saddlebags.

[INSIGHT] A high number of unsolved tickets in People Services & Workforce support team

  • Due to absences in the People Services and the WFS team, we have a high number of unsolved tickets. We currently have 1233 cases open for People Services & 690 for Workforce support.

    • Please only escalate tickets related to Visa to the People Services team, we are working on solving the tickets as fast as we can and we will process resignations, document requests, etc. as fast as possible with our current resources.

  • We also kindly ask you to remind the employees to not open multiple tickets so that their issues can be solved more quickly and to choose the best suitable option in the contact form for faster reply times.

[REMINDER] Employees don’t need to contact WFS to request vacation

  • Kindly remind the employees not to create tickets if they requested vacation in Quinyx.

    • All vacation requests are handled directly in Quinyx and employees will get an email when their request has been handled by the team.

    • This means there is no need to also contact WFS when requesting vacation.

  • Please make sure to only add this to NEW CUSTOMER ORDERS, since the copy includes information regarding the beginner vouchers which would mislead existing customers

Some notes on the sheets:

  • the sheets are, as mentioned above, Hub specific. So only the sheet named with your hub code counts;

  • "SKU" you can find a the SKU which needs to be moved to another shelf space;

  • "oldShelf" - 4th column: If the cell is empty, we just assigned this product to your Hub, so please just store it in the shelf mentioned in "new shelf";

  • "newShelf" - 5th column: If the cell is empty, you can get rid of the product (same process like delisting);

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.
