[GO-LIVE] Performance Live Steering Taskforce 🤝

Effective immediately, a staff member familiar with Hub Operations will assist with:

  • Daily inquiries about hub closures;

  • Occurring Picker Bottlenecks in the Hubs.

Please respond to the colleague's message as soon as possible so we can work together to resolve the hub challenges in a timely manner.

The following communication structure is in place for the Performance Live Steering Taskforce:

[FOLLOW-UP] Inbound Training Campaign in 🤓

Last Wednesday, we emailed our 15-minute Inbound Training in Northpass to you.

Please take 15 minutes this week to complete the inbound training.

[GO-LIVE] Mobile Version 📱

We have designed a mobile version of the Inbound Checker for the Hub Phone Zebra and would like to briefly introduce it to you in a training

Feel free to invite your colleagues for training.

This mobile version allows you to check deviations directly on the floor without having to return to the hub PC all the time.

[REMINDER] Handover Prozess & Container usage

Please make sure to be careful when choosing the right container for an order to optimize stacks and trips for the rider.

This means to whenever possible use S-Container(s) and only use the backpacks for bulky and light items such as toilet and kitchen paper.

[REMINDER] Report bike thefts via Zendesk ticket

  • When bicycles are stolen, it is essential to report it immediately. It is not enough to set the bike to "stolen" / "stolen" in Fleet Tool. Please create a Zendesk ticket (under Submit a request > Fleet Issue/Missing Bike) to report the theft. We will then take care of creating the report for you based on the data you wrote in the ticket.

  • If the theft is reported correctly, then the claim will be paid by the insurance company. Otherwise, Flink will be asked to pay by the bike suppliers. The following points are most important:

    • The theft must not have occurred too long ago (ideally less than 48 hours) and must be reported promptly.

    • The bike must have been locked.

    • The address and time must be given

    • If these details are provided, we will file the report and pass the information on to the Supplier and the insurance company.

  • Important:

    • Also create tickets for thefts that do not meet the above criteria. Ideally, of course, the criteria will be met so that we can recover the loss from the insurance company.

    • If you have independently reported thefts to the police in the past, please also create a ticket and upload the police report. This option is also available in the ticket. We will then submit the ticket to Cycle or Smartvelo.

    • Do not file reports from now on, just create Zendesk tickets. We will take care of the refund of the ads for you.

[UPDATE] Training scheduled for Fleet & Equipment Shift

Thanks to all the Hub Managers, Riders, and Ops Associates who planned and executed the Fleet & Equipment Shift! 🚀

That being said, again this week, less than 50% of the Hubs scheduled the shift.

We also realized that the informational material provided was not sufficient to ensure that all tasks were performed correctly. Therefore, we will be providing training sessions in a timely manner for all employees who can be scheduled for the shift. We will come back to you with more information for this.

[GO-LIVE] New tool for uploading the GBU

There is a new tool to upload the GBU. From now on, please use the link in the Zendesk page for the Occupational Safety Folder (to be found in the first section: Risk assessment) to upload your current GBU. This way they can be retrieved at any time and we have an overview of when a check for up-to-dateness is necessary.

[UPDATE] New operating instructions

The operating instructions for the battery charging cabinet, as well as for the air conditioning system, are now stored in the drive and must be printed out and signed twice. Please attach them once to the other operating instructions in the hub and the others to the folder.

Billing forms for the first aider training must be stamped with a company stamp. To do so, please scan the completed form and post it to the Slack channel #work-safety-support. We require at least 4 days lead time to process and return the form.

[ACTION] New Customer Sampling

  • We will have a new customer sampling with Ferrero again

  • You should receive the Flyers by end of this week/beginning of next week

  • The sampling is for Hanuta Minis

  • This time, you will receive the cards and the samples not attached to each other

  • Please make sure to add one of each into every new customer order

  • You will receive one box with both the cards and the sample

  • You will be reminded in the HubOne app (see picture below)

[INSIGHT] New In-App Raffle with Langnese

  • We will have a new In-App Raffle with Langnese in CW35

  • To be part of the lottery, the customer has to buy 2 Langnese products and add the free article “Gewinnspiel: Langnese" (SKU 108900115) to the basket.

  • Prize of the raffle: Tshirts

  • YOU HAVE NO TO-DO IN THE HUBS. The "Gewinnspiel: Langnese" article does not physically exist in the hubs. It is only used for active participation in the raffle. Therefore, you do not have to pick anything and attach it to the order!

IMPORTANT: The shelf Change is only Valid for the Hubs that are in hub 2.0 setup.

In the google drive folder you will find the G sheet files for all the hubs that are affected in the shelf changing. Please only follow the ones that have exactly the same naming of your hubs and also be careful with following the same hub code while downloading the files.

Some notes on the sheets:

  • the sheets are, as mentioned above, Hub specific. So only the sheet named with your hub code counts;

  • "SKU" you can find a the SKU which needs to be moved to another shelf space;

  • "oldShelf" - 4th column: If the cell is empty, we just assigned this product to your Hub, so please just store it in the shelf mentioned in "new shelf";

  • "newShelf" - 5th column: If the cell is empty, you can get rid of the product (same process like delisting);

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.
