[INFO] DE A/B test 'planned Orders' - June 26 ⏱️

  • Since Monday we are testing 'planned Orders' in an A/B test all over Germany. A special feature is that 50% of our customers have the possibility to see the 'Planned Orders' feature, while for the other 50% the app view remains as usual, without any indication of 'Planned Orders'.

  • In the image below, you can see the customer view when there are free 'Planned Order' slots available for the customer. Customers can select 1-hour slots for a 'planned order'.

Important notes:

  • Customers can only place planned orders if we see that there are enough riders planned for the day (if you have a lot of no-shows or cancellations due to illness, this will be taken into account).

  • Planned orders can currently 'only' be placed for the same day

  • If you receive a planned order in the hub, there will be no extra tasks for you

    • The order will be placed in the queue 20 minutes before the delivery window -> then ready to pick

    • There are no specifics to consider, also the process for cancellations remains the same.

  • A 'planned Order' enters the 'Picker Queue' 20 minutes prior to the delivery window

  • The 'Promised Time' for planned orders shows the delivery window selected by the customer

  • The 'Delivery Status' counts the time history of the 'Planned Order'.

[ACTION] Use air conditioner effectively with PVC curtains

  • Please attach the PVC curtains when using the air conditioners to prevent warm air from entering the cooled hub and allow the air conditioner to work effectively.

[ACTION] Notes on handling refrigeration equipment

  • Keep cooling units closed.

  • It is important when picking or inbound to close the cooling units completely again so that the cooling unit can reach and maintain the set target temperature more easily.

[INFO] Condensation water from refrigerators

  • Especially in summer, refrigerators produce more condensation. When the drip tray overflows, there is a risk of accident due to slipping.

The following steps should then be followed:

  • Regularly check the drip pans (on the back) of the refrigerators.

  • in case of imminent overflow, use the recommended pump (see picture) to pump out the condensed water

  • The order of the pump is possible via Amazon (link) through the Hub Manager.

Occupational safety note: If water does spill over, please wipe the floor dry. Do not place cardboard or paper on the floor, as this poses an accident risk.

ℹ️ See more about it here.

[ACTION] Onboarding Training

  • Did you complete your onboarding training?

  • Here is the QR code that you can print and hang up in your hub for easy access.

  • Please note that onboarding training is a legal requirement for hub staff to complete. It helps keep you, our staff and customers safe.

[ACTION] HOM Quiz Q2

Please take part in the HOM Quiz Q2 🤓

The first three participants to answer all questions correctly will win a €30 FLINK voucher. 🎉

  • Based on your feedback, we’ve updated the Hub Operating Model or HOM quiz.

  • It has been developed to refresh knowledge for hub managers and shift leads on core processes/updates implemented in the past quarter and to help us track where learning opportunities are required.

  • You will receive the link to the course by email on Wednesday with a request to complete the quiz by 24 July.

Demand Planning / Replenishment

[INFO] Promotion SKUs CW27

Hi everyone,

For promotion SKUs week 27 please see here. In case of any questions, feel free to contact Nathalie Andersson.

We have started to adjust our Never Out of Stock forecasts and until we have found a decent level for all locations there might be some higher waste on some critical SKUs. We are closely monitoring and adjusting accordingly.

Marketing Activities Updates

__________________________________________________________________________

[ACTION] RAF- Flyer

  • Please remember to put a new RAF-Flyer into every order!

  • RAF-flyer are our most effective offline marketing acquisition tool, this quarter we even have two different versions to test out 🚀

  • Our top three performer (hubs with the most RAF-redemptions) from last week are:

  1. de_drs_prag

  2. de_kar_zent

  3. de_wup_elbe

  • For Q2, we have no more flyers on stock

  • But once the new ones for Q3 will be ready, every hub will receive a fresh batch > no need to reorder yourself in the beginning of Q3

[ACTION] Park Delivery Sticker

  • As you all should know we have started our Park Delivery feature a few weeks ago

  • We have started communications online as well

  • We have produced stickers to inform customers to take their trash with them

  • You should all have them in your hubs by now

  • The stickers will need to be put on every park delivery order

  • Image shows how park delivery orders will be displayed in the picker app

  • Please reach out to Kinga Gostomczyk if the flyers will be out of stock anytime soon

Fleet Updates

____________________________________________________________

[INFO] Archiving of bicycles - to be done only by HQ!

  • The archiving of bicycles, e.g. when a bicycle has been replaced with a total loss, may only be performed by HQ.

  • It is important that bicycles are archived only after all processes around the respective bicycle have been completed. This could be a report of theft, an insurance claim, or a warranty claim.

  • In order for our fleet to match the Cycle, Smartvelo, etc. bill, we need to ensure that our Fleet Tool is orderly and there are only archives that are actually allowed.

  • Therefore, the archiving of bikes should generally only be done by HQ.

Procurement

_________________________________________________________________________

[ACTION] Choosing the correct cost center when placing an order for paper bags

  • Please remember that there are separate budgets for paper bags so that you do not exhaust your budgets for hub supplies when ordering the bags. By default, your cost center is 150 (Country Ops), which you need to update to 241 (Paper bags), so that a separate budget dedicated for the bags is applied.

  • If you do not do it, your budget for hub supplies will be exceeded and your requests will escalate to the budget owners Ronald Kellner/Kevin Miler. You can update the cost center by clicking on the magnifying glass on the requisition item line.

[2.0 Hubs] Delistings & Shelf Changes

____________________________________________________________________________

[ AKTION ] 2.0 Hubs Shelf Changes

:de:

DE-Version

:rotating-light-red:

  • "SKU": Wie gewohnt findet ihr unter "SKU" den Artikel der umgestellt werden soll;

  • "oldShelf" - 4. Spalte: Wenn in dieser Spalte keine Shelf Platz findet, ist der Artikel neu Eurem Hub zugewiesen, ihr könnt ihn also in das korrekte Shelf unter Spalte "newShelf" stellen;

  • "newShelf" - 5. Spalte: Wenn die Zelle leer ist, könnt ihr den Artikel entsorgen (gleicher Prozess wie bei einer Auslistung);

EN-Version

:rotating-light-red:

IMPORTANT: The shelf Change is only Valid for the Hubs that are in hub 2.0 setup.

:rotating-light-red:

In the google drive folder you will find the G sheet files for all the hubs that are affected in the shelf changing. Please only follow the ones that have exactly the same naming of your hubs and also be careful with following the same hub code while downloading the files.

Please find the file here {LINK}

Some notes on the sheets:

  • the sheets are, as mentioned above, Hub specific. So only the sheet named with your hub code counts;

  • "SKU" you can find a the SKU which needs to be moved to another shelf space;

  • "oldShelf" - 4th column: If the cell is empty, we just assigned this product to your Hub, so please just store it in the shelf mentioned in "new shelf";

  • "newShelf" - 5th column: If the cell is empty, you can get rid of the product (same process like delisting);

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.

If you have any questions, please contact @space_planning.

Thank you!
