[INFO] HubOne App: Inbound Based on Delivery Identifier/ 'REWE Rolli Scanning' - Use correctly 🤓

How do I use "Inbound Based on Delivery Identifier" correctly?

  • For Rewe deliveries - scan the Rolli barcode.

    • HubOne app 'Inbound' → Select Delivery = 'REWE' → Scan Rolli barcode or enter manually → Start the inbound process as usual.

  • For other suppliers - no innovation

    • HubOne app 'Inbound' → Select Delivery = 'Other delivery' → Start the inbound process as usual

  • For products from another delivery day that are found in the backstock, for example.

    • HubOne app 'Inbound' → Select Delivery = 'Not party of the delivery' → Start the inbound process as usual

Important: If you cannot assign a product from a Rewe delivery from the same day, the Inbound Checker will help you to find the correct Rolli ID.

As soon as your hub receives a delivery, it is important to do the Delivery Check-in in the HubOne App. On the OnePager, you will find once again the most important information about the process 🤓

[INFO] Launch - New link for Workforce Support Form - live Wednesday 21st June

Starting Wednesday 21st June Riders & Ops Associates will need to use their single sign on (Flink app credentials) to access the workforce support forms via Help Centre. This will be replacing the old Typeform link.

Please replace the print out here and ensure your staff are able to login with single sign on to the Help Centre here.

  • If staff cannot find their login credentials, you can reset their password

    • HubPortal → WF → Use Search bar to find employee → Click on employee → Click on Reset password to send via email → Tell the employee to follow instructions in email inbox

  • Report any other issues to #zendesk_hubwiki_support

[INFO] TEST - Increase trip acceptance A/B testing on 50% of riders

Before a trip is accepted in the workforce app, some riders will see less information about the order(s), in order to reduce declining/expiring. This is a test so not all riders will have this change.

[INFO] Process update - Contract changes

  • On June 22th, the WFS Team will launch a new contract change process.

Keys of the new process

  • Employees can raise contract change requests directly to Workforce Support via the contact form.

  • WFS will approve or deny based on optimal contract mix in the Hubs.

  • Hub Managers are informed and can veto within 48 hours.

  • A waitlist will be introduced for position changes only.

  • Please check this presentation for more insights.

[INFO] Less than 60 payroll tickets to solve

  • In W23, the support team was able to solve and provided solutions to 451 payroll tickets and almost finished payroll tickets for June. It is a great achievement for the team considering that we are still in mid-June and solved all payroll tickets in 2 weeks.

  • We only have 57 tickets open in the group that should be solved in the upcoming days.

  • The SSC team will not provide updates in the Hub Managers newsletter for the next 2 weeks (W25 and W26) due to absences.

  • If there is any major update or process change, we will communicate to you through the slack channel de_ops_leads. The newsletter updates will return on W27.

[ACTION] RAF- Flyer

  • Please remember to put a new RAF-Flyer into every order!

  • RAF-flyer are our most effective offline marketing acquisition tool, this quarter we even have two different versions to test out 🚀

  • Our top three performer (hubs with the most RAF-redemptions) from last week are:

  1. de_old_nado

  2. de_drs_prag

  3. de_lei_rosa

  • Special shoutout to old_nado for making the list four times in a row and lei_rosa for two weeks in a row!

  • For Q2, we have no more flyers on stock

  • But once the new ones for Q3 will be ready, every hub will receive a fresh batch

[INFO] Park Delivery Sticker

  • As you all should know we have started our Park Delivery feature a few weeks ago

  • We have started communications online as well

  • We have produced stickers to inform customers to take their trash with them

  • The stickers were supposed to arrive last week, but unfortunately there was a delay but they should be with you middle of the week

  • The stickers will need to be put on every park delivery order (still working with ops on the visibility in the picker app -> Updates will follow ASAP)

  • Last week we sent out two mailing campaigns

  • Addressed directly to our customers with retention vouchers for inactive customers

  • Three different versions with “jobs to be done”

  • Breakfast, lunch and late-night snacks

  • Not personally addressed, with two new customer voucher codes

[INFO] Go-live - New Slack-Bot: Automated Reminder to report damages

  • This Wednesday, a new Slack bot will be activated. It will remind the hubs and all stakeholders to maintain the Fleet Tool and report damages. It's recommended to update your Fleet Tool today to avoid receiving a message tomorrow already.

Why damage reporting is important

  • Accelerates the repair of defective bikes (e.g., by ensuring the right spare parts are available and brought by the mechanic).

  • Makes planning of maintenance visits more effective

  • Enables comparison of vehicles and service providers by reflecting the actual state in the hub through the Fleet Tool.

  • Makes it possible to enforce the contractually agreed bike availability / uptime (Service Level Agreement).

Why action is needed

  • Damages should always be reported immediately by HM, SL and OA+ as soon as they occur, so that suppliers are promptly informed and maintenance visits can be scheduled. However, immediate reporting often does not happen.

  • Currently, 30 out of 97 hubs only report damages every 5 days or even less frequently. In comparison, the other 67 hubs report at least one damage on average every 3 days and every 2.2 days in the Netherlands.

How the Slack bot will support you

  • Daily automatic reminders to the hub when no damages have been reported for an extended period.

  • Reinforcement of the defined process through these reminders.

  • Automatic involvement of hub managers and cluster leads if no damages are reported despite the reminders.

When and who will be involved

  • According to the current settings, the hub will receive this message after four full days without a damage report:

  • The hub manager will be informed after 5 days, the cluster lead after 7 days and fleet management after 10 days with the following message:

Einige Hinweise zu den Sheets:

  • Die Sheets sind, wie oben erwähnt Hub spezifisch. Es zählt also nur das Sheet was mit Eurem Hub Code benannt ist.

  • "SKU": Wie gewohnt findet ihr unter "SKU" den Artikel der umgestellt werden soll;

  • "oldShelf" - 4. Spalte: Wenn in dieser Spalte keine Shelf Platz findet, ist der Artikel neu Eurem Hub zugewiesen, ihr könnt ihn also in das korrekte Shelf unter Spalte "newShelf" stellen;

  • "newShelf" - 5. Spalte: Wenn die Zelle leer ist, könnt ihr den Artikel entsorgen (gleicher Prozess wie bei einer Auslistung);

  • Wenn die Zellen "oldShelf" und "newShelf" beide eine Shelfnummer haben, kann dieser Artikel ganz normal umgestellt werden.

IMPORTANT: The shelf Change is only Valid for the Hubs that are in hub 2.0 setup.

In the google drive folder you will find the G sheet files for all the hubs that are affected in the shelf changing. Please only follow the ones that have exactly the same naming of your hubs and also be careful with following the same hub code while downloading the files.

Some notes on the sheets:

  • the sheets are, as mentioned above, Hub specific. So only the sheet named with your hub code counts;

  • "SKU" you can find a the SKU which needs to be moved to another shelf space;

  • "oldShelf" - 4th column: If the cell is empty, we just assigned this product to your Hub, so please just store it in the shelf mentioned in "new shelf";

  • "newShelf" - 5th column: If the cell is empty, you can get rid of the product (same process like delisting);

  • if both "shelf" and "newShelf" have a shelf number, it's a normal shelf change.

The changes will go live tonight between 01 am and 07 am, please reorder the products tonight/ tomorrow morning.
