Work Safety & Food Control + Architecture & Hub Layouts

Our team is broad and has a wide range of responsibilities.
The "Architecture" department submits the building applications for our hubs and coordinates the necessary expert opinions from the fields of fire protection, surveying engineering and noise protection. We are in constant contact with the building supervisory authorities throughout Germany and ensure that our hubs comply with the building code requirements of the respective federal states and that our operations can be approved.
The "Hub Layouts" department draws the floor plans for launches and rebuilds of the hubs, records the inventory and is in exchange with many other departments to continuously develop the layouts. We also provide support, for example, with visualizations and check feasibility for projects such as C&C and Kitchens.
The "Work & Food Safety" departments ensure that we comply with all the necessary requirements in the areas of employee's internal protection and food safety and define the measures required for this. We respond to visits and inquiries from the relevant authorities throughout Germany and are also in constant contact with the authorities in this area. Together we strive to set clear and simple internal standards for work and food safety and to make them available to you in a comprehensible and easy-to-implement manner.

In this newsletter we will keep you up-to-date on new workflows and inform you if we are working with new suppliers for topics such as cleaning and pest control. We also announce new guidelines and information in the form of new Zendesk articles.
Property Management

My team is responsible for expansion, facility management and portfolio management. I would like to give you an insight into the responsibilities of the individual topics.
Expansion: Growth is our Mission
Expansion is responsible for scouting, signing and subleasing.
We constantly scout the market for suitable rental space. We do not limit ourselves to the well known internet portals, but are in constant exchange with brokers, developers and owners and are constantly expanding our network.
After a rental space has been qualified and thus meets all our requirements, the second S, the signing, follows. Here we negotiate the terms of the lease (rent, term, fit-out standards, powers of attorney, etc.).
In subleasing, we market our old hub space, which we no longer operate due to various factors, but which still has a remaining fixed term in the lease.
Facility Management: We keep things rolling
Part of the daily work in FM is processing hub support tickets. Here, the scope of tasks is varied, from replacing a defective light bulb to rectifying structural defects after visits to the authorities, to installing a new elevator or installing air conditioning systems.
Controlling and managing service providers for waste disposal, pest control, cleaning and maintenance partners for fixtures are further areas of responsibility. Other controlling tasks include checking the
of utility bills and service provider invoices for all German locations.
The FM also takes over the construction project management for closures and new openings, from tendering and bidding to interim acceptance and final handover.
Portfolio Management: Guardian of our Rental Contracts and Landlord
The PM is responsible for all rental contracts and rental payments throughout Germany.
The hub portfolio is constantly analyzed and optimized.
Existing rental contracts have to be renegotiated and supplemented with addenda due to the dynamic development of Flink.
Expiring leases need to be renegotiated and extended.
For our landlords, the PM is the first point of contact for concerns regarding the lease. In joint dialog, we seek solutions to the challenges posed by our usage.
Commercial / Assortment / Projects

In the Commercial Team, we are responsible for ensuring that the latest and best products are always in our range. We take care of the listing and delisting of products in the app and ensure that our range always remains up-to-date and attractive.
To ensure that we can offer the best brands and products, we regularly negotiate with well-known companies such as Unilever, Red Bull or Danone. This not only involves the inclusion of new products, but also marketing placements and promotional offers that are made as attractive as possible for our customers.

Hello from Customer Care! 👋
Most of you have probably met most of us through slack but we wanted to re-introduce ourselves again on here.
Here are our amazing DE trainers, they are the ones responsible for the quality assurance in the department. They are constantly working on improving, training and giving feedback to our agents to help them grow and improve their work.
Following the trainers, we have a total of 20 agents, 5 senior agents and 2 Shift Leads on the German CC team. This is including the support given from our external partners.
To shortly recap what we do.
As the name already reveals, we are the ones that are in contact with our customers on a daily basis answering all questions, requests or concerns that they might have. The customer can reach us either through a live chat inside of the Flink app or through email, but we we are also taking care of the online reviews and comments left on our app, Hubs, HQ, etc.
What can you expect to read from us here?
In this newsletter we will be sure to share important updates and changes. Here we can also show if there would be any interesting data from the previous week to share across the country, as well as share the trends of cases growing in volume that are related to any hub processes.

Legal & Public Affairs

The Legal team provides advice in the following areas:
People Ops: advising the People Ops Team on employment law issues (checking that employment contracts are correct, updating contract templates, etc.)
Customer Care: advising on potential claims for damages or other complaints regarding deliveries
Public Law: advising on complex regulatory issues (e.g. occupational health and safety, sale of alcohol and cigarettes, pricing and food labeling regulations)Procurement/Expansion/Commercial/Marketing: drafting, reviewing and negotiating various contracts (e.g. NDAs, leases, supplier agreements, IP/IT contracts, cooperation agreements), adapting and updating Flink's GTCs
Compliance, data protection: setting up Flink's compliance management system and improving data protection measures
Litigation representation: advising the company in connection with administrative and civil court proceedings
Public Affairs includes the following areas:
Neighbor Communication: PA helps with relations with our neighbors. In the case of neighborhood complaints, PA tracks complaint tickets and handles communication with the neighbor to bring about a joint solution that takes Flink's interests into account
Political Relations: Building optimal relationships with political stakeholders at all necessary political levels (federal, state, city, or district) such as through hub visits with politicians
Media communications: PA has close relationships with the communications team and participates in disseminating information to political stakeholders and providing strategic communications advice
Issue Management: PA work includes issues such as labor and the future of work, the future of cities (including, in context, road safety for our Riders), platform economies, and food regulations.
Sustainability: PA coordinates Flink's sustainability efforts
People Ops

People Operations supports you in all your HR topics around your hubs. You will be informed in the newsletter mainly about HR process improvements and information regarding new legislation. Core activities of the People Operations team include:

Workforce Ops

Workforce Operations supports our employees in performing their jobs as efficiently and effectively as possible. Our mission is to enable every employee to provide the best possible service to our customers. Workforce Operations can be divided into three main functions:
Workforce Growth: Based on assumptions about future order, UTR, sick, vacation and churn trends, Rider Growth sets hiring goals and is responsible for both meeting them and getting everyone on a first shift if possible. In the newsletter, you will primarily be informed about tests and final process adjustments in Hiring, as well as Capacity Management.
Workforce Scheduling: Based on the efficiency plans of our business planning, our strategic service level goals and operational feasibility, Workforce Scheduling develops and implements the shift plans for our employees. In the newsletter, you will hear primarily about testing and final process adjustments to facilitate and improve scheduling.
Shared Service Center: On the HQ side, we are the first point of contact for our employees. Our goal here is to provide our employees with the best possible support for questions and problems relating to their operational activities. You will be informed in the newsletter mainly about tests and final price adjustments. Core processes in which we provide support include:

The DE Marketing Team
Alicia - responsible for all local activities like mailbox, refer a friend, flyers in the hubs, park delivery and generally always finding new ways to acquire new customers.
Yve - manages our partnerships such as Mastercard or Corporate Benefits. She is always looking for great and big brands that can let us benefit from their reach and target audience.
Dasha - is responsible for all our weekly campaigns in close collaboration with all marketing teams. She brings our weekly themes to life in the app and across CRM, performance marketing and social media.
Anna - our working student who takes care of the community management of our IG account. She answers all nice but also critical inquiries.
Nguyen - is our gateway to the influencer community. She negotiates collaborations and brought Lena Gercke's IG story live.
Toni - actively supports Nguyen in our influencer barter deals and together with her makes sure that we always know about the hottest people. She also supports Simon with PR issues.
Simon - leads the Influencer Team globally and is mainly responsible for important PR topics for Germany. He keeps our name out of critical press and places us in good hands.

Fiorella & Penny - are responsible for monthly budget planning, order & hitting new customer goals, Out of Home, and keeping everyone happy.
In addition to all of these great people, we get active daily support from the global marketing team consisting of: CRM, Performance Marketing, Brand & Design.
Fleet Updates

Tasks & Touchpoints with the Hubs
The Fleet Management Team is responsible for making sure you have a functioning fleet of bikes to deliver the orders. Mathis is responsible for the operational business in the German market. He is therefore the central contact person for the German hubs and cluster leads when it comes to the fleets. Mathis is in constant contact with the bike suppliers so that, for example, the service for the bikes in the hubs is constantly improved. He also keeps an eye on various key figures and implements projects (e.g. taking out Movelo bikes) to optimize the fleet.
Mathis is supported by Oskar and Kim, who also cover the NL and FR markets in their global roles. Oskar executes larger projects that affect all markets and is involved in contractual matters. He also keeps track of what is currently happening with the fleets in the different markets. Jackets, pants, boxes, saddlebags, etc. are up to Kim. She develops all that together with different suppliers and takes care of getting the stuff to you in the hubs.
You can expect various updates from us: There will always be small improvements to the Fleet Tool, for example, to make it easier to report damages. At the same time, we are also working on ways to get away from cable ties for saddlebags and boxes, so that the equipment can be mounted and dismounted much faster. But we are also working on everyday things, such as stocking up on batteries.
Supply Chain Updates

The Supply Chain Operations team is responsible for every part of the value chain, from ordering from our suppliers to receiving the goods at our hubs. We handle all supplier-related logistics issues and are the first point of contact for any logistics questions our hubs may have. We pride ourselves on maintaining a high level of communication with our suppliers to ensure they understand our expectations and to resolve any issues promptly.

Optimize supplier performance to ensure on-time delivery in the right quantity and perfect quality
Coordinate communication with our main supplier Rewe (e.g. special empties pickups)

Demand Planning / Replenishment

Greetings from the German Demand Planning Team!
We are here to ensure that the customer can order any item from our supply at any time. Our goal is to ensure the best availability of products and the lowest waste in the hubs.
How do we do that?
We make sure that the forecasts for all items in the hubs match the sales figures.
We maintain a constant exchange of information with the hubs to ensure that they are not overstocked with merchandise and communicate when higher shipments are expected.
We analyze and monitor the performance of each location/category/SKU to always ensure the best possible availability.

Payroll
_________________________________________________________________________________
The Payroll team is primarily responsible for ensuring that the payment of all Flinkers is received on time and correctly in their accounts. This is done on the basis of the data (Qx, Fountain, SAP) available to us and taking into account tax and social security assessments.
In addition, we are happy to provide support if you have questions regarding payroll accounting, health insurance, tax classes or similar issues, but also regarding certificates (especially for the ARGE).
Procurement

At Flink, the Procurement Team is dedicated to ensuring the best purchasing terms for the company. We are a global department that oversees all categories such as Hub Equipment, Marketing, Property Management and much more.
Tasks & Touchpoints with Hubs:
Coupa - we help you get along with the tool, add new items to the assortment and make sure deliveries are confirmed in Coupa.
Hub Equipment - we negotiate conditions for hub equipment, fridges, shelves and are always happy when you give us feedback!
Property Management - we negotiate contracts with, among others, cleaning and waste disposal companies, so your feedback on this is especially important so that we only work with companies that perform well!
