Must-do steps for Riders and Ops Associates when requesting an absence

Absence due to sickness

  1. Inform hub/Hub Manager a minimum of 1 hour in advance that they won’t be able to make their shift.

  2. Visit a doctor that same day to officially determine a sickness.

  3. Enter a sick leave into Quinyx .

    1. If they received a sick note in paper from the doctor, they need to choose "Sick Leave (Paper) Requested". They will then receive a request from Workforce Support to upload the sick note.

    2. If they did not receive a sick note in paper, they need to choose "Sick Leave (Electronic) Requested" and Flink will request the sick note from the insurance company directly. More information on our sickness policy can be found here.

Important:

We request that all hourly paid employees provide us with a sick note on the first day of sickness or have an incapacity for work determined by a doctor in accordance with the new electronic sick note (eAU) process on the first day of sickness.

Absence due to other reasons

  1. The Rider/Ops Associate needs to firstly try and swap their shift with a colleague via Quinyx according to the instructions described here.

  2. If they can’t find a replacement, they can leave shifts as “available” so that other colleagues see them and potentially take them. More instructions on that here.

Important:

If no one takes that shift and the shift remains available, it will be counted as a “no-show” for the Rider/Ops Associate in question.

Important:

After 8 days from the employee’s no-show, they will automatically receive a formal warning over email. This is a legally binding warning and means we can legally terminate the employee after a second warning and a 3rd no-show. No-shows are a reason for legal termination.

3. There is a three-strike policy for “no-shows” which can result in the Rider/OA’s contract being terminated. If they can’t make their shift due to exceptional reasons, they can also contact their Hub Manager directly for approval. If not, their absence will automatically be logged into our system as a "no-show".
