Fleet and Equipment Shifts: scheduling on Quinyx & performing them

Every week between Monday and Wednesday, you can schedule a shift between 30 min and 2 hours on Quinyx in order to perform a number of different tasks (specified below) related to fleet and equipment. These tasks are done by an Ops Associate or a Rider, which are chosen by the Hub Manager.

Instructions

Scheduling the shift on Quinyx

  • The Hub Manager schedules this shift between Monday and Wednesday in the morning.

  • The shift starts already before the hub opens, and includes the employee who unlocks the hub.

  • Example: the Shift Lead comes to the hub at 6:30 AM. The hub opens, and the deliveries start at 7:15 AM. The shift should therefore be scheduled from 6:30 to 8:30 AM.

How to create the shift

  1. On Quinyx, select the shift type “Special Task” and write “Fleet & Equipment” in the comment section. It's important to write it in English, as the analytics is done based on this comment.

2. TIP: In the best case, put this shift before a regular Rider/OA shift so no one needs to come only for 2 hours. For example, if you have a 4 or 6 hours Rider shift starting at 8:30 am, add the special task shift from 06:30 to 08:30 am.

How to perform the tasks

Please make sure the information in the forms is correct. The Fleet tool is adjusted according to these entries.

Inventory Checks for all Bikes, Batteries and the Stacking Equipment

Bikes

1. On Flowtify, open the "Fleet & Equipment Shift Check Weekly" and click on "Inventory Check- Bikes". Once it opens, click "Start".

2. On your Zebra, open the app "Bike Check".
Note that it might be grouped in a folder with other apps (as shown on the picture on the right).
Important: You need internet access for the forms to work properly (dropdown menus).

3. Fill the form according to the directions in it:

3.1. Select your Hub's ID;

3.2. Choose the supplier.

Note:

This form can only be used for one bike supplier at a time, but you can use it for multiple bikes of that supplier. If you have multiple suppliers at your hub, restart the form after submitting the first one.

3.3. Collect all bike IDs:

3.3.1. Click "+Add" and scan the barcode on the first bike. To see where the barcodes are, see this document.

3.3.2. Then select the correct bike from the dropdown menu.

Note:

Make sure to select the bike from the correct supplier and with the correct ID.

3.3.3. To add another bike, click "+Add" again.

3.3.4. Scan the barcode of the bike and select it from the dropdown menu.

3.3.5. Repeat this process until you have entered all the bikes in your hub.

3.3.6. If scanning does not work, for example, due to an unscannable barcode, enter the ID manually.

Note:

We want to avoid typos. Please use the scanning function as much as possible.

3.4. If the ID's are not available, it means the bike is not in the fleet tool. Please reach out to the Fleet Management Team to add the bike to your Fleet Tool.

4. Once you're done, click "Submit".

5. Go back to Flowtify and finish the task:

5.1. When asked "Have all bikes in the hub been checked and entered in the form?" click "Yes" and then click on the green tick.

Batteries

1. On Flowtify, open the "Fleet & Equipment Shift Check Weekly" and click on "Inventory Check- Batteries". Once it opens, click "Start".

2. On your Zebra, open the app "Batteries Check". Note that it might be grouped in a folder with other apps (as shown on the picture on the right).

3. Fill the form according to the directions in it:

3.1. Select your Hub's ID;

3.2. Choose the supplier.

Note:

This form can only be used for one battery supplier at a time. If you have multiple suppliers at your hub, restart the form after submitting the first one.

3.3. Click "+Add" and scan the barcode on the battery. To see where the barcodes are, see this document.

3.3.1. Then select the correct battery from the dropdown menu.

Note:

Make sure to select the battery from the correct supplier and with the correct ID.

3.3.3. To add another battery, click "+Add" again.

3.3.4. Scan the barcode of the new battery and select it from the dropdown menu.

3.3.5. Repeat this process until you have entered all the batteries in your hub.

3.3.6. If scanning does not work, for example, due to an unscannable barcode, enter the ID manually.

Note:

We want to avoid typos. Please use the scanning function as much as possible.

3.4. If the ID's are not available, it means the battery is not in the fleet tool. You can enter all the batteries' ID's under "IDs not available". Seperate each of them with a comma. For example: 423,8373,2363.

4. Once you're done, click "Submit".

5. Go back to Flowtify and finish the task:

5.1. When asked "Have all batteries in the hub been checked and entered in the form?" click "Yes" and then click on the green tick.

Stacking Equipment

1. On Flowtify, open the "Fleet & Equipment Shift Check Weekly" and click on "Inventory Check- Stacking Equipment". Once it opens, click "Start".

2. Make sure all bikes in your hub are equipped with boxes and saddlebags. Mount the boxes and the saddlebags if they are missing from the bikes.

3. On your Zebra, open the app "Stacking Equipment". Note that it might be grouped in a folder with other apps (as shown on the picture on the right).

4. Fill the form according to the directions in it:

4.1. Select the Hub's ID;

4.2. Click on "Attach File" and upload one picture containing as many bikes as possible to show that the stacking equipment is mounted.

4. Once you're done, click "Submit".

5. Go back to Flowtify and finish the task:

5.1. When asked "Have you checked that all bikes are equipped with saddlebags and boxes and added the picture in the "Inventory Check - Stacking Equipment" form?", click "Yes" and then click on the green tick.

Damage reporting

Reporting damaged bikes (if needed)

1. On Flowtify, open the "Fleet & Equipment Shift Check Weekly" and click on "Damage Reporting". Once it opens, click "Start".

2. In the Hub Portal, go to the Hub Dashboard and select the tab "Fleet".

2. Select the bike you want to report. Inside its file, click on “Damage reports”.

3. Click on “Report damage”.

4. Select the category of breakage and describe in your own words what needs to be repaired (see picture below). This information will help the supplier bring right spare parts.

5. Click on “Save” and start the next one if needed. Follow the same process.

Closing a damage report (if needed)

Option 1

1. In the Hub Portal, go to the Hub Dashboard and select the tab "Fleet".

2. On the top right corner, click on “Damages”.

3. Tick the damage in question and click on "Fix selected". You can select multiple damages at once.

4. A first pop-up informing you that the existing reports will be permanently closed will appear. Click "Fix".

5. A second pop-up requesting you to set the bike's status to "operational" will appear. Click on "Confirm".

Option 2

1. In the Hub Portal, go to the Hub Dashboard and select the tab "Fleet".

2. Click on the bike you want to change the status of.

3. The bike's file will open. On the top right, under "Change Status", click on "Maintenance Required". Once the dropdown opens, select “Operational”.

4. A pop-up asking you to set the damages to "Fixed" will appear. Click on “Set to Fixed”.

5. This will set all damages on that bike to "Fixed" and the bike to “Operational”.

6. Go back to Flowtify and finish the task:

6.1. When asked the question "Have you followed the steps above and checked that everything has been processed?", click "Yes" and then click on the green tick.

Once you're done with all the tasks on Flowtify, sign them off

1. Once you're done with the tasks required on Flowtify, click on "Signature & ID of Flink Employee".

2. Enter your Quinyx ID and click on the green tick.

3. On the next pop-up screen, write down your signature and click on the green tick.
