Freezer maintenance

This guide outlines the procedures for maintaining, cleaning, and reporting issues with both toploader and overhead freezers. Toploader freezers are the horizontal freezers located on the floor. Overhead freezers are mounted on the wall.

Proper care and handling of the freezers are essential, and this guide is intended for Hub Managers, Shift Leads, and Ops Associate Plus to ensure the equipment is maintained correctly.

Reporting a freezer issue

  • If a freezer is defective, report the issue to the Hub Manager so they can open a ticket.

  • The ticket must include:

    • Hub code

    • Hub Manager contact details

    • Type of refrigeration equipment

    • Model name

    • Serial number

    • Shelf number

    • A detailed description of the problem

  • Hub Managers are not authorized to assign technicians for repairs themselves.

Instructions: toploader freezers

General guidelines

  • Toploader freezers are calibrated during the launch and should not be adjusted afterward.

  • They serve two purposes: to be used either as freezers or for meat storage. These functions are preset by the Launch Manager.

  • Types of toploader freezers:

    • Paris 250 (-): standard freezer with 4 partition grids and no adjustable shelves.

    • Paris 250 (U): universal freezer that can be used for general freezing or meat storage, featuring 6 adjustable shelves and 4 dividers.

    • The specific type can be identified on the S/N sign.

  • General usage instructions:

    • Ensure the chest freezer doors are always closed properly.

    • Each freezer must be plugged into a separate outlet to avoid overloading.

    • The freezers are equipped with an automatic defrost function (DEF-MODE).

Type of display models

There are 4 different display models: MR1, MR2, ER1 and ER2:

The units may become hot due to the outside temperature, overfilling or other influences. The overheating of the motors will cause error codes.

If you receive an error code:

  1. Disconnect the freezer from the power supply.

  2. Wait 10 minutes and connect it again.

  3. If the error code still persists, give it to your Hub Manager so they can inform the Procurement Team via the ticket system.

Defrosting toploader freezers

Maintenance overview

  • Frequency: once a month

  • Assigned shift team: hub workforce and internal cleaning shift

  • Equipment needed:

    • Hand vacuum cleaner/food dustpan and brush

    • Green microfiber cloth and sponge

    • Disinfectant cleaner

    • Defroster

How to defrost toploader freezers

Important:

Steps 1-5 must be done the day before the internal cleaning shift.

  1. Begin with freezers that are dirty or have ice layers thicker than 1 cm.

  2. Temporarily transfer the contents to other freezers that maintain the same temperature range (below -18°C).

  3. Disconnect the freezer from the power supply.

  4. Remove the doors, base grill, and, if necessary, the side grills.

  5. Apply the defroster to the interior of the freezer.

  6. Leave the freezer open until all the ice has melted (ideally overnight). To speed up the process, place bowl(s) of hot water inside the closed freezer.

  7. Remove the melted water using a suction bottle or electrical pump, followed by a microfiber cloth.

  8. Clean the freezer, lid, and grills with disinfectant cleaner, then wipe with clear water. Use a sponge to remove any remaining dirt if necessary.

  9. Clean the rubber seals and rails with disinfectant cleaner and clear water.

  10. Allow the freezer and all parts to dry completely before reassembling.

  11. Wipe the exterior of the freezer with a damp cloth.

  12. Reassemble all parts.

  13. Reconnect the freezer to the power supply.

  14. Once the freezer temperature drops below -18°C, return the goods to their place and move the fridges back to their original position if necessary.

  1. External surfaces and running rails of the lids are cleaned once a week by an external cleaning service provider. However, if heavy soiling occurs in the meantime, hub employees must clean with the appropriate cleaning agents.

Instructions: overhead freezers

General guidelines

  1. Overhead freezers are calibrated during launch and must not be adjusted afterward.

  2. These freezers serve two purposes—either as standard freezers or meat chest freezers. The Launch Manager determines and sets these functions during the initial setup.

  3. Proper usage:

    1. Always ensure the doors remain properly closed. Avoid keeping the door open for more than 10–20 seconds, as this causes a rapid loss of cold air, which can be detected by the freezer's sensors.

    2. Do not place any boxes or objects on top of the overhead freezer.

  4. Each overhead freezer must be plugged into a separate outlet to prevent overloading.

  5. These freezers are equipped with an automatic defrost function (DEF-MODE), which runs several times a day.

Maintenance overview

  • Frequency: twice per quarter

  • Assigned shift team: internal cleaning shift and external Cleaner

  • Equipment needed:

    • Broom and brush set or sweeper set

Important:

This process must be done before the external Cleaner comes in for their shift.

  1. Move all the freezers to access hard-to-reach areas.

  2. Sweep out dirt and debris from under and behind the freezers and dispose of it.

  3. Once the external cleaner mops the floor and it fully dries, return the freezers to their original position.
