Where do we install the cameras?
Given their purpose (i.e., to protect against theft, especially of high-value products), the cameras must be focused exclusively on the following locations/objects in the hubs:
High value liquor;
Cigarettes;
"Backstock" of high-value spirits and cigarettes;
Entrances and exits (to ensure no unauthorized people enter the hub and, if applicable, to protect high-value equipment [computers, laptops] located there from theft).
For installation, this means the following: A maximum of 4 to 6 (if there is more than one output) cameras may be used in each hub, depending on the space available. The location and recording angle of the cameras must be drawn on a floor plan of the respective hub.
Important:
Any ambiguities must be clarified with Fabian von Hardenberg (Managing Director of Germany, [email protected]) before installing the cameras.
How do we install the cameras?
The cameras are supplied as so-called plug-in and play variants.
The camera provider sends/installs a package of preset cameras and a bridge based on the sample floor plan to the respective hub.
The provider pre-defines the package as belonging to a location, so that the cameras from a location are automatically connected to the bridge in the hub. This sends the video footage in encrypted form to our central cloud system, where it is stored for a maximum of 72h.
In the cloud system, the locations can then be named by the administrator according to the hub code and the cameras according to viewing area.
For how long are the recordings stored?
The recordings are stored for a maximum of 72hours. After that, they’re automatically deleted.
In case a crime or a substantiated suspicion of a crime has been established, only the relevant recording (limited to the section of the crime) is saved for the purpose of preserving evidence.
Where are the recordings saved?
The recordings are stored in the password-protected cloud of the camera provider. The provider will act as an instruction-dependent order processor for Flink. There is a contract with them for order data processing.
The cameras cannot be accessed on site via open ports or the existing internet connection.
In case of camera failure due to a power outage or any other issue, the administrator will be informed immediately and the data will be stored in the bridge for 72h.
Who can access the records and how?
Only the respective Hub Managers, City Managers and the Managing Director of Germany have access to the recordings of the cameras. Other employees are not allowed to view the recordings at any time.
Important:
Passing on the authorization of access to other third parties is strictly prohibited!
2. In cases of doubt (e.g. on-site authority requests) you must coordinate it with the Managing Director of Germany and/or our legal department.
3. The Managing Director of Germany can access the video material stored in the cloud via a two-factor authentication on the dashboard of the "Eagle Eye Network", to which only he has access. The Hub and City Managers get access to their respective locations with a two-factor authentication login as well.
When to access the recordings?
Access to the recordings is only possible in the following cases:
High value liquor and/or cigarettes were stolen;
Other valuable items from the Hub were stolen, such as monitors and PCs.
In the specific case of suspected theft, the respective Hub Manager of the Hub in question must immediately send an email to the City Manager and the Managing Director of Germany. Access will only be granted after the approval of the City Manager or the Managing Director of Germany.
The e-mail to be sent by the Hub Manager must contain the following information:
The products that are missing;
Any proof or special evidence in case it exists (e.g., missing inventory that cannot be explained by sales);
What time they realized the products were missing.
If there is a message requesting access rights for the Hub Manager to a camera or location, the City Manager or the Managing Director of Germany can give them access for a certain period of time. The approval must also be made via e-mail prior to the access.
If a suspicious case is confirmed by viewing the recordings, the corresponding video sequence must be saved in the cloud system by the City Manager or the Managing Director of Germany.

Why is it important?
The cameras installed in the hubs are intended to protect Flink and its employees from theft, especially of high-value products. This is the only purpose for which cameras are installed and used in our hubs. Conversely, this means that the cameras may not be used for general surveillance of work processes or other purposes!
