New Hire Onboarding Guide

A great onboarding experience is crucial for setting our new team members up for success. This guide provides a clear process for Shift Leads and Buddies to follow during the first shift.

The Goal of the First Shift:

  • Make the new hire feel welcome and part of the team.

  • Ensure all mandatory legal and safety training is completed.

  • Provide a clear, hands-on introduction to their core tasks.

  • Set them up for success in their upcoming shifts.

The Onboarding Journey

Phase 1: Before the Onboarding Shift

  1. The successful applicant signs their contract with Flink.

  2. They receive a "Welcome" email with instructions to book their first onboarding shift in Quinyx.

  3. After booking, they receive a confirmation email with a link to their first mandatory EduMe training (Flink & Roles Intro, Shift Management).

Phase 2: During the Onboarding Shift

Rider Onboarding Checklist

Start of Shift:

  • Give a warm welcome and introduce the team.

  • Show them how to punch in/out.

  • Give a tour of key hub areas (bikes, handover, break area, toilets, evacuation route).

  • Confirm the WF App is installed on their phone.

  • Ensure they complete the second mandatory EduMe training.

Main Tasks (Buddy Shadowing):

  • Bike Assignment process.

  • Full Delivery Process.

  • Return to Hub procedure.

  • After shadowing, the new rider delivers their first order solo.

End of Shift:

  • Check they have Quinyx and know how to use it.

  • Explain how to set their Availability for the next week.

  • Answer any remaining questions.

Ops Associate Onboarding Checklist

Start of Shift:

  • Give a warm welcome and introduce the team.

  • Show them how to punch in/out.

  • Give a tour of key hub areas (picking route, backstock, handover, break area, toilets).

  • Confirm the WF App is installed on their phone.

  • Ensure they complete the second mandatory EduMe training.

Main Tasks (Buddy Shadowing):

  • Picking process.

  • Restocking process.

  • After shadowing, the new OA performs the tasks solo with buddy supervision.

End of Shift:

  • Check they have Quinyx and know how to use it.

  • Explain how to set their Availability for the next week.

  • Answer any remaining questions.

Phase 3: After the First Shift (Ongoing Training)

New hires will receive links to further training modules before their next shifts. These are also available in the WF App.

  • Before 2nd Shift: Performance & Compliance Expectations (Riders & OAs)

  • At 2nd Shift: Inventory Checks (OAs only)

  • At 3rd Shift: Inbound Process (OAs only)

How to Make the First Day a Success

🤝 Be Welcoming & Create a Positive Atmosphere

  • Give them a warm welcome and introduce them to the team.

  • Be empathetic; remember what it's like to be new.

  • Put them at ease, talk informally, and frame mistakes as learning opportunities.

  • Make sure they know that questions are always welcome.

🎓 Teach Effectively

  • Briefly explain the plan for the onboarding shift.

  • Understand what they already know to identify where to focus.

  • Clearly demonstrate each step of a task, explaining the "what" and the "why."

  • Show the process at normal speed first, then break it down slowly.

  • Leave out unnecessary details to avoid overwhelming them.

💬 Give Constructive Feedback

  • Let them try the tasks themselves after you've demonstrated.

  • Provide frequent feedback and encouragement.

  • Correct any errors patiently and re-explain if necessary.

  • Continue supervising until you are confident they can operate safely and correctly.
