Safetember Week 3 - Rules of the Road

This is the third week of Safetember, and our focus is on the "Rules of the Road". Being safe, visible, and professional means knowing and following traffic laws, not just for our safety, but for everyone's.

Rules for E-Bikes (up to 25 km/h)

In the Netherlands, an e-bike with pedal assistance up to 25 km/h is legally treated the same as a regular bicycle.

  • Place on the Road: Riders must use designated bike lanes (fietspad) where available. If no bike lane exists, they must ride on the right side of the main road. Riding on the sidewalk is illegal.

  • Phone Use: It is illegal to hold or operate a mobile phone while riding. Using a phone for navigation requires it to be in a holder.

  • Lights: It is a legal requirement to have a working white or yellow front light and a red rear light turned on at night and during poor visibility. The lights must be steady, not blinking.

  • Reflectors & Bell: The e-bike must be equipped with a red rear reflector, reflectors on the wheels and pedals, and a working bell.

  • Alcohol/Drugs: It is illegal to operate an e-bike while under the influence of alcohol or drugs.

Rules for Scooters/Mopeds (over 25 km/h, up to 45 km/h)

This category of scooter is classified as a bromfiets and has stricter rules, similar to a moped.

  • Place on the Road:

    • Within built-up areas, bromfietsen must ride on the main road with cars. They are not allowed on bicycle paths unless a sign specifically indicates it is a combined "fiets/bromfietspad".

    • Outside built-up areas, they often must use the combined "fiets/bromfietspad" if available.

  • Helmet: A government-approved helmet is mandatory for the driver at all times.

  • License: A valid AM (moped) license is required to operate a bromfiets. A standard car (B) or motorcycle (A) license is also sufficient. The minimum age is 16.

  • License Plate: The vehicle must have a yellow license plate.

  • Speed Limits:

    • On the main road: 45 km/h.

    • On a fiets/bromfietspad within a built-up area: 30 km/h.

    • On a fiets/bromfietspad outside a built-up area: 40 km/h.

  • Lights: It is mandatory to use a dipped-beam headlight at all times, day and night.

Secure Your Phone, Secure Your Ride

One of the most critical rules is about phone use. Using your phone while riding is illegal and dangerous. Here’s why securing your phone is so important:

  • More Control: It gives you more control over your bike.

  • Fewer Accidents: You are less likely to be involved in an accident.

  • Avoid Fines: If you are caught, YOU will need to pay the traffic fines.

Always come to a complete stop in a safe place before using your phone.

Rider At Customer SOP - Reminder

We want to reinforce the Rider SOP for not being able to find the customer.

If your riders have issues finding the customer, please make sure they:

  • Try to call the customer at least twice through the WF App

  • Stay in the calls at least 30sec

  • Stay at customer location at least 5min trying to reach the customer

Pickers Needed Update

Based on feedback that order assignment requests one OA per order even when the rider is still far from the hub, we started to test a new logic yesterday:

  • Orders will now be assigned to OAs depending on the urgency, which is defined by how long it will take the rider to reach the hub.

  • For example, when urgency is low, we might only call one OA for every two orders.

  • This also means not all orders in “Ready to Pick” will be assigned to an individual picker. The logic would rather assume that the same picker can handle multiple orders in “Ready to Pick”.

Please continue to focus on the “Picker Needed Indicator” and the “Receiving Orders” indication on the hub dashboard instead of the “Ready to Pick” number.

Open Shift Communication - Process Reminder

What is it?

Employees get automatic notifications about open shifts (NS+, Top-Ups etc) starting 3 days before the date of that shift and can book them directly.

The notifications will be sent out to employees

  • with availability

  • with hour capacity vs. their weekly hours

  • who are well performing in terms of Rider UTR / Picking Speed for OAs

If the automation cannot fill a shift until the day before shift starts, HMs receive a notification and can try themselves

  • Until that notification appears, please do not touch open rider and ops associate shifts (e.g., NS+ / Top-Ups)

  • Employees can still book themselves via Quinyx "proactively"

Tech Hub Service FAQs - Vehicle Assignment & Hub Portal Access

This week, we would like to address a couple of frequently occurring known issues:

Q: Rider has assigned a bike, but in the Hub portal their status is still “Temp offline / No vehicle assigned”

A: If a rider has already selected an operational vehicle in the Workforce app but their status in the Hub portal still shows as “Temp offline/ No vehicle assigned”, follow these steps:

  1. Ask the rider to re-punch:

    • Close the Workforce app completely;

    • Punch out from the shift and select "End of shift" as the reason;

    • Wait a couple of minutes;

    • Punch in again and reopen the WF app.

  2. Try to assign the vehicle again in the Workforce app after re-punching in.

  3. If the issue persists:

    • Go to the Fleet tool in the Hub portal;

    • Check the status of the bike the rider is trying to use;

      • If the bike is not in “Operational” status, either:

        • Change the bike’s status to “Operational”, or

        • Ask the rider to assign a different operational bike.

  4. If the bike is already Operational:

    • Repeat steps 1 and 2 again;

    • Make sure to wait a couple of minutes between punch-out and punch-in;

    • It may take a few tries, but this usually resolves the issue eventually.

Q: I have access to the Hub portal, but I can’t see the Riders on Activity page or access the Customer Feedback dashboard.

A: Please create a request in the #tech_hub_service_nl Slack channel. RIght In your first message in the channel please make sure to:

  • Clearly describe the issue you’re facing: Mention that you have Hub portal access, but cannot see Riders on Activity page, so the Virtual agent will understand which assistance you need;

  • Include your email address (login used for Hub portal) in the issue description, so the human agents will be able to fix the issue for you quickly.

Early Punch in for SLs and OA+ disabled

The ability for SL and OA+ to punch in early for shifts has been disabled, just as for riders & OAs.

Shelf Changes & De-listings

The shelf changes will be posted at 15:00 today and will go live tonight between 01:00 and 07:00. Please move products to their new locations after closure or tomorrow morning.

Don't forget the back stock! When moving products to their new shelf, always remember to check and reposition any backstock on the top shelves as well!

If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
