New Automation: Last-Minute Open Shift Alerts: Go LIve - 19.05.25

We're testing a new automation to make last-minute open shift assignments easier across selected hubs:

Niek Cluster: NL_ALK_CENT, NL_ALM_BUIT, NL_ALM_CENT, NL_LEI_NOOR, NL_LEI_ZUID, NL_LEL_CENT, NL_ZAA_NOOR, NL_AMS_NOOR

Bart Cluster: NL_AME_CENT, NL_GRO_CENT, NL_HIL_CENT, NL_GRO_NOOR

Cas Cluster: NL_AMS_CENT, NL_AMS_NEWW, NL_AMS_WATR, NL_AMS_WEST, NL_AMS_ZUID, NL_AVE_KOST,

Jork Cluster: NL_ARN_OOST, NL_DBO_CENT, NL_MAA_OOST, NL_VEE_CENT, NL_UTR_WEST, NL_UTR_ZUID, NL_EIN_GELD, NL_EIN_STRI, NL_EIN_WOEN.

Michel Cluster: NL_BRE_CENT, NL_BRE_OOST, NL_CAP_NOOR, NL_DOR_CENT, NL_ROO_CENT, NL_ROT_WEST, NL_SPI_CENT, NL_TIL_NOOR,

Chafik Cluster: NL_DHA_ZUID, NL_ROT_CROO, NL_ROT_RUYT, NL_ROT_ZUID, NL_ZOE_CENT, NL_DHA_LAAK, NL_DHA_SCHE.

Starting next Monday, 19.05.25, eligible riders and OAs in test hubs will receive automated push notifications when a last-minute open shift matches their set availability, contract restrictions, and all eligibility rules.

What does this mean for you?
During the test phase, if your hub is included, you no longer need to call employees to fill open shifts. The system will automatically offer them to the best-suited employees.

🚨Only step in when you receive a Slack notification asking for support—this means no employee has accepted the offer yet.

📣 What to tell your team:

  • Remind them to enable push notifications for the Flink Workforce app.

  • Encourage riders to keep their availability up to date in Quinyx.

  • Let them know that longer blocks of continuous availability increase their chances of getting last-minute shifts.

  • Ask them to act quickly when they receive a notification—shifts are offered first come, first served!

This automation helps us reduce manual work, improve shift coverage, and offer riders more earning opportunities.

Thanks for supporting the test roll out.

Inventory Return Task

The new Customer Live Feedback Dashboard has been live for three weeks giving us live information about cancelled orders and the products which need to be returned to the inventory.

  • On average, we see that only ~ 50% of cancelled items are being returned to the inventory (excluding fresh & frozen products).

  • This means half of the products are missing, which has a direct impact on shadow waste.

Take action on Inventory Return Tasks:

👉Please check the Live Feedback Dashboard at least once an hour and pay attention to cancelled orders.

👉Make sure your riders return cancelled orders to the hub.

👉Check the returned product. If they are still safe to be sold, add them back to the stock via Stock Correction.

BBD Check Optimization: Go live - 15.5.25

We have been working on updating our BBD Check logic to make the checks more meaningful! That means reducing unnecessary or irrelevant checks, improving the logic behind them, and making sure the ones that remain are truly helpful and relevant.

Key changes

  • Delete checks when stock hits 0

  • More efficient logic for BBD checks, a probability-based approach to determine whether a check will be necessary

This means:

  • Thursday you will have no BBD Checks

  • Friday there will be ~ 2x the amount of BBD Checks as usual

This is to reset the checks with the new logic. Over the coming weeks, the number of checks will reduce!

Zebra straps for hubs

Did you know that replacing broken Zebra devices costs us over €100,000 every year? One of the simplest ways to reduce this cost is by using shoulder straps.

New Zebra Shoulder Straps arriving at your hub!

  • With shoulder straps, your hands stay free, and your Zebra stays with you. It's a small change that makes a big difference for both your workflow and our equipment budget.

  • The new straps aren’t just about comfort, they help prevent damage by keeping the device securely attached to you, even while you're busy with tasks like restocking or dropping.

  • With shoulder straps, your hands stay free, and your Zebra stays with you. It's a small change that makes a big difference for both your workflow and our equipment budget.

Use the straps in combination with or instead of quad locks, depending on your hub's needs.

Straps will be delivered to all hubs in the coming week, so keep an eye out and start using them as soon as they arrive. Below is a guide on how to install the straps:

👉Please see the detailed presentation: Here

Thanks for helping us take care of our tools!

Rider Internet Calls: What You Need to Know

We’ve recently introduced Internet Calls through the Flink Workforce App, but some riders have reported that when they try to call a customer, the call seems silent or doesn’t ring.

Here’s what’s happening:
▪️ After you connect to the platform provider, the ringing sound stops, but the call is still in progress and attempting to reach the customer.

👉 Please wait at least 1 full minute before hanging up, even if it seems like the call isn’t working. The system is still trying to connect!

We’re working on improving the experience, but for now, just give it a little extra time to ensure successful delivery. 💪

Customer Call Backs - GoLive 14.5.25

Starting at the end of this week, we will allow customers to call back riders in the cases where riders tried to call the customer but missed them.

Why?

  • Data shows that in many cases, customers attempt to call riders back after receiving a call, but currently, the connection is not possible.

  • This can lead to cancellations and unhappy customers.

What?

  • Customers will be able to call the rider back only while the order is still active

  • This is a normal phone call, not an internet call. Therefore, it will only work if the rider’s phone number is correct.

  • The customer number will be masked. Riders will always see the following NL number: +3197010206119

Please ensure your riders are aware and pick up the phone in case they get a call! This can help us avoid cancellations!

🚴‍♂️ Introducing the Flink Ambassador Program: Flyer Challenge for Riders 💸

Dear Hub Managers,

We’re excited to roll out a new initiative aimed at helping our riders earn more, with minimal extra effort: the Flink Flyer Challenge.

🔍 What’s it about?

This initiative allows riders to hand out flyers with their unique rider codes. When someone places their first Flink order using the code, it counts as a New Customer (NC) and the rider earns €5 per NC.

🎯 Objectives:

  • Increase rider engagement

  • Drive new customer acquisition in a cost-efficient, grassroots way

  • Provide riders an easy opportunity to boost their earnings

How it Works for Riders:

  1. Sign Up & Receive Flyers
Riders sign up via this form flyers will be mailed directly to their home.

  2. Unique Rider Code
Each flyer includes their personalized rider code tied to the NC voucher.

  3. Earn Money

    • :moneybag:

      Rewards

Earn up to €5 for every new customer who redeems their voucher!

Payouts are performance-based — see the breakdown below.

      :dart:

Plus: Score a €100 BONUS if you refer the 100th new customer! This applies to every milestone (e.g. 100, 200, 300, etc.).

      Payout Rates:

Riders (based on your Tip Booster tier in the week of redemption):

      • :first_place_medal:

        Gold: €5 per new customer

      • :second_place_medal:

        Silver: €3 per new customer

      • :third_place_medal:

        Bronze: €2 per new customer

All other roles: €4 per new customer

  4. Flyer Guidelines

    • Riders must only flyer within Flink delivery zones

    • Avoid "Geen Reclame" mailboxes or areas where flyering is not allowed

    • Smart tip: drop a flyer in a nearby mailbox while waiting for or walking to a delivery

📍 Your Role as Hub Manager:

  • Inform riders about the initiative and encourage participation

  • Remind them to stay compliant with local rules and delivery zone restrictions

  • Answer basic questions about flyering areas

  • Ensure that flyering does not interfere with rider performance

Let’s make this initiative a success!

Outbound & Stock Corrections Refresher Edume Guide: Go live - 15.5.25

As there can be confusion about what is the correct way to adjust the stock levels of our inventory, we have put together a refresher guide available in the WF app via the Training tab. It is important to use the correct outbound option to ensure accurate inventory and reliable waste reporting.

Check out the guide and encourage your OAs to complete it to refresh your knowledge about when to use which outbound option!

At 16:00 today, we will post the shelf changes here

_________________________________________________________________The list will be published at 16:00, so please check around that time.

The changes will go live tonight between 01:00 and 07:00, so please move the products to their new locations tonight after closure/tomorrow morning.

🤓Don’t forget the back stock! When moving products to their new shelf, always remember to check and reposition any backstock on the top shelves as well!

Read more about the different Hub Sizes here!

Why do we do shelf changes?

Shelf changes are primarily made to optimize product placement, such as moving items from an S to an XS shelf. This allows the shelves to be listed in more hubs than they currently are, expanding the assortment’s size across all hubs rather than concentrating it in only the larger L or XL hubs.

For example, by consolidating products on an S shelf, we can free up space on a relatively empty M shelf and streamline product placement from top to bottom.

This process will continue in the near future as we work to broaden our assortment. Expanding our assortment ultimately increases the potential basket size for customers.

If you notice products that don’t fit the shelves when following the facings, flag them via the “Facings feedback” option in Hub Alert.
