This week we have updates on, TGTG Assistant, New rider Onboarding training, TWO updates to the punching-in process, the quarterly challenge, shelf changes, and more!

TGTG Assistant - Go Live Wed 9am!

From Wednesday 26.2.25 - 9am the TGTG Assistant will be rolled out to all hubs!

We use Too Good To Go/Flink Surprise bags to resell products that otherwise would be thrown away. This is how we utilize our waste in a more efficient way.

When making these bags we often over fill compared to the suggested value due to a lack of visibility of product prices.

The TGTG Assistant is built into HubOne and shows the prices of products we sell based on in-app prices and gives warnings if adding products equals over the suggested goal.

Please note: TGTG/Flink surprise bags still need to be added to the system manual for sale!

Last week we launched the Inbound Update Collaborative Inbound (see presentation).

New Rider Onboarding live šŸš€šŸš€

We are now live with our new Rider EduMe Onboarding. Every new rider who books an Onboarding shift starting today will receive the below new Onboarding.

Note: Ops Associate Onboarding stays the same for now, a revamped version will come soon!

What’s new?

  1. New Content: revised and updated content, focused on the relevant topics for riders. Additional training on:

2. New Format: Mobile-optimized format, GIFs & visualizations instead of long videos, and engaging quizzes.

3. New Structure: Instead of one long course, we split it into 3 shorter courses - shared at the most relevant times:

  • Flink Intro & Shift Management: sent once they book the OB shift (15min)

    • How does Flink work

    • Who is who

    • Quinyx, Availability, Sick leave and vacation requests

  • Your Rider Shift - main course, to be done at the beginning of the OB shifts (30min)

    • Bike & Road Safety

    • Punch In, Bike assignment

4. Onboarding at the Hub

Onboarding is only effective if new joiners get the right experience at the hub.

  • Onboarders should complete their EduMe Course before they start riding with a buddy.

  • Before leaving, explain them Quinyx, how to set Availability, and answer any questions

  • Engagement is key to a successful onboarding experience!

Where can new joiners find their Training?

All staff can find assigned training in their WF App under ā€˜Trainings’.

Sometimes, there can be delays for new joiners who book their OB shift very close to their contract start date. If they cannot find the training in the App, please tell them to search for the email headers above, or check with Inbox in the App under ā€˜Notifications’.

Please note: For the time being, existing employees will still see both the new and the old courses in their Training dashboard. We will backfill the old completions into the new training asap.

Punch In Compliance - Face Recognition - Go live Wednesday 9am

Wednesday 26.2.25 - 9am, Punch in compliance - face recognition will go live for all hubs with working tablets. This is to ensure labour law compliance, and so we are improving our process for more compliant punching.

  • Make sure the tablet is positioned in a good spot, vertically, with enough light to take clear selfies.

  • Employees are only able to punch in when a face is detected in the camera.

  • If no face is detected punching will be blocked.

Please note: HEN_CENT & ROT_CROO wont be part of the new process until a later date.

Employees blocked — an indication of block reason added

Recently the indication of the Blocked status of Workforce accounts was improved, to provide more information about the reason for the block and improve the access to the Unblock function.

If employees see the ā€œYou are blockedā€ error message when logging in to the Workforce app, or ā€œEmployee is blockedā€ when punching in — please check their WF profiles in the Hub portal for additional information about block reasons.

Click the Unblock button and if there were specific reasons for the block you will see a list of them:

For hubs that are testing the new version of WF dashboard - reason for the block will be shown in the WF profile in form of the red label in the header next to the employees name.

Possible block reasons and necessary actions:

  • Blocked : The account was blocked automatically or manually and can be unblocked by any HM/SL/OA+ account using the Unblock rider button or Unblock function in the Actions menu;

  • IP blocked : The account is blocked automatically due to suspicious login activity, can be unblocked by HM/SL/OA+ account, and it is recommended to reset the password as well. Riders also receive notifications about the block by email and can use the Unblock button in the email to verify that suspicious activity is coming from them;

    • For both Blocked and IP blocked reasons — if unblocking doesn’t work or you don’t have personal access to the Hub portal — please report in #tech_hub_service-nl channel.

Visa expired : it is not possible to remove this type of block in the hub, the employee was automatically blocked in WF and Quinyx due to an expired visa or other document. The employee was notified in advance about necessary actions by email and is not allowed to work without valid updated documents. In such cases please ask employees to upload all the necessary documents and contact the Rider care team for unblocking via the Workforce app or form in Zendesk.

Quarterly Challenge____________________________________

Last week we held the hub manager quarterly event at HQ, part of the day was to announce the winning Hub and Cluster from the Customer Centricity Challenge.

It was a super close race even up till the very last day! But it was an impressive performance from KAT_OOST who took the trophy (and the fame) so a huge shout out to them, and to the winning cluster which was Jorik’s cluster, amazing efforts from all involved!

The next challenge will focus on attracting and retaining young riders, this means…

  • A top-class onboarding experience - This a huge one we can all support with and make sure our new team members feel welcomed and well trained.

  • Work Atmosphere - Always a big and important subject is the atmosphere we create in our working time and how that affects everyone.

  • Age Mix - Having a good mix/balance of YR helps us stay strong as a business

  • Young Rider Retention - Making sure our newest team members stay and grow with us is super important for the health of the hubs.

  • Ad-hoc Challenge - We will share ad-hock challenges where you can win some bonus points!

🚨 Quality Alert! 🚨

We've been experiencing issues with Druiven Wit Pitloos 500g (13003071) šŸ‡ and Spinazie Gewassen 200g (100650123) 🄬, with many batches arriving in poor condition. Grapes have frequently been covered with mold or have a brownish color, despite early sorting efforts at the distribution center. Additionally, we've been receiving a high number of spoiled or expired spinach batches. Please conduct extra quality checks on every batch and report any concerns via Hub Alert Tickets.

āš ļø Limited Availability: Ananas 1st (13003008) šŸ and Zespri Kiwi Goud 4st (13003038) šŸ„ are currently in short supply due to supplier constraints.

Emballage counting

A new emballage counting is planned for week 9 (Feb 24th to Feb 27th) at your hubs. Schedules can be found here, please let me know if you cannot access it. Note that LL will arrive OUTSIDE normal delivery time slots, so be prepared - you'll find the time slot in the file.

Necessary preparations:

  • This week, please return to Lekkerland any emballage that you’re not using.

  • Make sure the hub manager or experienced shift lead is present in the hub on the day/time of the counting.

  • Gather and centralize all emballage stuff at one place in the hub (sorting out the different pieces to make the count easier).

  • Rollcages organized and shared in 4 pcs.

  • Always agree on the counting between Flink employees and the Lekkerland counter.

  • No need to share with us any counting figures, everything will be counted by Lekkelrand

The changes will go live tonight between 01:00 and 07:00, so please move the products to their new locations tonight after closure/tomorrow morning.

šŸ¤“Don’t forget the back stock! When moving products to their new shelf, always remember to check and reposition any backstock on the top shelves as well!

Why do we do shelf changes?

Shelf changes are primarily made to optimize product placement, such as moving items from an S to an XS shelf. This allows the shelves to be listed in more hubs than they currently are, expanding the assortment’s size across all hubs rather than concentrating it in only the larger L or XL hubs.

For example, by consolidating products on an S shelf, we can free up space on a relatively empty M shelf and streamline product placement from top to bottom.

This process will continue in the near future as we work to broaden our assortment. Expanding our assortment ultimately increases the potential basket size for customers.

If you notice products that don’t fit the shelves when following the facings, flag them via the ā€œFacings feedbackā€ option in Hub Alert.

Workforce Planning Manager

You will be responsible for ensuring that Flink Netherlands meets our 28-minute promise, resulting in happy customers all-round, while balancing efficiencies. To achieve this you will need to be proficient in:

  • Forecasting methodologies

  • Optimizing workforce scheduling tools

  • Scheduling NL labor laws

  • Capacity management and incentivisation

Requirements:

  • You have 4+ years of work experience in operations or planning (experience at high-grow or early-stage startups preferred)
