Newsletter - 27.08.2024

Every Tuesday afternoon the newsletter is published here with the latest info for all hubs!

Your to-do's this week ____________________________________________________________________________________________________________________________

Detached areas in hubs

In order to map better the space in the hubs, we want to know if hubs have any detached areas. This is if you have access to any basements, second floors, or storage units. Please fill in this form before the end of the week.

If you have any questions or need further information, please don't hesitate to reach out to Marina Tirado.

Outbound expired 103050123 Stëlz Hard Seltzer Raspberry Can 25cl 4,5%

Please check this item and remove any stock with a Best Before Date (BBD) of August 30, 2024, as it is expired. Since this product is alcohol, it cannot be given to TGTG and must be discarded.

Sinterklaas delivery

Although it's still summer, we will already receive the Sinterklaas assortment. This is not communicated as a new listing since these are seasonal products.

You will receive the first delivery on Friday or Saturday and they will be assigned to a virtual shelf 700C 700D, so you can place the goods wherever is convenient for your hub.

You can find the barcode to be printed for the respective shelves here. Please make sure it is not in a warm area.

Alcohol deliveries & Mystery Shopping

Over the past period, compliance in terms of alcohol delivery declined a lot, with this quarter only 20% of the mystery shop visits being successful. Next to that, we’ve had checks from the NVWA, which were also unsuccessful and led to serious fines. And after all, we just want & need to be compliant with the regulations.

Therefore all hubs with a negative mystery shopping visit this quarter, the frequency of visits will be increased, back to monthly visits. Find all the related information here, please use it to emphasize again the importance of this to the whole team

Key updates you can't miss____________________________________________________________________________________________________________________________

Shared Restocking List - Live on Wednesday

The Shared Restocking List allows products to be moved from the private Restocking List to the Shared Restocking List. This enables one person to create the Restocking List while another person can handle the actual restocking.

Why use the Restocking Flow?

  • Never empty shelves, faster picking, fewer issues

  • Improve average picking time per item

  • Reduce % of skipped items

  • Reduce pre-delivery issues

How to properly use the Restocking Flow?

  • Add Products individually to the Private list by scanning the EAN and/or Shelf ID.

  • Ideally, create the restocking list before peak time (2 pm) and evening/closing (9 pm).

    • Drinks & Fresh restock at 2 pm (after inbounding)

    • Drinks restock at 9 pm (before evening)

  • After adding the products, SL/OA+ moves (all) items to the Shared list for OAs restock (they need to move items from the Shared list to their Private list again) to be able to restock them.

  • During the entire day, you use the ‘Ask for restocking’ button during Picking to restock other items.

We have updated the Zendesk Restocking flow page, do not forget to check it out!

Scan First Picking - Live on Wednesday

This Wednesday, we will launch a picking update 'Scan First Picking', where OAs must scan before reporting a wrong barcode. You can only report a barcode during picking after you scanned a barcode. Scanning first will ensure that you pick the right item. This update ensures the right products are picked by enforcing scanning and reducing missing & wrong post delivery issues.

What is changing?

  1. Instead of swiping left, you first need to scan a barcode before being able to report it.

  2. If the barcode does not match the expected product, you will see this new error message.

  3. Be 100% sure that you are holding the correct item. If the barcode is still not the correct one, add it to the basket by pressing “Report”.

Product without barcode?

❗ We will send out daily reporting to all hubs with % of reported items (EANs) and % of skipped items.

Weekly Inbound Checker Performance update week 35

Every week, we will update you on any improvements, changes, or issues related to the Inbound Checker. Our goal is to keep everyone informed and ensure clear communication across the teams.

💡Process improvements:

  • Egg SKU Makro: The problem for these 2 specific SKUs has been fixed, and the correction will be applied retroactively to the previous weeks.

  • Duplicate SKUs removed: All duplicate SKUs have been deleted and will no longer appear in the Inbound Checker.

  • Inbound delivery damaged/expired: Please ensure that you inbound the full delivery, including items that are delivered damaged or expired, to prevent them from showing up in the Inbound Checker.

  • Inbound error workflow: Keep flagging inbound errors. We don’t respond to each message, but we review and use all the feedback to identify and resolve existing issues.

🚀 Highlight of the week: LEL_CENT and LEE_CENT have the highest 4-week average score, but there are 6 others close behind, so keep using the inbound checker in the coming weeks to make it to the top.

Shelf changes____________________________________________________________________________________________________________________________

Shelf changes for Hub 3.0

A big part of the shelf changes are made so that they move for example from an S to an XS shelf, so they can be listed in more hubs than they currently are, this is to increase the assortment size of all hubs, not only in the L or XL hubs.

The relatively empty shelf it is leaving will be filled up with products that then for example can move from M > S. So that we top-down start filling all shelves further.

This process will be ongoing for the near future, as we need to increase our assortment size to in the end increase our customers’ basket size.

If you have examples where the products don’t fit if we follow the facings for the respective shelf, please flag them via the facings feedback function in hub alert.

Find the list of shelf changes for Hub 3.0 here.

Please move the products in the list from their old to the new shelf after closure tonight, so they are on their right new shelf by tomorrow morning. The changes in the system will be made overnight.

Notes:

  • In today's shelf changes, there are some products currently placed on shelf 999X that will be assigned to a new shelf.

  • Additionally, it may also happen that some products appear as “New listings”, but you might already have them in stock on shelf 999X. Please check there, and in case you can’t find them, that means you haven’t received them yet.

The shelf changes folder will be updated in the late afternoon.

In case there are any doubts about the correctness of the file, we kindly invite you to verify the file name, which includes the accurate date.

Every week, we will update you on any improvements, changes, or issues related to the Inbound Checker. Our goal is to keep everyone informed and ensure clear communication across the teams.

New Facings Logic

When you place or restock any product in the Dry section please comply with the storage type (SU, HU) and number of facings that your Zebra is showing. For fridge and freezer products we have not implemented the new facings logic.
