Purpose

This Standard Operating Procedure (SOP) outlines the process for scheduling cleaning and promotional shifts to ensure optimal staffing and operational efficiency within each hub.

Scope

This procedure applies to all hubs requiring self-cleaning and occasional promotional shifts for backstock cleanups or rebuilds. It is designed to standardize the scheduling of these shifts in Quinyx.

Importance of this SOP

  • Accurate measurement of cleaning time: rnsures precise tracking of the time required for cleaning activities.

  • Correct cost attribution in P&L: allows for accurate allocation of costs in the Profit and Loss statement.

  • Efficient Ops Associate planning: ensures that cleaning tasks are performed during designated cleaning shifts, preventing misuse of Ops Associate shifts.

  • Fair compensation: ensures Ops Associates are paid appropriately for cleaning tasks.

Process

Self-cleaning schedule allocation

  1. Hubs with Partial Self-Cleaning:

    • Allocate 1 hour per day, totaling 7 hours per week.

    • The hourly budget can be found in the comparison report or requested in the Slack channel #flink_cleaning.

  2. Scheduling in Quinyx:

    • Enter all cleaning shifts into Quinyx using the shift type Cleaning Shift.

    • Refer to the example image below for guidance on setting up cleaning shifts in Quinyx:

Promotional shifts

  • Usage: promotional shifts can be requested for tasks such as cleaning up the backstock or rebuilds that require additional hours to bring the hub under control.

  • Approval: these shifts can only be used if approved by the planning team.

Rationale

A proper scheduling of cleaning shifts is crucial to maintaining operational efficiency. Misassignment of staff (e.g., scheduling SL/OPS+/OA personnel for cleaning tasks) has led to decreased operational performance and efficiency.

Observations and issues

  • Ops personnel engaged in cleaning have less time for their primary tasks.

  • This reallocation of time has resulted in riders being called in for ops tasks, negatively impacting ops associate performance and causing longer rider queues.

Recommendations

  • Base schedule creation: establish a base schedule in Quinyx according to the required cleaning hours (either 1 hour or 3 hours per day).

  • Preassign shifts: roll out the schedule for the upcoming 2-3 weeks and preassign shifts whenever possible.

  • Regular updates: continue updating the schedule every 2-3 weeks to ensure that cleaning shifts do not interfere with other performance metrics.
