💡Updates on the Live Steering Dashboard - new metrics available! 💻

Live Steering (Employee Level) has been live since 14 Feb ‘24. We’re gradually adding new employee performance metrics to the dashboard. Please find the newest (Rider Performance) metrics below:

  • HM & SL Data also shown now in “Inside Hub”

  • Avg at Customer Time - Go-live Tuesday 27 Feb (today)

  • On Trip Time Compliance % - Go-live Monday 4 March (next Monday)

    • Actual riding time compared to ETA (= cycling time for the full length of trip (all stacks + back to hub) - 10% buffer

    • At customer time (after swiping 'arrived') will not be reflected in this KPI.

💡New Temp Offline Reason(s)

We’ve updated the temporarily offline reasons in the Hub Portal for Riders. Please find the new order of options below and in the attached screenshot:

  • “Hub Support - Restocking”

  • “Hub Support - Inbounding”

  • “Hub Support - Picking”

  • “Employee Onboarding”

  • “Large Customer Order Delivery Support”

  • “Customer Order Redelivery”

  • “Extra break”

  • “Accident”

  • “Equipment Problem”

💡Max. hours

Max. hours is a shift planning tool that allows hub employees to set their max. working hours and their availability separately.

This means they can tell us how many hours they’re available to work and when they’re available to work those hours.

Good news: They can now adjust their max. hours directly in the Workforce app. 👏

Here’s how it works:

  1. Head to the Workforce app and click My Account → General Information → Your Profile → Max. Hours.

  2. Enter how many hours you’re willing to work every week.

Important: Employees are required to tell us their preferred max. hours, otherwise we will automatically set their max. working hours to 45 hours/week by default.

Do your riders struggle to contact customers or receive phone calls in-app during deliveries?

This could be because their phone number is entered incorrectly or outdated in the Workforce app.

Ensuring the phone number is correct and includes the correct country code (+31XXXXXXXXX) ensures they can contact customers during deliveries.

Simply visit My Account > General Information > Your Profile > Phone Number to check that the phone number is up-to-date.

🚨Securitas Hub Manager data needed

We had many changes in our hub managers team. If you are a new hub manager or you changed hubs we need your help to update your information with Securitas so you have control over your hub/hubs.

Send me a private email with the following details Mariette Kraak;

  • Name of hub/hubs responsible

  • Your full name and surname

  • Your email address

  • Your mobile number

  • Your address to send your Securitas card to (preferably not the hub address as this card can only be seen and used by yourself)

🚨Labelling and organising your battery cabinet

To be compliant with the latest safety regulations it is important that we take utmost caution and care with the way we handle our lithium batteries.

Please take note of the following;

  • Cabinet needs to be labelled (full / charging batteries)

  • One shelf should be kept only for broken batteries (top or bottom shelf) to ensure that a rider does not mistakenly take a broken battery.

  • Chargers and cables should be tied to the bottom of the shelves with cable ties.No chargers on shelves.

  • Ensure that the cables are placed through the first hole in the shelf to ensure it does not prevent the door from closing.

  • You can easily fit 10 batteries per shelf (50 batteries per cabinet) total

🚨New Workflows for Hubs & Customer Care requests🚨

Starting from Wednesday, February 28th, 2024, new workflows will be implemented across all Hub channels.

What’s changed?

Instead of directly posting messages in the Hub Channels, Hubs, and Customer Care will now only be using workflows. This new approach will ensure that all necessary details are shared upfront, avoiding any unnecessary back-and-forth between hubs and CC. It will also provide a clearer structure for reporting cases that need attention on both sides.

CC will no longer need to search through multiple Hub Channels for requests shared by hubs. Instead, all requests for refunds, cancellations, and support will be shared in separate channels, with links to the original post. This will ensure that no request is overlooked, and all requests are handled promptly. Only CC will have access to these separate channels.

Process

The new Workflow can be accessed at the top of the Hub channel. Please use the “Workflows for Hubs” only.
Select the type of request, fill out the form, add all the necessary information, and submit it. Also, CC will have its Workflow folder.

You can choose from the following workflows. Please always select the one that is the most fitting:

  • Flink - item refund request:

    • Report single items that need to be refunded

  • Flink - order cancellation request:

    • Report orders that need to be cancelled

    • Please wait for the order to be back at the hub before requesting a cancellation

  • UberEats - item refund request:

    • Request refund for single items for orders placed on UberEats

  • UberEats - order cancellation request:

    • Request cancellation for UberEats orders

  • JET - item refund request:

    • Request refund for single items for JET orders

  • JET - order cancellation request:

    • Request the cancellations for JET orders

  • Contact the Support Team

    • Request support from the CC team

    • Share important information for the CC team

Depending on the delivery type (Flink, UberEats, JET), different automations exist, that’s why it is crucial to select the right workflow.
