🚨Live Steering V1 - Live on Web 14 Feb

You will have access to a new employee level dashboard with live data displayed in the Activity Tab in the Hub Portal. Live steering allows hub leadership to course correct during the shift and respond to problems in real-time with live metrics for all hub employees.

What’s changed?

The hub will have access to a dashboard displaying multiple KPIs per employee.

  • Compliance tracking KPIs for OAs & Riders:

    • (Current) Activity

    • Punch In

    • Hours Worked

    • Utilized Break Time

  • Performance evaluation KPIs for OAs

    • Orders picked

    • Avg picking time / item (excl. packing time)

  • The list shows all employees with a shift scheduled on that day. Only employees with an approved sick leave will be removed.

Process

  • For all hubs with TVs, please make sure to stream the Activity Tab with live performance data on the big screen throughout the entire shift.

  • Keep in mind that more performance metrics for Riders/OAs will be added shortly (Acceptance rate, At customer time, % On Time Trips, Pre Delivery Issue Rate, # inbounded, checked, restocked)

šŸ’”You can now see External Riders of other hubs

So far it was not possible to see External riders which are assigned to another hub and move them to your current hub. This has been fixed now!

Process

  • Make sure to log in to the Hub Portal with your Shiftlead or Ops Associate + account.

  • Go to the WF section where you normally see your riders.

  • As soon as you begin typing in the search bar, you will be able to see externals from any hub in the company alongside the results from your hub.

Note that it is no longer necessary to switch to the other hub's dashboard. Existing access to other hubs' dashboards will be restricted for GDPR compliance.

If you are a SL without access to your GoFlink account, please post in #locked-okta-account. If you are an Ops+, you can request access in #tech_hub_service-nl.

šŸ’”Call customers directly through the WF app

So far it was common for riders not to be able to call customers through the Workforce app.

This has been fixed now - if the rider has their phone number correctly set in their profile (country code in the beginning, and no spaces).

If the calling is not working for a rider, please make sure their number is correctly set in the profile, as in the image below.

! For data protection reasons, please DO NOT send the riders the customer's phone number directly.

The rider can update this number themselves in the WF App, by going to My Account -> General Information

šŸ’”SAP Access removed for Riders, OA & OA+

Due to recent system improvements in the self-service feature in the Workforce App, SAP is no longer required for certain Flinkers.

For this reason, the SAP accounts of Riders, OAs and OA+ were disabled on Friday 2nd of February.

This update streamlines the apps and logins you require at Flink, making your tasks simpler than ever.

Please encourage your Riders & OAs to access their payslips via the Workforce App.

šŸ’”Bundles causing zero stock orders

The solution to avoid the zero stock orders caused by bundles that we had in place is temporarily removed due to the increase in waste and OOS perception for our customers.

Please note: the team is looking into a long-term solution. Unfortunately it is not a quick fix.

šŸ’”Inbound Everything - known issues

As many of you already experienced, there are still some issues with the Inbound Everything functionality, which can lead to the following issues:

  • A product was inbounded but it does not appear in the HubOne App

  • A product is in the hub, but you cannot perform an inventory correction

  • A product was sold, even though it is not available for sale in the catalogue

The team is aware of these issues, and working on a fix - this should be resolved within the coming weeks.

If you notice any of these issues, please report them in #tech_hub_service-nl.

This way we can keep track of your reports, and it will help the team to identify underlying problems.

Delistings & Shelf Changes

🚨Shelf Changes Hub 3.0

  • Please find the list with shelf changes for your hub here for Hubs 3.0.

  • Changes will be made in the system overnight.

  • Note that there are quite some drinks that are moving from the dry to fridge section.

🚨Shelf assigned to sku only of Hub 3.0

  • Today we are assigning the shelf to this product 13134369 Upfront Eiwit Reep Appel Kaneel 55g this will have immediate effect.

🚨Inbound easter reactivated products

Due to some technical difficulties inbounding went wrong for 5 easter items for a part of all hubs. Not everyone has received stock yet, but for the ones that did & already inbounded them, the items have been outbounded again.

The only thing we need from you is to check if you have these 5 items on stock & inbound them again via the normal procedure. Find the barcodes in the link below.

There is still space on 20 February in Eindhoven for BHV/ First aid training. Note that this will be the last date until May for training. If you did not yet do your training, please sign up in the BHV Master sheet.

  • It is important that all our Hub Managers, Shift Leads and OA+ can identify the following terms, roles and people inside our organisation:

    • Trust people, Prevention workers, RI&E

  • Furthermore, it is vital that all hub staff on duty can identify the First aiders inside the hub, be sure to print the names and place them on the wall as well.

New S containers stock has arrived in Germany DC. Orders for all the hubs have been placed centrally. The shipments will start to arrive in the next few days in the NL hubs.

Please note that all the hubs will receive QR codes along with the S container shipments.

During the week of 19th of February the 2023 annual statements will be uploaded in SAP for Hub Managers and Shift Leads, and in the Rider app for our hub employees. The annual statements will also be sent to your private email address.

Former employees will also receive their annual statement via email during this week.

šŸ’”Trust Persons

Recently we have extended our Trust Person team, which we would like to introduce to you:

You can contact a trust person for undesirable behaviour and integrity issues, such as:

  • (Sexual) harassment;

  • Discrimination;

  • Bullying;

  • Aggression;

  • Conflict of interest;

  • Abuse of position.

And if you couldn’t solve the issue yourself or your manager wasn’t able to help you. If the nature of the case is very serious, contact the trust person immediately.

šŸ’” Kick-off Hub Manager Feedback Cycle!

As part of the Mid Year review process, Wednesday, February 21th we are kicking off the Hub Manager Feedback Cycle. The Hub Manager Feedback Cycle will again be done via Leapsome, all communication for this process will be via Leapsome as well.

The objective of the review is to ensure that all Flinkers receive feedback on their performance, become aware of potential development areas and - as a result - are equipped to progress in their careers.

šŸ’”New Sick Leave Protocol

From February 12th, employees must call the hub directly to report their sickness before 09 am and at least two hours before their morning shift start time. They are no longer required and able to input the absence into Quinyx.

This means that after taking the call, you have to process the sickleave request, please see below how to:

  • Go to the hub wiki (here) and choose for the option ā€˜ Employee Sickleave Request’ .

  • Fill in the date of the sickleave

  • Fill in the employees Quinyx ID

Important: Please make sure all sickleave request will be filed before 10 AM that day.

This is important for our employees as this will mean they will receive their pay for this day if they are entitled to sickleave pay and will prevent the send out of an incorrect No Show Warning.
