When there is an issue with the building equipment (walls, floor, AC, electricity, leakages, waste, among others): contact us via this typeform (Hub Managers only). You can also access it in the Hub Wiki NL by going to “Submit a request” and selecting “Property Management and External Services”.
Fill in as many details as possible so we can optimize the conversation flow.
Make sure to select the right topics and to include a detailed description of the issue at hand.
Always attach at least 2 pictures: a detailed one and an overview picture. We will then pick it up with the right contractor.
After submitting the ticket, you will receive an email with the link to Airtable. Please communicate all updates via that portal.
Important: only Hub Managers are allowed to use this typeform. This is because we use an Airtable interface to communicate that is only accessible to Hub Managers and City Managers. If a Shift Lead notices an issue with the property, it should be notified via the Hub Manager.
Workflows
Fusebox check and power outage procedure
When a power outage occurs:
Check the fusebox:
Look inside the fusebox to ensure all fuses are in the "up" position, indicating they are on.If any fuses are down, flip them one at a time to turn them on.
After flipping each fuse, wait up to 2 minutes before turning on the next one.
Important: Turning all fuses on at once can cause a power surge and lead to a major outage.
Reporting power issues:
Use the workflow in the #nl_all-hub-staff channel for the following situations:
When the entire electrical system is down.
When a significant part of the electricity is down.
Do not use the workflow for the following issues:
Flickering lights.
Brief, intermittent power outages.
Individual fridges being off (unless all are affected at once).
After submitting the workflow:
Call Guts Storingsdienst at 088-0280555 to coordinate directly with them for support. After submitting the workflow, you’ll receive a message via Slackbot with further instructions.
