[INFO] Safety week with E-Commerce Netherlands

Safety is an important part of our CLA and a high priority for us at Flink. Next week we’ll focus extra attention on safety across our Employer's organization E-commerce Netherlands and see how we can further improve safety at Flink.

  • Picnic and Flink will do a cross company hub visit to learn from each others' safety processes

  • We will also ask you to pay specific attention to safety in the hub and on the road. For this you’ll receive more information later this week.

  • You will receive posters for the hub focused on road safety

  • There will be a dedicated rider newsletter on Safety

[INFO] Reminder Park (Outdoor) Delivery

What's changed?

  • Customers can place an order without using an address (pin drop location). You can recognise these outdoor deliveries by the green tag on the hub portal and on each delivery screen in the rider app. Riders can use the GPS coordinates that's shown as 'Meeting Point' instead of the address.

    • Workforce App → [NEW ICON] Accept order → Navigate to GPS coordinates 'Meeting Point' [NEW TITLE] → Slide when arrived

[INFO] More product categories in No-EAN search - Live Wed 17 May

What's changed

  • Ops Associates can add more no-EAN code products faster to the dropping list as the categories now include; Alcoholic drinks, Non alcoholic, Fresh bakery & Ready to eat

    • 📲 HubOne app → Inbound → Click on search bar → No-EAN search options NEW

Key benefits

  • Increase the speed of adding products to the dropping list

  • You can now view stock changes easier/faster by filtering on any number of previous days you want to see.

  • 🖥️ HubPortal → Log → Filter by 'Previous X Days' NEW → Enter number of days NEW

[INFO] New vehicle search bar in rider app

  • Riders can now assign vehicles easier & faster with the new search where they can filter their preferred available vehicle. Go to the Workforce App and click on "available vehicles" to check out the new search bar.

Delistings & Shelf Changes

[ACTION] Shelf Changes

  • Tonight there will be some shelf changes.

  • Please move the products to their new shelves tonight after closure or tomorrow before opening.

  • Changes will be made in the system overnight.

Please check your Looker send-out from yesterday for previously delisted products which still have stock in your hub, and outbound them following the instructions in the email.

[ACTION] Stolen Bikes

  • It is really important that the stolen bikes are reported by following the correct process within 24 hours along with a police report.

  • Step 1 - Change the status of the bike as stolen in the Fleet Tool in the Hub Portal.

  • Step 2 - Report it to the police. You can do it by following this link: submit a police report.

  • Kindly ensure to add all the details stated below

    • The Bike ID and/or frame Number

    • Time, date and location of the theft

    • It must also include a statement on whether the bike was locked or not

    • Description of the incident.

  • The insurance company is: "Machat – Salis & Comp".

  • Step 3 - Create a ticket on Zendesk by using Submit a request and add the police report in the form. This will help to get a replacement of the bike and issuing a fine if necessary.

[ACTION] Damaged bikes whilst en route

  • It is the responsibility of the hub staff to bring the bike back to the hub if it breaks down whilst the rider is en route for deliveries. Parking / locking the bikes off-site leads to theft.

  • The cycle mechanics will not repair or pick it up from off-site locations.

  • SL / HM must ensure that the hubs are compliant to this process


[ACTION] Uniform way of marking damaged bikes

In the coming days Cycle will deliver to all the hubs labels to mark damaged bikes, as you can see in the picture below. This will help us ensure the riders are safe and not using the damaged bikes and it will further help you to identify if all the damage reports created are up to date. Kindly communicate to all your hub staff to mark the bikes using these labels.


[ACTION] Reporting Cooling equipment

  • In case there are issues with the cooling equipment (fridge, freezers and walk-in fridge) kindly refer to the fridges and freezers page on the Hub Wiki.

  • If the issue can not be solved, it must be reported in the MCFT portal by the HM.

  • Once the ticket is created, the HM / CM can monitor the progress of the ticket.

Please do not create tickets on Zendesk for cooling equipment anymore.

[ACTION] Employee of the Month

As per May 1st we have launched the Employee of the Month program. Until now, you as HM have all selected your Employee for the Month of May and have gotten time until May 15th to complete your ‘Wall of Fame’ in the hub. As we are very excited to see all your walls, we would like to ask you to fill in the Google Form below with a picture of your wall!

This week your chosen employees will receive an email and notification that they have been selected for Employee of the Month May. The t-shirts are currently in the make, unfortunately this process is delayed and will most likely only be ready by June. We will inform you once they are available to order via Coupa.
