Slack Setup & Admin Guide

How to Create a New Hub Channel

⚠️ Important: Before inviting any employees, the channel must be fully set up with a clear description and pinned communication structure.

  1. When creating a new channel, it is important to set it to "Private" (closed).

  2. Define a clear communication structure (rules, purpose, etc.) and pin this message to the channel for all new members to see.

  3. Adjust the channel description to be clear and concise.

How to Invite & Manage Members

  1. Send Invitations: Use the pre-written Slack Invitation template and send it via email to new employees (use BCC). Remember to customize the template for your location.

  2. Create a QR Code: Generate a QR code of the invitation link and hang it in the hub for easy access. Ensure the link is set to "Never expires" in the Slack settings.

  3. Add to Channels: Once employees join Slack, add them to all relevant channels (e.g., their specific hub channel).

  4. Manage Roles: Give admin rights to everyone involved in staff planning.

  5. Remove Departing Employees: When an employee leaves the company, their Slack account must be deactivated from the workspace settings.

FAQ

Why is using Slack so important?

Slack is our main tool for sharing fast and direct operational information. It is much more efficient than email and allows you to reach every hub and HQ team directly.
