Trust Person Policy

Confidential Advisors (Trust Persons)

A safe work environment is our priority. The trust person provides independent, confidential support to employees facing undesirable behavior or integrity issues. They are here to listen, advise, and guide you through possible next steps.

šŸ›”ļø When to contact a Trust Person

You can reach out for cases of undesirable behavior and integrity concerns, such as:

  • (Sexual) harassment: Unwanted jokes, touching, or inappropriate remarks.

  • Discrimination: Unfair treatment based on gender, ethnicity, age, religion, disability, etc.

  • Bullying or Aggression: Repeated negative behavior, intimidation, or physical/verbal abuse.

  • Conflict of interest: Situations where professional judgment may be compromised.

  • Abuse of position: Misuse of authority or resources for personal gain.

šŸ‘‰ Example: If a colleague repeatedly makes offensive comments despite you asking them to stop, and your manager dismisses your concern, you should contact the trust person.

Important Guidelines:
• Pick a trust person outside of your region.
• Only message one trust person at a time to keep communication centered.
• Contact them immediately for serious cases (e.g., physical threats) without trying other steps first.

āš ļø When NOT to contact a Trust Person

The trust person is not the right contact for:
• Regular work disagreements, scheduling conflicts, or performance discussions.
• Questions about salary, holidays, or contract changes (contact your Manager or Rider Care).
• Anonymous complaints without a willingness to discuss the situation.

How to approach your Trust Person

What to expect from the process:

  1. Select a Contact: Pick a trust person outside of your region (see the overview below).

  2. Send an Email: Briefly outline the situation and leave your contact details. Do not CC multiple advisors.

  3. Await Response: You will be contacted within 2 working days to schedule a confidential meeting (in person or online).

  4. The Meeting: You will be listened to in a non-judgmental way. The trust person will help you explore options like talking to the person involved, seeking help from People/Management, or filing a formal complaint.

Note: You decide which next steps to take. The trust person will never act without your consent.
