Personal Gear
Riders joining in the summer (May-Sep.) eligible a personal gear box that includes 1 rain jacket and 3 t-shirts.
Riders joining in the winter (Oct.-Apr.) eligible a personal gear box that includes 1 winter jacket; 1 pair of gloves; 1 scarf.
Important: The jackets are still owned by Flink. When an employee leaves the company, the jackets must be returned. If not returned timely, 50 euros will be deducted from their last payment.
Shared Gear
The shared items in the hub are helmets and rain pants.
Why are these items shared?
Each employee has a personal gear budget that must be adhered to and are therefore only provided core uniform items (jackets and t-shirts).
Rain pants are not part of the core uniform as this is only supposed to be worn in rainy weather.
Helmets can be kept throughout the shift but must be returned to the dedicated storage shelf afterwards.
How do we keep shared items hygienic?
Please encourage Riders to use a hair net when using helmets.
Stacking Equipment and Containers / Thermobags
Containers and QR codes
The goals of our backpacks and thermobags are to smoothen the picking-to-Rider handover process, increase stacking capabilities and to improve the cooling chain during delivery.
There are two sizes of thermobag:
Small (S): contains 1 paper bag;
Medium (M): contains 2 paper bags;
Generally speaking, small (S) thermobags should be preferred to enable better stacking.
Each container is equipped with a unique 5 character QR code, each colour representing a different size:
Green - S thermobag;
Purple - M thermobag;
What are the QR codes for?
After picking, paper bags are placed in the appropriate sized container(s), the Ops Associate scans the QR code(s), which assigns the unique 5 character code to the order(s). On the Rider app, the Rider will see which order(s) are ready for pick up and which shelf number they have been assigned to. The Rider simply locates the thermobags with matching codes and completes the pick up.
Bike boxes and saddlebags
All bikes will be equipped with boxes and saddlebags to increase stacking capabilities and slowly replace the need for backpacks, putting less carrying burden on the Rider. Please see the table below for an overview of which equipment can be mounted on each bike type.
Set up instructions
For instructions on how to set up Enviado boxes and saddlebags onto the bike, please scan the QR code found inside the containers. You will be directed to a series of video tutorials. Simply select the equipment, bike type and follow the tutorial accurately (Video mounting tutorials).
Important:
Mount saddlebags first, then boxes. Boxes will block access to the back rack, making it difficult to mount the saddlebags afterwards. The saddlebags can only be mounted using the specialised high-strength cable ties provided. For safety reasons, please do not use any other cable tie. If you need to order more, please create a purchase order via Coupa.
Bike and Rider Equipment Maintenance
Maintenance of the e-bikes is carried out either by the supplier itself or by a company commissioned for this purpose. Damage is reported on Fleet by the Shift Lead, so that the mechanics know in advance and bring the appropriate parts or tools that are necessary.
The cleaning of the E-Bikes as well as the additional equipment is done by the Rider and the Shift Lead.
The cleaning of the helmets is done by the riders and the Shift Lead using the disinfectant spray and riders can use hair nets for sharing the helmets.
FAQ
Even minor damage on the e-bikes must not be repaired by an employee. Repair work must always be carried out by professional and specially commissioned mechanics only.
Cell phones damaged during work must be reported to the Shift Lead. After that, the Rider can have the cell phone repaired and then send the invoice via Rider Care form so that they can be reimbursed for the damage after the Hub Manager approves it. In here, the billing address must correspond to the address of the Headquarters.
FAQ
An employee joins Flink. How and when does the employee receive their gear?
Personal gear boxes are able to be ordered by new colleagues after completing their first 3 shifts. They are able to do so in the workforce app. Please store the gear boxes on a dedicated space in the Hub, so that it is easy to adhere to the rider gear deposit process.
An employee is leaving Flink. What should they do with their gear?
The employee can return their t-shirts/gloves/scarves/sweaters but must 100% return their rain and/or winter jacket. Please collect the employee’s jacket and keep as spares. For all equipment that is not returned, the deposit will be collected from the respective former colleague.
