[INFO] New Slack-Bot: Automated Reminder to report damages - Live Wed 21 June
This Wednesday, a new Slack bot will be activated. It will remind the hubs and all stakeholders to maintain the Fleet Tool and report damages. It's recommended to update your Fleet Tool today to avoid receiving a message tomorrow already.
Why is damage reporting important?
Accelerates the repair of defective bikes (e.g., by ensuring the right spare parts are available and brought by the mechanic).
Makes planning of maintenance visits more effective
Enables comparison of vehicles and service providers by reflecting the actual state in the hub through the Fleet Tool.
Why action is needed?
Damages should always be reported immediately by HM, SL as soon as they occur, so that suppliers are promptly informed and maintenance visits can be scheduled. However, immediate reporting often does not happen.
Some hubs forget to create damage reports for a longer period of time.
What’s changed?
The hub Slack account will receive this message after four full days without a damage report:
The hub manager will be informed after 5 days, the city manager after 7 days and fleet management after 10 days with the following message:
Key benefits
Daily automatic reminders to the hub when no damages have been reported for an extended period.
Reinforcement of the defined process through these reminders.
Automatic involvement of hub managers and city managers if no damages are reported despite the reminders.
[INFO] HM/SL Onboarding Bundle available in Coupa now!
The onboarding Bundle for Hub Managers, City Managers and Shift Leads are available in Coupa now! Each bundle consists of a Sweatshirt and a T-Shirt. You can find all sizes and sexes in there, simply type in “HM/SL Onboarding Bundle” in the search engine and the article selection will pop up.
Delistings & Shelf Changes

[ACTION] Shelf Changes
Tonight there will be some shelf changes.
Please find the list with shelf changes for your hub here.
Please move the products to their new shelves tonight after closure or tomorrow before opening.
Changes will be made in the system overnight.

Please check your Looker send-out from yesterday for previously delisted products which still have stock in your hub, and outbound them following the instructions in the email. In case of any issues, please contact Daan den Bieman.

[ACTION] Mandatory Paper bag count
To review the paper bag usage all hubs are required to fill in NL Paper bag count form on 22.06.23 before 15:00. Please add a reminder in your Handover sheets so the staff working on 22.06.23 is aware of the count.
Note: Please check the boxes properly as the quantity might differ in the packaging.

[ACTION] DOCKR pickups
In the coming days Dockr will come to pick up the bikes. You will receive an email with the date of pickup scheduled. Please add a reminder in the handover sheet.
Please make sure to send back the chargers, batteries and keys along with the bike.

[ACTION] Locking the bikes - reminder
Shift leads and hub managers: kindly remind all your staff during your shifts to lock the bikes at all times when not in use.
Please also inform your staff on a regular basis on the consequences of losing the bikes/keys/locks and make sure the fine policy poster is present in your hubs in staff areas.
[INFO] GNFR inventory rollout
All the individuals who have been selected to do the (GNFR) Goods not for Resale inventory rollout will receive the communication via email where all the training material will be provided. A separate slack channel will be made in case any support is required.

[ACTION] Reporting issues for fridges/freezers
A kind reminder to all the hubs and hub managers not to use Zendesk to report damages of fridges and freezers.
The MCFT portal is the only platform to be used to create tickets for which all the hub managers should have the access.
The Shift leads should inform the Hub manager in case there is a faulty fridge/freezer so the HM can create a ticket
In case the hub manager is on holiday, it can be reported by City managers as they have full access to their respective hubs.
Note: Hub managers, kindly check the MCFT portal if you have access to your respective hubs
