Punch-online

The Riders, Shift Leads and Ops Associates must punch in and out in the webpage Flunch. This is the new webpage that all hub staff should use to punch in and out for their shift and for their break.

Punch-Online: instant status change of every person that uses Flunch, where punching in means that the person is instantly set on available, and where punching out means that the person is instantly put as offline.

Instructions

Important tips

  • Hubs must use the webpage Flunch for punches.

  • If someone working a “Rider” or “Rider External” shift type punches in, they go online in the Workforce app and Hub Portal.

  • If the shift is eligible for a break, the Quinyx-generated break time is suggested in the app.

  • The person punching in must present their face to the camera for it to be recognised.

  • The employees should specify on the new webpage if their “Punch out” is for a break or not (they will be asked “Would you like to go on your break or end your shift? “Go on break/End shift").

  • If the Rider punches out for a break, their status will change to “Break” in the Workforce app and Hub Portal.

Important:

The feature does not support external Riders yet. They will continue to have the Online/Offline button while we work on a solution for them.

Punching at the start of your shift

  1. Go into Flunch on the Quinyx tablet and type in your Quinyx badge number.

3. Stand in front of the device camera so that you can see your face under your name.

4. Click ‘Punch in’.

5. If you are early or on time for your shift, this is the end of the process.

6. If you punch in late for your shift, you will see the following box after you click “punch in” for the first time:

7. Click ‘Punch in’ again.

Punching out at the end of your shift

  1. Go into Flunch on the Quinyx tablet and type in your Quinyx badge number.

3. Click OK.

4. Stand in front of the device camera so that you can see your face under your name.

5. Click “Punch Out”.

6. You will see the question “Would you like to go on your break or end your shift?”

7. Click ‘End shift’.

8. If you are ending late or on time for your shift, this is the end of the process.

9. If you punch out early for your shift, however, and you click that you are not going on a break, you will see the following box”:

10. Click ‘Punch out’ again.

Going on Break

  1. Go into Flunch on the Quinyx tablet and type in your Quinyx badge number.

3. Stand in front of the device camera so that you can see your face under your name.

5. You will see the question “Are you going on a break?”

OA break rules:

  • Only one person at a time

  • No break between lunch and dinner peaks

Returning from Break

  1. Go into Flunch on the Quinyx tablet and type in your Quinyx badge number.

Early shift/break punch-ins and allowing early punch-ins

Threshold of times for shift punch ins

  • Allowed: punches within 0-2 minutes before the shift starts;

  • Blocked: punches above 60 minutes. An override is also not possible - Hub Managers/ Shift Leads won't see the override button.

  • Exception: punches within 2-60 minutes before the shift starts are allowed only if the Hub Manager/Shift Lead creates the allowance.

How to allow early Punch-ins

  • You will see the button “Allow early Punch-in” in the employee’s profile in the Hub Portal when they are eligible to start an early shift. Click on it.

  • A textbox to enter the reason for an early punch-in will pop up. Select the reason and press “Allow”.

  • A confirmation of your actions will appear in a green box.

Process for Rider, Picker, and OA shifts

  • When their shift has already started:

    • They log in, enter their badge number and click “Punch in”. The following textbox will appear:

  • Once they click “Punch in”, they will be redirected to the following screen:

  • Early punch-ins/pending approvals

    • If they punch in within 2-60 minutes before their shift starts and the Hub Manager/Shift Lead has not allowed an early punch in, they will see the screen below. The employee simply needs to press “confirm” and reach out to the Hub Manager/ Shift Lead if necessary.

  • After they click “confirm”, they will be redirected to the punch-in page. Simply press “cancel” to return to the number pad so others are allowed to punch in.

  • Punch-ins above 60 minutes

    • When the Riders/Ops+ punch in more than 60 min before their shift stars, they will see the following screen:

  • They simply need to click “confirm” and try again later.

30 Minute breaks

  • Employees can take breaks of at least 30 minutes when they work shifts of a minimum length. If they punch in too early, however, they will receive the following error message in Flunch:

  • They are required to take the full 30 minutes before they can punch back in.

FAQ

Important:

Using the Quinyx webpage will not put a Rider online in the app. They will only be able to go online if they punch in with Flunch.

End-of-shift notifications: reducing Riders' late punch-outs

  • 5 minutes before the Rider's shift ends, they enter the "Ending" state. This means that they are at the stage where they should prepare to punch out and they receive a reminder notification to do so.

    • They should punch-out at their shift end time. But if the hub needs support, they can still accept another delivery within the Ending state. Once they swipe "Return to Hub" on the Rider App, their Ending state will be extended by 5 minutes.

  • 5 minutes before being punched out, they will receive a notification informing them that they will be punched out soon.

  • If they don't punch out themselves, they will be automatically punched out after 5 minutes of inactivity after the shift has ended.

  • If the Shift Lead sets them as "Temp Offline" and then again as online in the Hub Portal after their shift's ending time, the Riders will enter the Ending state and be punched out in 5 minutes.

  • They will receive a notification that they will be punched out soon, and auto punched out if they do not punch out themselves.

Why do we have a new webpage for punches?

  • Quinyx software has limitations that make it a poor foundation for Punch-Online. Using the Quinyx webpage will not put a rider Online in the app. They will only be able to go online if they punch in with Flunch.

  • Employees can specify if the punch out is for a break so that the Order Dashboard Rider Widget displays the truest overview of employee statuses.

How can I quickly tell the difference between Flunch (the required punch page) and Quinyx punch page?

  • Flunch buttons are Flink pink.

What if I already punched in on Quinyx punch page?

  • HM/SL should delete the punches;

  • Have the employee punch in with Flunch;

  • HM/SL should update the punch to start earlier.

Can I use Flunch from the computer?

  • Yes, Flunch will work from any Internet browser.

Do we have to adhere to the suggested break times?

  • No. Riders can go on break whenever they agree on it with the Shift Lead.

How can Ops Associates/SLs switch to riding?

  • HM/SL must shorten the first shift to end in 10 minutes.

  • Create and assign a new Rider shift to them which in 10 minutes.

  • Wait 10 minutes.

  • Have the person punch out of their first shift and punch into the new one.

  • Do not edit the shifts after the shift has ended. This allows the forecast to improve next time.

How do I put someone temporarily offline and bring them back online? E.g. to help with a heavy order or they’ve had an accident?

How do I put someone completely offline?

  • SL must punch that person out in Flunch, not Quinyx Schedule dashboard.

Troubleshooting

Why can’t I log in?

  • Ensure there are no extra spaces in the email or password;

  • Ensure you are using the same credentials that you used on https://app.quinyx.com/webpunch3/#/login, these are usually the HUB email and password, but could also be the Hub Manager / Shift Lead email;

Why can’t I punch in?

  • You can only punch in if you have a shift;

  • If you have other issues with punching, please reach out in #tech_hub_service Slack channel.

Rider is not online, even though they punched in

My external rider can’t go online, it says they need a shift

  • They worked with us before and are still using the same internal rider account:

    • Rider must change the phone number in the internal rider account to a fake one

    • HM/SL must create an external rider account with another email from that rider

    • Rider must use an external rider account if they are an external rider

Shift leads and Ops Associates can’t see trips in the app

  • This is expected behavior. You can only see trips if you are working a riding shift.

My employee has already punched in for a non-rider shift and I changed the shift type to a rider shift type. However, they’re not going online.

  • Changing an ongoing shift to a rider type will not enable them to ride. To enable someone to ride mid-shift, an HM/SL must:

    • HM/SL must shorten the first shift to end in 10 minutes.

    • Create and assign a new Rider shift to them which in 10 minutes.

    • Wait 10 minutes.

    • Have the person punch out of their first shift and punch into the new one.

    • Do not edit the shifts after the shift has ended. This allows the forecast to improve next time.

Rider sees trips for the wrong hub

If the rider’s shift is not at your hub, this is expected behavior. Riders will only see trips for the hub their shift is in.

If the rider’s shift is at your hub, they should automatically change hubs after punch-in. If the hub doesn’t automatically change in the app, they should log out and back in.

Rider status is stuck on the dashboard as "en route" even though he/she is not working at the moment. So I can’t set the rider offline

  • Please ask the rider to complete the last order from the app.

The rider has an onboarding shift, has punched in but doesn’t appear online

  • As of the 1st of March (2023), Onboarding Shifts are excluded from Punch-Online – in practice, this means that:

    • After punching in, riders will not appear online in the Rider App and will therefore not be able to deliver orders.

    • Please find below a reminder regarding Onboarding Shift guidelines:

      • An onboarding shift must last max. 3 hours

      • It must only be used for a person's 1st shift and only for training purposes

      • After the 1st shift, hub employees should be assigned to Rider and/or Ops Associate shifts only, even during the probation period.

The employee has a contract with Flink but I can’t find his/her Quinyx account on the system

  • Please check that the “Inactive people” and “Show expired agreements” options (under “Display” menu that is on the right of the search bar) are selected when searching for the employee on Quinyx because the contract might appear as "ended" on the system.

  • Also, try to search for the employee by their name instead of their email or badge number because it might be different on Quinyx than the one they use on WF app.

When trying to punch in on Flunch, an error about “invalid badge number” is showing and the user cannot log-in to Quinyx

  • Please check the status of the Rider’s account on Quinyx and the contract ending date. The status needs to be active and the contract not expired.

  • You need to enable the “Inactive people” and “Show expired agreements” options to be able to see the employee account on the search results.

The employee has a contract with Flink but I can’t find his/her Quinyx account on the system

  • Please check that the “Inactive people” and “Show expired agreements” options (under the “Display” menu that is on the right of the search bar) are selected when searching for the employee on Quinyx, because the contract might appear as "ended" on the system.

  • Also, try to search for the employee by their name instead of their email or badge number because it might be different on Quinyx than the one they use on WF app.

Why is this tool important?

  • Flunch is the only way for an internal rider to go online in the Workforce App and receives trip offers

  • Flunch enables employees to specify if the punch out is for a break, so that the Order Dashboard Rider Widget displays the truest overview of the employee’s statuses.

  • Punch-Online provides the dispatching algorithm with the actual number of Riders who are punched in so that it can correctly:

    • Plan orders to be picked;

    • Share a realistic PDT.

  • We want to pay Riders fairly for precisely the time they are available for delivery trips.

  • We want to give the hiring and staffing forecasts better data.
