Looker

Looker is our data analytics platform that enables us to explore and analyze data in a user-friendly and intuitive way.

In Looker, we store all of our available data points such as orders, delivery issues, fulfillment times, UTR, staffing data, and more.

How to get access to Looker?

2. Fill in the required information with a summary; choose “Looker” on the second field; choose the entity and the department, the user type and click send.

3. Your request needs to be approved and you will be updated about the status via the Jira ticket.

KPI Glossary

In this document, you will find an overview of the KPIs used in the Looker dashboard, in case you need some clarification on certain definitions. You will find a status on each KPI, the group it belongs to, the Metric (name of the KPI in the dashboard), its definition, description and formula.

Always refer to this document to clarify any question regarding the KPIs. Picture of what it looks like below.

Overview of Looker

In the home page, you can see a folder for each business domain. Here, you will find the different Dashboards for different business domains. Just click on the boxes in the middle of the screen to access the Dashboards.

What is the difference between Dashboards and Looks?

Dashboards are a collection of Looks:

Looks are individual data "widgets" → charts or tables:

The Looks are created before the Dashboards. You can create a Look independently and add it to the Dashboard, or you can fork the Look so it appears in a Dashboard.

How to use filters in existing dashboards?

Once you access the Dashboards, you can make use of the filters to find information more easily. Whenever you apply a filter, always click on “Update” (see picture below), so the filter is applied.

How to use filters in Looks?

Within the Looks themselves, you can also make use of the filters on the top-left. Click on “Filters” to see a list of filters available to you.

The Data Team also has default filters set up for Looks, which are the ones below.

What are schedules (sendouts)?

You can schedule sendouts in Looker to receive any updates on the Dashboards of your choice.

How to create send-outs

  1. On the Dashboard, click on the 3 dots on the top right corner.

  2. Click on “Schedule delivery”.

  1. On the pop-up screen, under “Settings”, select how often you’d like to receive it.

  2. Select where you’d like to receive them and if needed, you can also add more email addresses.

  3. Select the format in which you’d like to receive the send-out.

  4. Once you’re done, click “Save”.

The Data Team makes the data they create about the hubs available to Looker users in the link above. You can have access to it anytime.

Explore function

Here you can see the different use cases.

For instance, “Orders explore” will allow you to dive into the orders’ data:

  • Number of orders per month, week, day, hour;

  • AOV;

  • Average fulfillment time;

  • Etc.

How to create new Looks

Explanation of the overview

  1. In order to create Looks, you need to go to the Explore feature.

  2. At the top, in the middle and in grey, you can use the filter option to filter for certain criteria. The default filters will also be shown.

  3. In the field “Visualizations”, you can choose different ways to see the data.

  4. On the left side, you have several dimensions (referring to the different fields options) in black that you can open in the Data section.

  5. You are also able to see different measures in red, which refer to the measures/numbers that can be aggregated.

    1. The dimensions and the measures will appear in different colors (black and red, respectively) in the Data section.

  6. You can see other data options when you hoover with the mouse over the dimension. They will appear on the right side of the same line.

    1. The first one means the information will appear in columns.

    2. The second one is to access the filters directly.

Creating a Look

  1. Go to the Explore field.

  2. Click on the Use Case you want to create the Look for.

  3. Click on the arrow down in front of the field you are interested in in order to open its respective dropdown.

  4. Select a sub-dimension.

    1. The information contained in this sub-dimension will appear in the Data field in the middle of the screen.

    2. In the field “Filters”, filter the data for the criteria that suits you best (for example, city).

    3. In the field “Visualizations”, select a way to visualize the data in the field.

  5. If needed, select any measure (in red) on the column on the right side that you need to see.

  6. Once you’re done selecting the data, click “Run” on the top right in blue.

  7. If you need to check data for certain periods of time, or with other criteria, go to the Filters and filter the data for the information you need.

    1. Select the gear on the top right of the Data section to select further settings of visualization of the data.

Creating a new Dashboard with an existing Look

  1. Select the dimension you are interested in and filter it for the necessary criteria, if applicable.

  2. Click on the gear next to the button “Run”.

  3. Click on “Save to Dashboard”.

  4. A new pop-up window will appear. Select your name from the column on the left to save it on your personal folder.

  5. On the bottom left, click on “New Dashboard”.

  6. Name it and click “Ok”.

  7. On the bottom right, click on “Save Dashboard”.

  8. You will see a message in green at the top of the screen with the link to the dashboard. Click on it to see the full dashboard in your folder.

  9. On the top right, on the 3 dots, you can edit the dashboard. If you do so, always click “save” in the end.
