[INFO] Changes to ticket details
In order to increase the service quality of Facility Management, we have improved the ticket details input.
The selection "Property Management and External Services" has been replaced by Facility Management.
Here, after entering the contact details, the following selections are available:
Feedback Service Provider (Cleaning, Disposal, Pest Control, Water Dispenser). Please report problems and complaints through this channel. We log the deficiency reports and forward them to the service providers. In case of repeated poor performance, we escalate the topics with the providers.
Your reporting forms the basis for talks and negotiations, so it is quite important.
Utilities (gas, water, electricity)
In case of problems with suppliers for gas, water and electricity you can address them via this selection. Enter the electricity meter number, etc.
Repair requests
Here you can submit your repair requests as usual.
An exact description of the damage and the solution is very important to be able to react effectively.
Please note that repair requests resulting from visits to authorities will only be made after a written request and consultation with Food & Work Safety.

[INFO] Project Ginger
Since Monday 01.04 we now sell loose ginger
They should be bundled into approx. 120g (see photos)
As a gesture of goodwill, we tagged the item as 100g and only charge so much
The ginger is actually organic, but in order to not have to pack it with complicated extra features, we sell the product as conventional
11017532 Ginger approx. 100g (China)
11013744 Ginger approx. 100g (Peru)
In one box there are 5kg, which means we get 40x 120g out of one box (4,8kg) - 200g we leave as buffer for waste etc.
Customer Care
____________________________________________________________________________
[INFO] A bit early, but us from Customer Care would already like to wish everyone celebrating a happy easter!! đŁđ
Let's take another peak at how last week went. The following numbers reflect activity from the 27.03 to the 02.04.
As you might already know:
This Sunday (02.04) we had hubs open in Darmstadt, Kassel, Wiesbaden and Offenbach for the first time. We had a total 549 placed orders on that sunday with a volume of 134 incoming contacts (that is roughly 24% of place orders turned into a CC conversation), all mostly customers asking where their order is.
đ As always, feel free to get in touch with Xenja Jonsson if you have any additional questions or suggestion for the upcoming newsletters.

[INFO] Sunday openings extended
After our pilot for Sunday openings in Darmstadt has been running successfully since 12 March and has been well received, we have extended the Sunday openings to Kassel and Wiesbaden.
The Team Public Affairs has informed the city leaders (mayors and responsible departments) before the Sunday openings started to make sure that our approach is tolerated.

[INFO] Neighborhood relations
In order to adapt even better to our environment, we rely on feedback from our neighbors. In case of criticism, this is to be documented via the corresponding Neighbourhood-Ticket (here).
The tickets help us to be informed about any grievances at an early stage and, if necessary, to talk to our neighbors. In doing so, it is important for us to take criticism seriously while at the same time protecting our staff in the hubs and bringing about a solution that is compatible for everyone.

[INFO] Team absences
Due to Easter holidays, we have a number of planned absences in our team which may result in a slightly delayed response to your queries sent to our People Ops team. These slight delays will only be temporary and we'll be back to normal service after the holiday.
[INFO] Certificate of enrollment recollection
As you know, the summer semester 2023 has already started at the universities. Therefore, we need the current certificate of enrollment for the new semester from all employees with working student contracts or student visas by Friday, 07.04.2023.
This is a legal requirement for working with Working Student contracts. Without a current, valid enrollment confirmation, continued employment on such a contract is not permitted. Employees have already been notified that they must submit their enrollment verification for the upcoming semester.
For a list of individuals in your Hubs from whom we are still missing documentation, please see the associated link in your City Sheets HERE. You can find the list of open cases in the tab "Cert. Recollection_Overview". Please keep these strictly confidential!
Please assist us by reminding students in your Hub to submit their current certificate of enrollment.
Thank you for your understanding/ support.
đ If you have any questions, please contact @Kristina Cesnokov or your assigned Regional Manager/ Cluster Lead directly.

[INFO] Changes to the Resignation process
Starting from March 29th, we are implementing changes to the resignation process in order to enhance compliance and provide Hub Managers with better visibility of who is leaving from their respective hubs.
Key points to note:
No immediate release: To ensure an accurate processing of all requests, we require up to 6 days and cannot offer immediate release as an option due to time constraints.
Early release remains an option: however, Hub Managers have a 48-hour veto right after SSC requests early release. If the request is denied by the Hub Manager, we will inform the employee that the full contractual notice period will be in effect.
6 days of processing time: our new process prioritizes compliance and provides Hub Managers greater visibility of leavers and veto rights. As a result, we will require up to 6 days to process all requests accurately.
Sample illustration of the process:
[INFO] SSC response time during Easter holidays
Due to Easter holidays, we have a number of planned absences in our team which may result in a slightly delayed response to your queries sent to our Workforce Support team. These slight delays will only be temporary and we'll be back to normal service after the holiday.

[INFO] Improvements around saddlebags and boxes
The current process for attaching saddlebags and boxes is far from optimal. This is a well-known issue. We have taken the feedback from you to heart, which is why we have been working on an improvement for quite some time. We would like to give you a small update.
The current solution with the cable ties had the background that we had to find very quickly an attachment option that works for about 12 different bike models. However, this solution came with certain disadvantages that we want to get out of the way with the new solution. Replacing the cable ties should bring the following advantages:
Reduction in the time it takes to attach the saddlebags and boxes.
Better service for the bikes because the saddlebags cause less damage due to a tighter fit and because they are easier to remove
Less unstacking because more equipment is fully mounted due to the ease of attachment
Because of the way the bikes are built, there will be two different solutions: For the Smartvelo bike provider (currently only in NRW) and for all other providers.
The solution for Smartvelo is already tested with some bikes in Cologne and the first feedback is excellent! Mounting a saddlebag takes only a few seconds with the snap-on system! There is also an improved system for the box, making it much more stable on the rack and easier to remove.
For Smartvelo, the rollout is already planned for May.
The hubs with Cycle, Enviado and Zoomo will unfortunately have to wait a little longer, as we are still in the development phase with our partners here. The system will be very similar to that of the Smartvelos, with the focus for now on the saddlebags rather than the boxes.
The next steps include prototype manufacturing, an endurance test in the hub, and then production and rollout. As a result, we expect to rollout around the third quarter of this year.
However, as an interim solution for the Cycle RadRunner, washers will be shipped in the coming weeks that can be mounted between the rack and the box plate. This will raise the boxplates slightly, allowing the saddlebag cable ties to be attached without having to loosen the boxplate.
This is already possible on the Cycle Henry I's. More details to follow!

[INFO] Deliveries during the Easter holidays
Please take into account that this week and next week deliveries may be delayed due to the Easter holidays. If very unusual situations occur, please contact us via Hub Alert ticket ("Other request & delivery feedback" ticket) and we will take care of your request as soon as possible.
â[INFO] Deliveries from bakeries
Please let us know via a Hub-Alert ticket ("Other request & delivery feedback" ticket) if the bakeries do not drop off your deliveries in your hubs or there are complaints from neighbors about early deliveries. If the bakery delivers the goods unpacked, it will also create a Hub Alert ticket ("Delivery issue" > "Quality issue" > "Damaged product"). We would like to use your feedback to improve the delivery performance if needed or to discuss the delivery window with the suppliers.
Demand Planning / Replenishment

[INFO] HUB Alert 3.0 Stop Delivery Tickets
âPlease create tickets only when a new delivery is coming and not for overstock which was delivered weeks/months ago. Checking tickets is a significant manual effort and should only be used for acute problems.
Payroll
____________________________________________________________________________
[INFO] Easter holiday payroll for our workforce
With the Easter holidays approaching, we wanted to give you an update on our public holiday payroll processes for our Riders, Ops Associates and Ops Associate +.
We will only reimburse public holidays for employees who have worked 75% of the respective business day in the last three months. This process is in line with our scheduling approach where we distribute shifts per person across a maximum of 5 days a week.
Please note that Shift Lead and Hub Manager compensation is not affected by public holidays.
