What is a stock check?
There are 3 kinds of stock checks:
Out of stock
Low Stock
Extra Stock
Out of stock checks are triggered when (1) there was a pre order issue or (2) we detect a mismatch of our physical inventory in the hub compared to what we show in the system during the BBD check.
Low stock checks are triggered once per day at 3 pm. We subtract the hub-individual average daily sales from the current stock level of each product. If we see that we will run out of stock for a product we trigger a low stock check.
Extra stock checks currently solely serve the purpose of theft prevention. We check items which are prone to theft regularly (2x/3x per week) through the extra stock check category.
Prioritization
Stock checks have different prioritization stages depending on how fast they need to be completed.
Urgent priority –> immediately
Include out of stock and low stock checksTop priority –> hub individual time of the day
Include extra stock checksMedium/Low priority –> when there is time throughout the day
How to perform a Stock Check
In the HubOne app, go to the Inventory tab and select “Stock Checks”.
Check the priority stages. Start with the checks with the highest priority which will be shown at the very top.
Click on the first check and scan the shelf to start a check.
Count the exact quantity of products that exist in the hub, including the top shelf and the back stock.
Take your time to make sure you count the correct amount. If you are unsure about the number, take the time to do a recount.
Insert the counted amount in the app and press "Confirm Amount".
You will see a pop-up asking you to confirm the amount. Click "yes" if the amount is indeed correct.
You will now see the amount you counted vs. the amount we have in the system.
If there is a mismatch make sure that your counted amount is 100% correct and there was nothing missed in the backstock/topshelf.
You also have the oportunity to outbound any product that is expired/damaged or should go to Rescue bag, To do so, simply enter the amount of outbound products according to the categories on the screen.
Finish the check by clicking "Complete task".
The amount in the system is now corrected and you can continue with the next check.
FAQ
Since during the day products constantly fall below their individual stock threshold for triggering a check, it is important to check the "Shelf Check" section at least once an hour and perform the above process flow.
