Whenever you receive any delivery, 100% of all products in all Rollis need to be registered in the system, whether they are damaged, expired, or good. In order to do this, you need to inbound all the good products and outbound all the damaged/expired ones, as this will register every single product in our system. The Inbound Checker will help you monitor all the products that you inbound, outbound, etc. |
Process
In order to register all products delivered, you need to perform the inbound and outbound of every single product that you receive in any delivery. In order to do this, check out this section to read more about inbounding and outbounding several types of products from the deliveries.
Once these registries (meaning, inbounding and outbounding all products) are done, you can go into the Inbound Checker to check what was inbounded, what you should’ve received, and what you actually inbounded. Basically, you can control all deviations regarding inbounded products.
If deviations are found, see the dropdown below to know what to do in this situation.
Re-counting all inbound products deviations (Inbound Checker)
Everyday, you should go to the Inbound Checker and check if there are deviations between what we were expecting and what was inbounded. If there are deviations, you must recount the products. The recount happens in the following pattern:
If you have a morning delivery: check the Inbound Checker dashboard around 15:00
If you have an afternoon delivery: check the Inbound Checker dashboard around 20:00
If you have a late delivery: check the Inbound Checker dashboard in the morning, before opening the shop
If you happen to find deviations, follow these steps:
First, check the deviations in the Inbound Checker.
If you find any, go to the shelf with the product(s) that have deviations.
Go into the HubOne app > Inventory tab > Stock Correction and either scan the shelf to see an overview of all products on it or scan a particular product to see the information for it specifically.
Count all the items in the shelf that have deviations flagged in the Inbound Checker.
Compare the inventory in the system with the physical inventory.
If you find the missing products in this recount, inbound the forgotten number of items:
Go to HubOne > Inbound > Select a Delivery > “Not part of a delivery”.
You will then be redirected to the “Prepare your dropping list” screen.
Scan a unit of the product in question and enter the new total. Repeat this for other products in that shelf that also have deviations.
NOTE: if the barcode of the product is not available, search for it in the search bar and click "Add to the list".
Once you're done, click on "Verify List".
On the following screen, click on "Start Dropping".
Tap the hand icon on the app and click on "Finish Dropping".
NOTE: If the product is damaged or expired, follow the procedure in the dropdown above.
If during the Inbound you inbounded too many products:
Go to HubOne > Inventory > Stock Correction.
Scan one unit of the product in question.
Enter the correct total of units from that product.
Click on "Confirm Stock".
If your recount confirms that the physical inventory matches the one entered in HubOne:
Write this case in the Slack Channel #temp_inbound_checker_support so the correct action can be taken.
FAQ
I have received an incomplete delivery. How do I adjust the fill rate in the Inbound Checker?
Whenever you don't get all expected products in a delivery, it will be reflected in the fill rate (as it will be lower than 100%), and the Inbound Checker as a deviation (inbounded quantity = 0). In this case, submit a Hub Alert ticket for "Missing Products".
All items should be booked in on your Zebra phone issued to you at the start of your shift. You should be logged into HubOne on your own profile.
