š° In This Week's Issue:
š Fruit of the Week: The Berry Check
We are highlighting a specific product each week to sharpen our outbound quality checks. This week, weāre focusing on Blueberries, Strawberries, and Raspberries.
Because berries have a short shelf life, it isnāt enough to just check the top of the pile. We need to ensure that what reaches the customerās door is the best quality.
How to Quality Check Like a Pro
Don't just glance at the crate, check the entire stock during your fresh checks and maintain "last eyes" during picking.
Status | What to Look For | Action |
|
|
ā Top Quality | Dark blue/purple blueberries; Strawberries with a slightly white top are still good! | Ship it!
ā ļø "Rescue" Level | One bad berry in the bunch? | Pick it out. Sell the rest via Rescue Bags.
ā Outbound Perished | Softness, visible mould, or mushy frost damage. | Do not ship. |
The Pickerās "Last Eyes" Rule
The picker is the final line of defence. Before you place that pack into a customerās bag, do a 3-second flip check:
Check the bottom: Mould often starts at the base where moisture sits.
Look for "leakers": If the juice is staining the cardboard or plastic, itās over-ripe.
The "Squish" Test: If they look shrivelled or furry, they stay behind.

šļø Fruit Bags - Usage
Why is it important?
Better protection & presentation: Loose fruit stays safe in transport and arrives in better condition for the customer, making them feel we handled their order with care.
Brand visibility at home: Customers may keep the fruit in the same bag, putting the Flink logo right in their kitchen. This is also in line with other players in the market who have thier logo on fresh fruit and veg.
How to use them
Place fruit bags on shelves next to (or as close as possible to) the listed products.
Only pack these items inside*:
Loose pears
Loose apples (Gala, Granny Smith, Pink Lady)
Loose Avocados
*The reason why not all loose fruit and veg is that these are the most likely to be damaged during transport.
After packing, put the fruit bag into the larger Flink bag.

This week's Fruit & Vegetables leaflet highlights a decline in quality for strawberries and grapes, alongside continued availability shortages for tomatoes and mandarins. See more here, Week 12.
New Process: NL Sickness Flow Revamp - Live Wednesday 18th!
Starting Wednesday, March 18th, the way we record and manage sickness is getting a major upgrade. We are moving away from Zendesk and bringing everything directly into the Hub Portal.
ā
Account Setting - Redesign
You will see a complete redesign of the account settings tab with the new sickness flow release, making the relevant information clearer.
Whatās New?
To reduce "platform friction" and make tracking easier, you will now manage the entire sickness process within the Workforce (WF) tab.
Integrated reporting: No more switching to Zendesk.
Automated Policy Checks: The portal will now automatically flag if a notification meets our policy requirements.
Direct Sync: Successful requests match automatically with Quinyx.
Account Setting Tab Redesign: You will see a complete redesign of the account settings tab with the new sickness flow release, making the relevant information clearer.
Note: Only personal accounts (OA+, SL, HM) have access to the hub portal (no hub accounts). So make sure you are logged into your account.
ā
Important: Updated Notification Times
We are updating our Sick Calling Policy to ensure better shift coverage. These changes go live tomorrow. Please note that Comms will be sent to all Riders and OA on Wednesday morning to remind them of these new requirements:
Shift starts BEFORE 11:00 AM: Employee must notify by 10:00 PM the previous day.
Shift starts AT or AFTER 11:00 AM: Employee must notify by 9:00 AM the same day.
Note: If a report is more than 2 hours late, a screenshot of the phone call log MUST be attached in the portal.
Resources & Documentation
We have updated our internal materials to reflect these changes. Please ensure your hub is using the latest versions:
Updated Employee Handbook ā Now includes the revamped sickness flow: Here
New Sickness Policy Poster ā Please print and display this in the hub immediately: Here
NL Sickness Flow Presentation ā For a full step-by-step walkthrough of the new Portal screens, please review the attached slide deck: Here
What do I need to do?
Review the presentation so you are familiar with the new "Actions" button in the WF tab.
Prepare your team for the Wednesday morning change (email comms will be sent to all riders & OAs today), but please make sure everyone is aware.
Many thanks!

š Dispatching Update: Pre-Picking at Shift Start
What
The dispatching system now anticipates upcoming rider shifts and pre-picks a first order before the rider has punched in, so a trip is ready the moment they arrive.
Riders are assigned the median vehicle size for their hub until they register their actual vehicle.
If a rider doesn't show up within 15 minutes of their shift start, they are removed from the pool and the pre-picked order is reassigned.
Riders are also now assigned to trips in the backlog, stabilising backlog time estimates and limiting trip swapping.
Why
Riders experienced ~10 minutes of idle time at the start of each shift while waiting for their first order to be picked and packed.
The previous dispatching logic didn't release an order to the picking team until after a rider had punched in and been assigned a vehicle, creating an unnecessary bottleneck.
This idle time directly increased rider cost per order (rCPO) and reduced operational efficiency.
Expected Impact
Estimated ~2-minute reduction in initial idle time per shift.
Once a rider is online, they should be ready to receive orders and not be preparing for the shift.
š“Choosing the Best Rider for Every Shift
When replacing riders on shifts, always aim to select the best available option, not just the first person who applies. If there isnāt a strong match right away, itās better to wait a bit and see if a more suitable rider becomes available.
To support this, Quinyx now assigns every rider a Top / Mid / Low skill level. This reflects their overall performance (including factors such as reliability and productivity) and aligns with the auto-assign logic.
You can view a riderās skill by hovering over the ā1 otherā skill in the applicant list for shifts (see screenshots).
You can also filter riders by skill level to quickly find the best match.
How to use this in practice:
Try to replace riders with someone of the same skill level.
If possible, upgrade (e.g. Low ā Mid or Top).
Avoid downgrading (e.g. Top ā Mid) unless thereās no alternative and you cannot wait longer.
These skill levels are updated weekly (every Tuesday) to stay up-to-date. New riders will receive a skill after their first week, and the fact that new riders will not immediately have the best statistics has been taken into account in their skill level for the first month after they start.
Bottom line: Use the skill levels and filters to consistently choose the best rider for every shift.

š„« Restocking Progress
Over the past months, from the end of last year through now, thereās been clear, consistent progress across the hubs.
The missed restocking % has steadily gone down, and thatās paying off. Less time spent searching for products means smoother operations, and it shows in the numbers.
Our per-item picking time was never faster than 9.3 seconds on a monthly basis, and weāve now been faster than that for 3 months in a row. Thatās the fastest weāve ever been, consistently. šŖ
This isnāt a one-off result; itās the outcome of better habits and teams sticking to the basics every day.
Strong work across the board.

Shelf Changes
The shelf changes will be posted at 15:00 today and will go live tonight. Please move products to their new locations after closure or tomorrow morning. Don't forget the back stock!
In the shelf change output file, you will now find two additional columns: one showing the number of facings for the product being moved to the new shelf, and another indicating whether the product is stored as an HU. If the cell is blank, it means the product should be stored as an SU.
If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
