š° In This Week's Issue:
āļø Keep It Chill: Cooling Sleeves coming to the hubs
What is it?
Maintaining the cold chain is vital for delivering the high-quality products our customers love. Between the time Lekkerland delivers and we finish inbounding, products can heat up quickly. That is where our new cooling sleeves come in!
These sleeves are designed to keep roll containers under 7°C, protecting the cold chain for up to 4 hours after delivery.
š¦ Every hub should get the cooling sleeves delivered by Lekkerland this week. Details on the delivery dates will be shared on Slack!
Why Use Cooling Sleeves?
Fresher Products: Maintain taste, texture, and quality from supplier to shelf.
Less Waste: Better cost control by reducing the amount of spoiled stock we have to throw away.
Happier Customers: Shoppers receive products in perfect condition, which builds long-term trust and loyalty.
How to use the Cooling Sleeves?
1. Arrival & Application
When roll containers arrive from Lekkerland, perform the check-in and SSCC scanning. Immediately after scanning, hub staff and the driver should apply the sleeves to the chilled roll containers.
Important: Cooling sleeves are for chilled products only; do not use them for frozen goods.
2. Inbounding
Always follow the correct inbounding order: Freezer items first, then fridge (chilled), then dry. While inbounding:
Keep the sleeves on the roll containers until you are ready to start.
Fold the sleeve's front opening back so it stays on the container, keeping the remaining products cool while you work.
3. Post-Inbounding & Storage
Once finished, ask a teammate to help you remove the sleeve. To keep our hub organised:
Clean & Fold: Ensure sleeves stay clean and fold them neatly.
Store Properly: Hang or store sleeves on a spare roll container in their designated area to avoid damage or contamination.
Prepare for Next Time: Stack the sleeves so they are ready for the next delivery.

š New: Battery Management in HubOne! - Go Live Wednesday 18th Feb
Weāre excited to announce the new Battery Management feature in Hub One - going live this Wednesday morning!
This update will provide a new Battery Inventory system directly in HubOne - replacing current battery counting via Google Form/Slack.
By tracking every battery and its operational status individually, weāre improving traceability and ensuring no asset gets lost.
How does it work?
Go to Hub One -> Inventory -> Battery Management to access the new system:
Add your batteries to the inventory: Scan all your batteries to add them into the system.
Mark as non-functional: Flag any damaged or unusable batteries as "non-functional"
Outbound batteries: Outbound batteries with the right reason when they leave the hub for repair, transfer, or if they are lost/stolen.
Battery not scannable? Create a Zendesk ticket for damaged battery (form will be updated soon).

āš Check out all details about the process here!
š Intro Call tomorrow morning (Wednesday, 18 Feb 9:30am)
We will host a quick intro call tomorrow morning to go through the feature and answer any questions.

š¬ New: Slack Channel for Real-Time Customer Feedback! - Go Live Wednesday 18th Feb
We want to give you direct visibility into the most important part of our business: the customer experience. For this, we are introducing dedicated Customer Feedback Slack Channels for every Hub.
How does it work?
Each hub will get one new channel where post-order customer feedback will be posted in real time. You will be able to see the feedback, order number, and rider/OA information.
How to Use This Feedback
The goal of this initiative is to help us stay closer to our customers and understand their positive and negative experiences.
Address Issues: Talk to your team to address potential issues or improve behaviours.
Celebrate Positive Feedback: Share positive feedback with your team to celebrate happy customers!
No need for refund/customer care actions: No need to reach out to Customer Care or act on any refund requests which might be mentioned in the feedback. This is purely informative.
Keep an eye on Slack this Wednesday as the channels go live!
Note: In the future, this information will be integrated into the Customer Feedback Dashboard in the Hub Portal.
Archiving old external accounts
What?
We will be blocking and archiving all external rider accounts that do not have a badge number. We will also be restricting permissions for creating new external accounts.
Why?
External rider accounts without badge number canāt be linked to a shift, so we cannot properly track costs or ensure the right person is working the shift.
What you need to know:
External rider accounts are created automatically through the YoungOnes integration with the Workforce App and Quinyx - please do not create them manually. All external account badge numbers begin with 8.
If you encounter any issues: reach out to #tech_hub_service-nl.

Shelf Changes
The shelf changes will be posted at 15:00 today and will go live tonight. Please move products to their new locations after closure or tomorrow morning. Don't forget the back stock!
In the shelf change output file, you will now find two additional columns: one showing the number of facings for the product being moved to the new shelf, and another indicating whether the product is stored as an HU. If the cell is blank, it means the product should be stored as an SU.
If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
