📲 Rider Damage Reporting: Live Wednesday 4th!

Starting this Wednesday, we are officially rolling out the new Rider Damage Reporting feature to all hubs! This update shifts the primary responsibility for flagging vehicle issues directly to our riders, streamlining maintenance and getting damaged bikes fixed faster.

How the New Process Works

Riders will stay online while reporting and can now manage their assigned vehicles directly through a few simple steps:

  • View Status: Riders can see a vehicle's operational status and history as soon as it is assigned.

  • Report Directly: Click 'Report a damage' to select specific vehicle parts and damage categories.

  • Evidence & Details: Riders must include comments and a clear photo for every damage reported to help mechanics bring the right tools.

  • Physical Tagging: Once a damage is reported, the rider must place a red zip tie on the handlebar, even if the bike is still safe to ride.

  • Automatic Sync: All reports sync immediately to the Hub Portal for management and mechanics to see.

Hub Leadership & Management Role

While riders are now the main reporters, Hub Leadership (HM/SL/OA+) remains critical for oversight:

  • App Updates: Ensure all riders update their WF App to the latest version by Wednesday.

  • Zip Tie Management: Store red zip ties (delivered in packs of 100) where riders can easily access them.

  • Verification: Hub leads should verify rider reports during standard bike checks and manually add any missed damages.

  • Organisation: If space permits, separate vehicles marked with red zip ties from the operational fleet.

  • Mechanic Loop: Confirm that mechanics remove the red zip ties only after the repair is complete.

💪 Automated Quinyx & YoungOnes Integration: Live Wednesday 4th

Shift assignment between Quinyx and YoungOnes is now fully automated! This new feature streamlines how we manage external riders, ensuring that our systems stay in sync without the manual headache.

How the Workflow Works

The new automated flow handles the heavy lifting from the moment you create a shift:

  • Shift Setup: Either change the "Rider" shift to a "Rider External YO shift" within Quinyx, or create a “Rider External YO shift” from scratch. Ops Associate and Scooter shifts are also possible.

  • Instant Posting: A job post is automatically opened on the YoungOnes platform.

  • Selection: You review applicants in YO and accept the person with the best track record with Flink.

  • Auto-Sync: Once approved in YO, a Quinyx account is automatically created and the shift is assigned to that external rider.

  • Time Tracking: External riders punch in via the Webpunch tablet just like internal riders. These punch times are then used in Quinyx to validate the actual hours worked on the YO platform.

Important Rules for Success

To keep the automation running smoothly, please keep these guidelines in mind:

  • Be Patient (But Not Too Patient): Job posts should appear in YO within 1–2 minutes. If it doesn't appear in that timeframe, please open a ticket in #nl-tech-hub-service.

  • Don't Go Manual: Never open jobs directly in the YoungOnes platform. If you do, they will not be automatically accounted for in Quinyx.

  • Editing Shifts: Changing an existing shift will not trigger a new YO posting. If you need to make a change, you must:

  1. Cancel the gig.

  2. Delete the shift.

  3. Create a brand new shift.

Important:

  • All older accounts with no badge numbers will be blocked and archived

  • SLs and OA+ will no longer have the permission to create external riders without badge numbers.. All external riders should be created via the integration.

⚙️ Customer Feedback Dashboard Updates - Notification Dot for the Hub dashboard

  • As requested via the #hub-feedback-ideas Slack channel, we added a pink notification icon in the sidebar to give better visibility when customer feedback needs to be addressed.

📊 Update: WF Training Completion Dashboard

We’ve streamlined the way you track team development. You can now view all Workforce training modules (not just Onboarding) in one place and drill down into specific courses and employee progress with a single search.

The Mission: Closing the Gap

The Netherlands is currently at 18% completion for non-onboarding courses. This new dashboard isn't just a tracking tool; it’s your roadmap to identify where processes are stalling and guide your team toward the finish line.

Track New Process Launches

Whenever we release a new feature or process guide, it will automatically appear on your dashboard. This gives you a real-time "health check" on how well your staff is adapting to new updates.

💡 Quick Start: How to Use the Dashboard

Is your hub struggling with a specific area? Here is how to fix it:

  1. Identify the issue: (e.g., Riders aren’t checking IDs for alcohol deliveries).

  2. Search by course: Look up "Alcohol Refresher Guide" in the dashboard.

  1. Analyse the data: Scroll down to the employee level to see who is missing the training.

  1. Take Action: Follow up with those specific staff members to get them up to speed. 🚀

🆕 New hub Opening: Zwolle

Were happy to announce the 58th Netherlands Flink Hub: Zwolle! We're already seeing orders rise day over day, massive shout out to the launch team & new hub manager Kevin and of course, Bart's cluster team for an amazing launch.

Grand opening will be 6th of Feb!

Shelf changes:

The shelf changes will be posted at 15:00 today and will go live tonight. Please move products to their new locations after closure or tomorrow morning. Don't forget the back stock!

In the shelf change output file, you will now find two additional columns: one showing the number of facings for the product being moved to the new shelf, and another indicating whether the product is stored as an HU. If the cell is blank, it means the product should be stored as an SU.

If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
