🛍️ Coming Soon: New Handover Shelves Setup!

We are excited to announce a major upgrade to our hub efficiency: the New Handover Shelf Colour Setup. As our order volumes grow, staying fast is a top priority. This new system introduces clear visual cues by color-coding the handover shelves, larger numbers, and prominent barcodes, to make the handover process smoother than ever.

Why the Change?

Data from our rollout in Germany shows a massive impact on performance. By implementing these colored shelves, we saw a 28% reduction in Rider Preparation Time (dropping from 1.8 to 1.3 minutes).

The new setup offers two primary benefits:

  • Faster Identification: Riders and pickers can spot the right shelf from a distance, reducing search time.

  • Fewer Mistakes: Clear labeling and color matching reduce mix-ups and misplacements during high-pressure peak hours.

Syncing with the WF App

As shared some time ago, this physical update ties directly into the recent Rider WF App update. To make finding orders even easier, both the shelf and container fields in the app will reflect the specific color of the physical handover shelf.

What to Expect This Week

  • Your hub should be receiving a package from HQ this week containing all necessary equipment, including colored tapes and official shelf stickers.

  • Action Required: As soon as your materials arrive, please fill out our quick Google Survey here to confirm receipt.

  • Intro Call: We will be hosting an introductory call shortly to walk through the setup process and answer any questions.

Getting Ready for Setup

Before the materials arrive, you can start by:

  • Evaluating your Dispatch Zone: Plan where Racks 1–4 will go, ensuring the smallest numbers are closest to the hub entrance to minimise walking.

  • Clearing the Way: Remove any old stickers, handwritten numbers, or "clues" from your current shelving.

  • Checking your Racks: Ensure your racks have 4 shelves, as the system is designed for maximum efficiency at this height.

With temperatures dropping, it’s time to level up our riders' winter gear strategy. We’ve just launched a new Edume Guide specifically designed to help riders master the elements and stay comfortable during your shifts.

🚀 Setting the Pace: A New Record for Our Hubs!

Huge congratulations to our hub teams! We’ve officially hit an all-time record: our average picking time per item has dropped to 8.8 seconds.

This is the fastest picking speed in our history, proving that our focus on efficiency is paying off.

The goal is in sight: We are now just 0.6 seconds away from catching Germany.

How do we achieve this? Hit that restocking button! and ensure the shelves are always restocked and ready for picking

Let’s keep this momentum going; we’ve never been closer to the top spot!

Key updates you can't miss

🌃 Updated Late Night Cancellation Flow - Go Live This Wednesday!

To ensure we are maximizing our revenue and providing the best possible service to our customers, a new update to the order cancellation process will go live this Wednesday, January 21st.

What is Changing?

Currently, when a hub requests an order cancellation via the “Order cancellation request” Slack workflow using the reason “Night cancellation (insufficient staffing),” the order is cancelled immediately with no additional validation.

Starting Wednesday, we are introducing a New Flow to challenge cancellations for orders that are considered high-risk or high-value.

How the New Flow Works

Automated Check: When "insufficient staffing" is selected, the system will automatically check if the order meets high-risk criteria, such as:

  • High monetary value.

  • Short delivery distance.

  • Star customers or customers already experiencing long wait times.

The Challenge Message: If these criteria are met, the hub will receive a challenge message asking if an additional effort can be made to get the order delivered to avoid disappointing and potentially loosing customers.

Hub Confirmation: The hub must then review the decision and select one of two options:

  • "Yes, we can deliver": Proceed with the delivery as normal.

  • "No, we need to cancel": You will be asked to provide a specific reason and confirm the cancellation a second time.

Note: The order will only be cancelled if you proceed through this second confirmation and select "No, we need to cancel".

Why this is Important

This extra step is designed to help us avoid losing significant revenue on easily fulfillable orders and to prevent late cancellations that lead to high customer frustration. We want to make every effort to deliver to our most loyal customers and protect our hub’s performance metrics.

💻 Hub portal updates

Based on your feedback after last week’s update, we added additional states to the Order Status Filters:

  • Claimed

  • A toggle to include ‘in queue’ / ‘on hold’ orders

📲 HubOne Updates

We have three new updates for HubOne, all of them were requested by hubs via the #hub-feedback-ideas slack channel, please keep your feedback coming, it makes a huge difference!

  1. Rolling Inventory Checks have now their own Checks Category
    ​
    This makes it easier for you to differentiate and prioritize your checks throught the week

  1. Stock Checks: Filter and Sort by Shelf Numbers

  1. Current Stock is now visible during List Creation

This helps you to see during list creation whether items should go to the front shelf or directly to backstock of there are already too many in stock.

🗑️ Waste Reporting Compliance

The supply chain team is introducing a new performance parameter, Waste Reporting Compliance.

The goal is to successfully claim all supplier-caused waste by ensuring every report has evidence we can directly present to them. This effort directly reduces our overall waste costs and minimizes time-consuming discussions.

This KPI is now integrated into the weekly Outbounding & Waste Report for all Hub Managers.

What makes a report Compliant?

A usable waste report ticket is essential for a successful claim. Compliance requires three critical elements:

  • BBD/Production Code: Essential for suppliers to identify defective batches.

  • Sufficient Pictures: Clear images that describe the issue and pinpoint accountability.

  • Correct Outbound Reason: Must accurately reflect the cause (e.g., delivery-damaged/expired).

What makes a report Rejected:

A claim is rejected, if it fails on any of these critical points:

  • Absence of pictures, excluding any technical issue in the data flow

  • Absence of pictures portraying the issue(s)

  • Absence/Incorrect BBD/production code.

    1. The barcode is not the production code

    2. If no BBD/production code is present, but it's visible in a picture, the checker can manually add it to the report..

  • Waste is not caused by suppliers

Understanding the New KPI Rate

The Waste Reporting Compliance rate measures how effective we are at correctly identifying and documenting supplier-caused waste, making it eligible for a claim.

  • Calculation: (Number of items correctly reported) / (Total Outbounds)

Impact for Hub Managers: A high compliance rate ensures sufficient evidence for claims and leads to a direct reduction in company waste costs.

Shelf changes:

The shelf changes will be posted at 15:00 today and will go live tonight. Please move products to their new locations after closure or tomorrow morning. Don't forget the back stock!

In the shelf change output file, you will now find two additional columns: one showing the number of facings for the product being moved to the new shelf, and another indicating whether the product is stored as an HU. If the cell is blank, it means the product should be stored as an SU.

If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
