As we move into the busy holiday season, here’s everything you need to know about planning, deliveries, staffing, and opening hours.
📦 General Strategy
For December, we will keep order volumes slightly tighter than usual to ensure sufficient capacity for weather top-ups. These will be pushed as early as reasonably possible so hubs have enough time to fill them.
📊 End-of-Year Count
All EOY count shifts have been fully scheduled in Quinyx and are good to go.
Here is the sheet where you can fill the names of your counting leads and backups. Please fill the yellow columns for your hub by Sunday 14-12, end of day latest.
The counting training is planned for Tuesday 16-12, make sure to forward the invite to all leads & backups or make sure they can dial in via the hub account.
💶 Holiday Hourly Bonuses
The plan for designated holiday bonuses will be shared shortly. Stay tuned for details.

Adjusted delivery days for Lekkerland during the holiday period can be found here. Please review carefully to plan your stock and staffing.

24 Dec – Christmas Eve: Regular opening hours
25 Dec – Christmas Day (1st): Closing at 19:00
26 Dec – 2nd Christmas Day: Closing at 20:00
28 Dec – EOY Count: Closing at 20:00
29 Dec – EOY Count: Hubs closed until 16:00
31 Dec – New Year’s Eve: Closing at 22:00
1 Jan – New Year’s Day: Hubs closed until 10:00

A: Stop distributing immediately. Do not substitute with old flyers. Notify your Hub Manager.
Q: The Christmas flyer has no SKU. How do I track stock?
A: Since there is no SKU scan required, stock must be monitored visually by the Shift Lead.

📸 New Feature: Image for Outbound During Inbound - Golive Wednesday 10th!
We are excited to announce a major update to the Outbound during Inbound process in HubOne! After a successful testing phase, we are rolling this out to all hubs starting tomorrow.
This new feature completely replaces the old process of creating Hub Alert tickets for damaged or expired delivery items.
🚫 The Old Way
Previously, for every damaged or expired product found during inbound, you had to create a separate Hub Alert ticket and attach pictures. This was:
Time-consuming for the hubs.
Often skipped, leading to missing supplier claims and lost money.
✅ The New Solution
We have integrated the entire reporting flow directly into HubOne. Now, you can provide all the necessary evidence, photos and product code, right within the app while you are processing the delivery.
This means:
No more Hub Alert tickets for delivery product issues!
Instant collection of all required info for supplier claims.
Stronger claims and reduced financial loss thanks to better quality evidence.
📲 How It Works
When you receive a damaged/expired product from the supplier, swipe left to "Outbound" an item during inbound. Then, follow the steps in the app:
As before, swipe left and press outbound
Select Reason: Choose "Damaged" or "Perished/Expired" and enter the quantity.
Input Code/Date: Enter the Best Before Date (BBD).
Note: If the product has no BBD date, enter the Production Code or Batch Code instead (see slides where to find it).
Take Photos: Tap to upload 1–3 clear photos of the issue.
Photo of the damage: take a clear picture that shows the damage/issue of the product
Photo of the BBD Date/Batch/Production code: Make sure to take a second picture with the BBD Date or Code you filled in in step 2.
Submit: Press confirm to finish.
No need for additional hub alert for Delivery - Product Issues 🚀

❄️ New Feature: Direct Inbound for Frozen Lekkerland! - Golive Wednesday 10th!
We are excited to announce that we are rolling out Auto-Created Dropping Lists for Lekkerland Frozen deliveries to all hubs!
We previously saw a 27% improvement in inbound speed with bakery deliveries, and we are now bringing that same efficiency to Frozen.
🔑 Why the Delivery Check-In Matters
In last week's newsletter, we asked all hubs to ensure the Delivery Check-In step is always completed. This new feature is the reason why!
You must complete the Delivery Check-In and Rolli Validation for Frozen Lekkerland Rollies as soon as the delivery arrives to enable these auto-created lists. Once the rollies are checked in, the dropping lists are created automatically.
📲 How to use it
Check-In: Perform the delivery Check-in immediately and ensure you scan the label of every frozen container.
Scan to Find: In the Inbound tab (Shared List screen), simply scan a rolli to navigate directly to the auto-created list.
Validate the quantity: For auto-created lists, you need to verify the quantity by clicking the green tick mark in the dropping step before dropping the products. Only once you checked the green tick, can you tap the product to drop it.
⚠️ Important: Double-Check Your Lists
Please pay close attention to the following to ensure stock accuracy:
Split Lists: Please note that sometimes one rolli can be split over two lists. Make sure you double-check every item on the rolli.
Physical Stock First: Only drop products that are actually physically on your rolli.
Missing on the list? If a product is on the rolli but not the list, use the Add Product feature.
Not on rolli? If a product is on the list but not physically there, delete it from the list.
💡 Troubleshooting
No list found? Sometimes, delivery data is missing. If scanning the rolli doesn't bring up a list, a pop-up will appear, simply create the list manually as before. There is no need to report this to tech-hub-service.

📲 Streamlined Hub Alert Form
We have updated the Hub Alert form for the Netherlands to improve clarity and remove duplicate options.
Here is what has changed in the form:
Product Issues: We have added helper text to the 'weight/litre/stuck' section to make it clearer what information is needed.
Delivery Issues:
The "Stop Delivery" option has been removed (as it was a duplicate).
Irrelevant Rewe options have been removed from the Roll Container issues section.
Removed report quality issues due to be replaced by outbound during inbound with image update in HubOne.
Other Issues: The "Product should have BBD/Fresh Check" option has been removed.
The changes will be reflected from tomorrow onwards.
📦 No Rush Delivery orders (Turfs 10+)
We’re testing a new option for customers in outer turfs (10+). Instead of the standard delivery time, they can choose a fixed 2-hour no-rush window and receive a €1 discount on their delivery fee.
These orders may look “stuck” in the Picker Queue, but that’s expected - the system will release them for picking before the promised time.
Important: Don’t scan these orders manually (even if you have riders who are available). The system needs up to almost two hours to stack them efficiently and lower our operating costs.
You can spot these orders by checking their Promised Time on the Orders dashboard - they usually show more than 110 minutes.
We’ll improve how these orders appear on the dashboard soon.
💸 Payroll Holiday Update
As 2025 comes to an end, the payroll team is working to ensure a smooth transition to the next fiscal year. As such, we would like to inform you of the following regarding your upcoming salaries:
🗓️ For Rider/Pickers, OAs, and OA+s:
In Week 2 of 2026, payment date 09.01.2026, we will only process the payments for Week 1 of 2026. No correction payments due from prior weeks will be made on this date.
In Week 3, we will then process the payments for Week 2 as well as the corrections from Week 51, 52 (2025) and Week 1 (2026), to be paid out on the 16th of January, 2026. Please make sure any correction requests are submitted before this week.
🗓️ For Shiftleads:
The first payment date of the four-weekly period in 2026 will be the 30th of January (Week 5). This week is also the last possibility for corrections regarding Period 13 (01.12.2025 - 28.12.2025) and the rest of 2025. Please make sure any correction requests are submitted before this week.
🗓️ For Hub Managers:
Please ensure that by the deadlines mentioned above, all hours in Quinyx are correct.
🤖 EduMe AI ChatBot coming to the WF App
Starting Thursday, there will be a new Edume AI Chatbot in the training section in the WF App.
Riders/OAs can ask any process questions to the EduMe Chatbot, and it will give you the requested information from the training content available. This way everyone can easily access any information you need without searching through all the contents.
Example: what to do if I mixed up two orders?
Simply navigate to the training section in the WF App, click on the ‘Ask AI’ button, and write your question!
📹 Camera replacements
We are moving our camera platform to an in-house solution. In the coming 3 weeks, a mechanic from M3 / Mackaay will come by to demount the current Securitas cameras and install the new Unifi cameras.
No action needed from your side besides welcoming the mechanic when they arrive.

Shelf changes:
The shelf changes will be posted at 15:00 today and will go live tonight. Please move products to their new locations after closure or tomorrow morning. Don't forget the back stock!
In the shelf change output file, you will now find two additional columns: one showing the number of facings for the product being moved to the new shelf, and another indicating whether the product is stored as an HU. If the cell is blank, it means the product should be stored as an SU.
If you do not find your hub's file in the folders, it means there are no shelf changes for you this week.
