🚨Flink Safety Assessment (for OA+, SL, HM)

ā€¼ļø All OA+, SL, HM please complete by Feb 29 ā€¼ļø

We take the safety of our team members very seriously, and one crucial aspect of that is making sure everyone has the right knowledge and awareness of safety in the workplace. To help with this, we've created the Flink Safety Assessment to check your understanding of various safety topics.

The assessment consists of 7 sections (see below), and you can earn a total of 49 points. To pass, you'll need to obtain at least 42 points (85%).

  • Fire Protection & First Aid (EHBO)

  • Emergency Plan & Evacuation Plan

  • Securitas (Access Management & Hub Security)

  • Food Safety (HACCP)

  • Pest Control Prevention

  • Right-to-work

  • Psychological Safety

If not completed yet, we kindly ask all HM, SL, OA+ to complete the assessment before February 29, 2024. Your participation is crucial in keeping our workplace safe for everyone!

  • Please find the list with shelf changes for your hub here for Hubs 3.0.

🚨TGTG - New Daily Reporting

From this week onwards, we’ll send new TGTG reporting on a daily basis with yesterday's TGTG Expected vs Actual Sales.

In this daily overview, you’ll find yesterday’s expected number of bags (brood box + magic box) versus the actual number of bags sold (50% / 100% utilisation) based on your outbounded waste.
​
This reporting helps you to be more compliant with TGTG utilisation. Make sure to get as close as possible to the 100% utilization!

šŸ’”On Trip Compliance - live for all riders šŸš“ā€ā™€ļø

The new On Trip Compliance feature in the Workforce App is now live for all riders.

Why?

  • Problem: before, riders had no visibility of their ETA performance during their way to the customer.

  • Goal: to improve rider handling time by making sure that riders are aware of their ETA and are compliant on their journey to the customer and back to the hub.

  • Solution: all riders will see this new feature on their delivery screen.

What’s changed?

  • During delivery, the riders will see a new component with the ETA for them to arrive at the customer, based on cycling estimates. This component has three stages:

    • On time (green): the rider is within the threshold of the arriving ETA.

    • Time is running out (orange): the rider is still on time but might be experiencing a delay as the arriving ETA is getting closer.

    • Delayed (red): the rider will be delayed as the remaining cycling time is still high and the arriving ETA will not be reached.

  • The ETA starts once the rider is ā€˜en route’ and ends when he swipes ā€˜arrived’ at the customer. It restarts after every order.

šŸ“²Make sure riders are using the latest version of the Workforce App to see the new feature.

šŸ“²For riders with GPS permissions disabled, the feature will consider them delayed.
Make sure your riders have location tracking permissions always enabled for the feature to work properly.

From this week onwards, mister aqua is not available anymore on Coupa, as we'll stop with these water supplies.

🚨Training Completion (Northpass)

Please make sure all (new) hub employees have completed the onboarding course before or during their onboarding shift. Every hub employee must complete onboarding training to be compliant by law, so please check this during your shift!

In the (weekly) Training Completion sheet you’ll find an updated list of hub employees (Riders, OA, SL, HM) that haven’t finished the Northpass onboarding course.

Underneath, you’ll find how to use the sheet and all correct Northpass e-learning links.

Process

  • Select your Hub Code (use filter) and provide feedback/comments on incomplete status (for HQ to follow up);

  • The sheet refreshes every Monday at 3PM, so you have 1 complete week to provide feedback on;

  • The Training Completion % on hub level will be shared on a monthly basis in the Weekly Comparison Report.

Supply Chain Updates

šŸ’”Hub Alert 3.0 Adjustments

We'll share a weekly summary of the previous week's issues in #nl_hub-managers, aligning key concerns across all hubs. This provides insights into how the supply chain team is addressing submitted issues in Hub Alert.

Why?

Anything that does not need to be acted on Automation: Currently, there are automations running behind the tickets

  • Data Analysis: the data provide in airtable will allow for us to better analyse the tickets

  • Oversight: Using hub alert over slack will improve the analysis conducted within 24 hours should be requested through hub alert and not through slack.


​What’s changed?

As of this week, we have made some adjustments to the way the Hub Alert form is set up for

Delivery issues.

Delivery issues:

  1. Product Issue: Report if you receive wrong products or a product in a bad condition from suppliers. Please do not forget to take a picture of the product, RC, and box.

    1. Sub issues that fall under this category:

      • Wrong/Missing Label

      • THT/BBD Issue

      • Broken/Damaged article

      • Pest Issue

  1. Quantity deviation (+/-): report if you receive deviating quantities of cigarettes and tobacco deliveries.

  2. Rollcontainer Issue: report transportation, stacking, temperature, or other rollcontainer issues.

    1. Sub issues that fall under this category:

      • Rollcontainer fell/broken

      • Temperature issues (full rollcontainer)

      • Fresh and dry products mixed on same rollcontainer

      • Stacking issues with damaged products

      • Stacking issues without damaged products

  1. Logistics Issue: report any other issues/complaints with Lekkerland.

    1. Sub issues that fall under this category:

      • Delivery outside of delivery window

      • Delivery causing (potential) complaints

      • Split delivery (two deliveries from Lekkerland on the same day)

      • SSCC label issues

      • Alarm triggered during delivery or doors left unlocked after delivery

      • Products delivered which are not for Flink

  1. Stop delivery (too many products in shelf): if you receive excessive amounts of one product, you can flag it here. Our Demand Planning Team appreciates your input and will adjust the order forecast accordingly.

    1. Sub issues that fall under this category:

      • Stop ordering due to broken fridge/freezer

      • Overstocked Item

      • Overstocked Hub

      • Delisted product(s)

  1. Other request & delivery feedback: additional section for issues or feedback outside of the ones listed above.

Additionally, it’s now mandatory to submit photos of the roll container tags and handling unit barcodes. This is important when the sc team reports any issues to suppliers about the products received damaged.
