[ACTION] Battery Cabinet Safety
Last week we had another battery fire in one of our hubs. Due to this it is extremely important that you do a double check on your battery cabinet in your hub and make sure all the safety protocols are printed out and displayed on the battery cabinet.
Make sure that your cabinet's doors are closing automatically when you open them. If this is not the case please create a ticket in the "Submit a request" category and contact [email protected] immediately.
Make sure the following print outs are visible on your battery cabinet Battery cabinet safety print out along with Battery Safety Guide and make sure that all Shiftleaders and Hub managers read the instructions on Zendesk.
HR & Payroll
[INFO] Payroll in SAP SF
As of 1 January 2023 we have moved into the new Payroll system, SAP SF (which is also our HR system. Your payslip from January and onwards will be added to your current SAP account. You can find your first payslip via your home page in SAP SF. In the left bottom corner you see a heading called “Organizational Updates” with a tile “Payslips” below. If you click on “view details” there’s an overview of your payslips for the year 2023.
This means you will no longer receive your salary slips via our previous payroll system called Loket. Consequently, your annual statement for 2022 will be provided through Loket up and until the end of May 2023. Please make sure to download your statement before that deadline, after that your Loket account will be closed.
HM received their salary for January on the 25th of January 2023.
SL now have a 4-weekly Payroll as communicated before. They receive the salary for the period of 1 January up and until 29 January on the 3rd of February 2023.

Since last week Thursday we are live with the new Hub Alert 3.0!
In case you have issues with installing the App, you can use the QR code for the new form - it has been updated here on Zendesk.

[INFO] LiveOps Triggers - Addition
Since three weeks we are using our LiveOps triggers for PickNow and RideNow in Slack. Tomorrow we will add one addition to the channels:
In cases where metrics stay high over double the time (Riding -> 10min / Picking -> 20min) we will add another notification tagging the Hub Manager.
The goal of these notifications is to increase awareness for Hub Managers about serious operational bottlenecks
[INFO] HubOne Rollout Update
Outbound
From tomorrow (01 Feb) at 9AM, the following features will be added to the HubOne App:
Outbound during Inbound
In this new feature you are able to outbound products during inbounding using the Dropping list
You don't need to separately outbound damaged product after inbounding (eg. delivery damages/delivery expired).
Please check out this video how the process looks like in the app.
Corrections & Too Good To Go
Same process like you know in the Inventory Manager, but then newly updated in the HubOne App.

From tomorrow (01 Feb) Inventory Checks is disabled in the old app (except for Fresh Checks - please still ignore those for now)

What?
Customers can order their Flink groceries via the UberEats app, we will pick the order and an UberEats driver will deliver the order!
This and last week the first hubs are (going) live with UberEats (external orders). We are ensuring each city cluster has one city live with UberEats and then we will give the teams a week to exchange knowledge and provide us feedback before we roll out to more.
Keep an eye on your Hub Email to prepare going live with UberEats too!
Why?
External partners can significantly boost order volume and lower our cost per order.
[INFO] Hub Portal Update - 'Claiming' Rider Equipment
What?
The 'Equipment' button will be added in the Hub Portal tomorrow around 11 AM, so the Riders can 'claim' their rider equipment - as all hubs are slowly but surely receiving the new winter jackets.
Why?
HM/SL have an overview/tracker of who is owning what rider equipment in their hub(s) for better visibility.
How?
For new Riders that have completed 3 shifts -> they'll receive a notification in the Workforce app and follow the steps in the One Pager
For all existing Riders -> they'll need to claim it in the Workforce App using the steps in the One Pager.

After reviewing all your feedback, we've made some of your suggested improvements in the Hub Portal!

Following our monthly listing/delisting process we have a bigger round of delistings today.
Please find the here list with all products to be delisted or via the button above.
Please remove all these products from their shelves tonight after closure and book them out as expired or TGTG if possible.

Tonight after closure we have some shelf changes based on your feedback and to optimize some more overcrowded shelves.

[INFO] Shelf Reorganization in the coming weeks
What?
In the coming weeks we will be reorganizing some of our dry shelves to add more shelf levels and optimize the available shelf space.
How?
Shelf Delivery: Next week you can expect a delivery of additional shelves, clips and connectors.
These will be used for the the coming reorganization (+ partially Uber Eats shelves).
Please store them aside for now until further instructions!
Big round of Shelf Changes next week: to prepare for the reorganization, we will already switch 5 dry food with 5 dry drug store shelves next week Tuesday->Wednesday. We will switch approx. 300 products, but it will be simply switching shelves one by one.
For this we will plan extra staff hours for Wednesday morning Feb 8th.
Adding shelf levels: After all shelves have arrived in the hubs, and the preparations are completed, we will inform you about the execution of adding the additional shelf levels. We will do this in two rounds = two weeks:
First we will add additional levels for all Dry Drink shelves
Second we will add additional Dry A-H shelves.
For these days extra staff will be scheduled as well, and more details will follow in the next weeks!

Some of the discussions were about... Why is Lekkerland late? How many orders do we have in a month? How do you know when your hub electra will be increased? How do you forecast number of riders for planning/schedule? How you define the assortment? Can we have hub specific assortment? What kind of local marketing initiatives do we do?

[INFO] Final Reminder: KPI training deadline
A few weeks ago we asked all Shift Leads and Hub Managers to complete the KPI training by end of Jan here.
We've sent several email reminders since then. Please ensure you complete by end of day.
Here is the link to the course. It'll take you 15 min and it covers what you need to know about NPS, Avg Fulfilment Time, Pre and Post Order Issue rates.
If incomplete we will start to report to management. This is important so we can ensure all leads/managers know how Flink measures key performance.

[INFO] Re-launch of Flunch & Punch-online
As of this morning, Flunch is turned on again now that all the tech issues have been solved. If you replaced the webpage used for punching in and out last week, please re-install the appropriate link (https://webpunch.goflink.com/) and please make sure that all hub staff uses this link.
Please be aware that Punch Online is still off. It means that Riders doesn't go online directly but have to use "Go Online/Offline" button in Rider Workforce App to go online.
