Report Bike Damages through the Hub Dashboard

  1. Go to the Fleet section in the Hub Portal.

  2. Enter the vehicle's ID of the damaged bike in the search bar on the top, right corner.

  1. When the search results appear, select the bike in question to view the options for it.

  2. Select ‘’Damage Reports’’ and then ‘’Report Damage’’.

  1. Select the relevant category to classify the damage. In this instance, we have taken the brakes as an example. Add a specific title for your damage report and enter as much relevant information as possible in the description box to ensure the mechanic can fix the bike during their visit. Once all fields have been filled in, click save.

  2. After clicking on ‘Save’, you will be presented with the option to either cancel the request or to select ‘’Set to Partly Operational’’ or ‘’Set to Maintenance Required’’. This last option should only be selected when a bike is no longer able and safe to be used for deliveries and can only be fixed by a mechanic. If a bike has minor issues, such as the lights not working (the bike can still be used partly during the day) or no bell etc, the damage can be set to ‘‘Set to Partly Operational’’. Please select the correct option that is relevant for the damage, as this will help in receiving adequate support.

  1. Once the bike has been fixed by the mechanic and they have closed the report, the system will automatically update to show the bike is operational.

Stolen bike/batteries/keys and Fine Process

  • A fine (boete) will be imposed when Riders don't return their key, battery or bike at the end of their shift.

  • In order to monitor this, it is important that the Rider bike/key log is signed twice per shift and per Rider (at the start/end of the shift). The SL/HM is responsible for overseeing this.

  • We need to have proof on paper that a Rider did not hand in their key or battery. In case a bike/battery/key is missing, please inform the rider that a fine can be expected.

  • The rider will receive an email with the necessary information to pay the fine within 7 days, otherwise we will withhold it from their salary.

  • If the Rider has not paid within 7 days, they will receive another email stating that we have not received it and we will withhold it from their salary. We include the HM in this email as well, so everyone is informed about the situation.

  • The fines and necessary actions to be taken can be found in the employee handbook and disciplinary matrix.

  • We have created a poster to inform the Riders. Please make sure to print it and hang it in the rider/bike area and at the SL's desk.

In case of a Stolen bike / battery / key, please follow below steps within 24 hrs

  • In the case of a stolen bike, you will have to change the bike status in the fleet tool on the hub portal to "Stolen".

  • Create a ticket via Hub Wiki within 24 hrs through the category "Submit a Request" -> Fleet Issues.

    • You must specify what it is that you are reporting (bike / battery / key).

    • Please fill in all the details so the central team can create a police report for you and issue the fine if applicable.

  • This will help to get a replacement for the bike as well.

Infleeting and archiving bikes in the Hub Dashboard

Infleeting and Archiving are the terms we use at Flink to describe the process of adding a bike to your fleet or removing one respectively.

  • Infleeting a bike to your Hub is done for the following cases:

    • New bike delivery.

    • Receiving swapped bikes.

  • Archiving a bike from your Hub is done for the following cases:

    • Stolen bike (only after having filled a police report and shared it with the appropriate supplier);

    • Broken bike replaced with a new or fixed bike (only when it is being replaced).
