Battery safety

This guide outlines all processes related to battery safety, including reporting damaged batteries or chargers, safely storing batteries in the cabinet, understanding the cabinet's alarm system, and ensuring battery safety in the event of a bike accident.

It serves as a vital resource for Ops Associate Plus (OA+), Shift Leads (SL), and Hub Managers (HM) to safeguard the workforce, prevent fires, and maintain compliance with safety regulations.

The 4 Pillars of Battery Safety

Every team member working with batteries must follow these four pillars at all times.

🔍 1. General Safety

  • Inspect regularly: check batteries for damage, swelling, or leaks before use. Do not use damaged batteries.

  • Use approved chargers: always use the manufacturer-approved charger to avoid overcharging or overheating.

  • Avoid overloading: do not charge multiple batteries simultaneously if it exceeds the electrical load capacity.

📦 2. Storage

  • Temperature control: store batteries inside a NEN3134 certified battery cabinet. Ideal temperature: 15°C to 25°C.

  • Placement: store on stable, non-flammable surfaces. Never stack batteries or chargers. Keep heavy batteries on lower shelves.

  • Avoid water exposure: do not store batteries near water or in humid environments.

🔌 3. Charging

  • Monitor charging: charge in a well-ventilated area. Do not leave charging batteries unattended.

  • Follow capacity limits: 1 bike battery = 2 Amperes to charge. Never exceed the maximum shelf or cabinet electrical capacity.

  • Use fire-resistant cabinets: charge and store in cabinets with fire-resistant ratings (e.g. 90 minutes).

✋ 4. Handling

  • Safe transportation: use a padded container to transport batteries securely and avoid impacts or punctures.

  • Handle with care: do not drop, pierce, or apply pressure to batteries.

  • Label defective batteries: clearly mark damaged batteries and isolate them in a designated area for proper disposal or repairs.

Emergency Procedures

🚨 Overheating or fire

  1. Leave the battery inside the battery cabinet.

  2. Evacuate the building.

  3. Call 112 for assistance.

  4. Do not attempt to put out a battery fire with an extinguisher.

Disposal: dispose of batteries only through a certified agent.

Key Reminders

  • Always keep batteries and chargers away from flammable materials.

  • Train all staff on proper battery handling and emergency response procedures.

  • Regularly inspect and maintain battery cabinets and charging equipment.

How to Report Battery and Charger Damage

Hubs report battery and charger damage through the Report damage feature in HubOne. Open the affected fleet item in HubOne, select Report damage, choose the correct damage type, and add a photo if needed.

Important

This replaces the previous Zendesk ticket flow. Hubs should no longer raise Submit a Request → Fleet → Battery tickets — use HubOne's Report damage feature instead.

Alarm System in the Cabinet

Your cabinet is equipped with a smoke detector and an alarm system connected to Securitas. If the alarm is triggered, Securitas will contact the Hub Manager, City Manager, or Safety Manager for verification.

If no imminent fire is detected, inspect the cabinet and contact the QESH Manager (Ozan) if you have any questions.

In the event of a serious bike accident involving one of your Riders:

  • Place the damaged battery on the bottom shelf of the cabinet.

  • Do not attempt to charge a damaged battery.

Closing for the Day

Before closing the hub for the night:

  • Ensure all batteries are safely stored inside the cabinet.

  • Verify that the cabinet doors are securely closed.
