Best Before Date (THT/BBD) Check

The best before date (BBD) is the date until which the manufacturer guarantees the full quality of their product. We are not allowed to sell products to customers that are past their best before date. Therefore, we send daily BBD checks to the Zebras, which are used to check all products just before their BBD expires.

Instructions

  1. The BBD Check should be completed before 10 am.

  2. Take a picking cart and go to the shelf of the first product to be checked.

  3. Go to HubOne > Inventory > BBD Checks. Start the check by scanning the shelf.

  4. Control all the BBDs from the products in that shelf:

    1. For each BBD check, we add an additional product-specific time window in which the product must still be good at the customer (customer shelf-life). Therefore, do not just check the BBDs according to the current date - you need to outbound all products that are not in conformity with this time window. Please follow the instructions on when to outbound them at the top of the BBD Check in the HubOne app:

  5. When checking the products on the shelf, make sure to apply the FIFO principle when sorting out the products by BBD on the shelf.

  6. In HubOne app, outbound all the products according to the instructions in the app regarding the product-specific time window:

    1. Outbound the products via "Rescue Bag" if the BBD has not yet expired, but we still need to discard the product due to the product-specific time window for the customer.

    2. Select "Expired" if the BBD has already expired.

  7. Once you're done checking and sorting the products in that shelf, click "Confirm Amount".

  8. In the next step, you need to specify the BBD with the closest expiration date of all products in stock:

    1. If the FIFO principle has been applied correctly, you only need to check the frontmost product in the shelf for this and enter the date accordingly in the HubOne app.

    2. The next BBD check will be triggered based on this date. Therefore, make sure that the entered date is correct.

    3. Click on the light-pink button "Adjust Date". Adjust the date in the pop-up that appears and click "Adjust Date" in the pop-up.

    4. You will see the date you chose on the screen. On the bottom of the screen, click "Update Changes".

    5. The BBD-Check is now complete on HubOne.

  9. Put the outbound products in your picking cart and prepare the ones you have outbound via Rescue bag and throw away all expired products you have outbound via "Product Expired".

  10. Important note: In case there are no products on the shelf:

    1. On the bottom of the check in HubOne app, click "Frontshelf is empty". A pop-up will appear, telling you to look for the products:

    2. If you find the products, click "Items found, go back".

    3. If not, click "NO Items found". A stock check will be triggered.

  11. Proceed with the rest of the tasks.

FAQ

Note: In the event that no specific BBD (e.g. 01.01.2022) is noted on a product, but only month + year (e.g. January 2022), then the last day of the month (e.g. 31.01.2022) is the basis for calculation.

Why are BBD checks only triggered for certain products?

BBD checks are triggered for products that have a best-before-date on the packaging. As such, we exclude products from the BBD check based on the following conditions:

  • Fruits and vegetables with a shelf life of less than 35 days.

  • Dry products and drinks with a shelf life of more than 90 days.

  • Spirits, mixes or wine.

  • Dry non-foods.

  • Ultra fresh/baked goods with a shelf life of 1 day.

Adjust the date of BBD Checks in the HubOne App

  1. In the Inventory Tab of your HubOne App, go to BBD Date Correction.

  2. Scan the product you want to correct the date for or look for it in the search bar.

  3. Select the right product from the search results if you chose that option.

  4. Select the “Adjust date” button below the current/wrong date.

  5. Choose the correct date and click on “Adjust date”. After that click confirm.

Why is it important?

  • It is important for us to supply our customers with products of the highest quality. If a product has exceeded the best before date, it may be of lower quality or even hazardous to health.

  • From a legal point of view, we are obliged to comply with the best before date.
