Checks

This guide describes the types of checks, their priority, times of completion and how to perform them. Checks are all the checks performed in the hub that involve inspecting our products for inventory accuracy, freshness or BBD.

This guide is important, so OA+, Shift Leads and Hub Managers learn how to prevent pre-order issues, ensure the accuracy of overall stock level, and to aid in theft prevention.

What are checks?

There are different kinds of checks:

  • Fresh check: Ensuring freshness of our Fruits & Vegetables. See more here.

  • BBD check: Ensuring that our products are within their proper shelf life. See more here.

  • Low stock check: these checks are triggered once per day at 3pm when we see that we're running out of stock for a product. The goal is to spot inventory mistakes before they result in a refund for our customers.

  • Expensive check: this check is triggered for theft prevention. We check items that are prone to theft 2-3 times per week.

  • Missing item check: this check is triggered when there is a refund performed during picking. The goal is to double check if the item is really out of stock and correct it accordingly.

  • Rolling Inventory check: these checks are triggered every monday and the goal is to check items that are rarely checked but that have a significant impact on our operations (high sales & high value).

  • Inventory Discrepancy check: this check is triggered when there is a discrepancy between what we expected to inbound from our main suppliers and what was actually inbounded.

Prioritization

Stock checks have different prioritization stages depending on how fast they need to be completed.

  1. Urgent: must be done immediately. These include missing item checks.

  2. Top priority: done in a certain time of the day. These include low stock and fresh checks.

  3. Medium/low priority: when there is time to do them on that day. These include rolling inventory and expensive item checks.

How to perform a stock check

  1. In the HubOne app, go to Inventory.

  2. Select Stock checks.

  3. Start with the checks with the highest priority. They're shown at the top.

  4. Scan the shelf.

  5. Count the full stock of the product in the hub, including the top shelf and the backstock.

    1. Take your time to make sure you count it correctly. If you're unsure about the amount, recount it.

  6. Insert the amount in the app.

  7. Tap Confirm amount.

  8. In the next pop-up, tap Yes.

  9. You will now see the amount you counted vs. the amount we have in the system.

  10. If there is a mismatch between both, make sure that the amount you counted is 100% correct and you didn't miss anything in the backstock/topshelf.

  11. You can also outbound any product that is expired/damaged or should go to Rescue Bags. To do so:

    1. In the screen above, enter the amount of expired/damaged/Rescue Bag products.

  12. To finish the check, tap Complete task.

The amount in the system is now corrected and you can continue with the next check.

FAQ

Why are expensive checks only triggered for certain products?

These checks are used for high valued products that are likely to face theft.
