🌡️ Heat Prep: it's getting hot again - make sure you are prepared 🌡️

🚛 Rejection Protocol: Lekkerland deliveries

Rejecting containers is risky as, if not logged correctly, it can trigger even bigger orders in the following days, worsening hub operations, waste, and availability.

📌 Golden rule: always accept rollcontainers, unless doing so causes 100% waste.

Specific situations:

  • Limited space/workforce: Accept the goods unless it creates an unsafe situation. Raise a ticket in #inbound_error_issues so Supply Chain can lower orders and arrange next-day inbounding.

  • Driver disputes: Accept the goods and report details to the Supply Chain via Slack.

  • Limited freezer capacity: Reject only what doesn't fit. Raise an #inbound_error_issues ticket so Supply Chain can adjust upcoming orders.

  • Broken freezers: Create an MCFT ticket immediately, then post the freezer number and expected fix date in #inbound_error_issues so Supply Chain can pause orders accordingly.

  • Temperature Control: Protecting the cold chain comes first, meaning that non-compliant containers must be rejected. Enforce these rules now:

  1. Check on the dock: Measure temperature while containers are still on the truck's unloading dock. If the driver won't wait, escalate to the Supply Chain immediately.

  2. Measure the core: Use probe thermometers on the actual food — not the packaging, and not infrared meters (see attached examples).

  3. Reject thresholds: Fresh > 8.5°C or Frozen > -15°C → reject.

  4. Photo required: Every rejected container needs a clear photo of the thermometer reading.

  5. Cooling sleeves: Mandatory for all containers, regardless of arrival temperature.

  6. Missing gear: Reply to this message if your hub needs probe thermometers or cooling sleeves.

🔋 Battery Cabinet Power Outages

⚡ Due to the high power consumption, we are facing power outages and after that battery cabinet problems as well.

When there is a power outages:

  1. Unplug the battery cabinet

  2. Unplug all the chargers inside the battery cabinet.

  3. Check the meterkast

  4. Be sure that all the switches are on

  5. Plug the Battery Cabinet again

  6. Be sure that ventilation is working and green light is ON

  7. Start to plug the batteries one by one. Plug one battery wait 20 seconds and proceed to next one and wait again.

  8. Since the power consumption is too high right now, it is better to use less chargers than usual.

  9. Instead of charging 15 batteries at the same time, lets charge 8-9, if everything goes fine, try to add one more charger.

  10. If the system tripping, if you face with power outages again, start again from step 1, follow the same steps, and charge less batteries.

📋 Step 1: Hub Managers, Start Gauging Interest!

Before registration opens, we need to map out who's in. Please start checking within your hub whether you can submit a team. Official sign-ups launch very soon, so use this week to rally your riders, check availability, and see who's ready to represent your hub!

🤝 Let's avoid "no-shows": last year a few hubs signed up but didn't show up on game day. If your hub commits, make sure your squad is ready to travel, bring the hype, and compete.

📲 New Workforce App Update Available for iOS: version 1.86

This update fixes the issue where riders were seeing outdated trip information (such as trips that were already completed or unassigned).

Action Required: Please ask all iPhone users in your hub to update their app to the version 1.86 as soon as possible to ensure they see accurate trip details.

After the update please also ask riders to use the “Logout” option in the app menu and then log back in with their email and password to ensure that notifications will arrive reliably on their device.

📲 Rider Self-Cancellations - Going Live This Week For The Remaining Hubs

What?

When riders cancel orders in the WF App, the order will be canceled immediately, without Hub Approval.

The Rider Self-Cancellation Flow is already live in 26 hubs, and this week it goes live for the remaining 32 hubs:

What's Changing And Why?

We see a 20% reduction in post-order "Where is my order?" customer contacts in the hubs where this flow is already live — while cancellation rates remain stable.

What Will The New Flow Look Like?

  • The Hub Approval Step via Slack is removed.

  • Orders are instantly cancelled once the rider confirms the cancellation in the WF App.

  • Customers are notified and refunded automatically.

  • There is no way to undo a cancellation — do not redeliver an order after it has been cancelled!

🚨 Make sure riders follow the process at the customer and don't cancel orders prematurely:

  1. Double check customer address & notes.

  2. Ring the doorbell and wait for 1 min.

  3. No answer? Ring again and wait for another 1 min.

  4. Still no response? Call the customer directly (stay on the call for at least 30 sec).

  5. No response? Try to call again.

  6. If unable to call, contact your hub to do so.

  7. If no one answers, ring one last time and wait for 1 min.

  8. Report the order in the app.

📲 Cancellation Flow Update (All Hubs)

To avoid accidental cancellations (a pocket click, rain drops), we're releasing two small changes to the cancellation flow in the WF App this week:

  • Cancel only 10 sec after "arrived": the 'Cancel order' button is disabled while the delivered slide-button counter is still counting (10 sec after swiping arrived).

  • Press and hold to cancel: instead of a normal click, the Cancel button must be pressed and held to trigger the cancellation flow.


📲 WF App Menu + Notifications Redesign

  • The Menu in the WF App is now its own tab at the bottom — no longer hidden in the home tab.

  • Notifications are accessible from any tab via the icon in the top right, so riders never miss news or messages.

├┤Shelf Change Assistant Coming To HubOne

The currently manual shelf-changes list is moving into HubOne — the timeline is to start moving hubs to the new tool in August.

Note: until the process is live in your hub, you'll already see the 'Shelf Change' section in the Inventory Tab — but no tasks will appear yet.

What Is It?

  • A new section in the Inventory Tab in HubOne where all products with shelf changes are shown.

  • HubOne shows the current and new shelf, stock levels, and facings information.

  • The old and new shelf both need to be scanned to start and confirm the shelf change.

The customer perception: When a rider arrives at the door, the customer judges the entire company based on that 30-second interaction. A clean, professional look signals reliability and food safety.

The role of hub leadership: As hub managers & shift leads, you are the gatekeeper. Your role is to ensure every rider leaving the hub meets our appearance and safety standards before they hit the road. Our riders are the only direct touchpoint with our customers - same delivery, very different feeling.

🕑 The lists are published at 16:00 today — please check after 16:00. If you don't find your file in the folder, it means there are no shelf changes for your hub this week.

The changes will go live tonight between 01:00 and 07:00, so please move the products to their new locations tonight after closure/tomorrow morning.

🤓 Don’t forget the backstock! When moving products to their new shelf, always remember to check and reposition any backstock on the top shelves as well!


Ticket Processing Update

📋 Shelf changes are implemented only once per week. We typically review incoming tickets on Monday and Tuesday. So if you submit a ticket on Wednesday and don't see an update by Friday, it isn't an oversight — the ticket is simply queued for the next processing cycle, as shelf changes and facing adjustments can only be executed once a week. Exceptions are made only for critical or urgent issues.
